Honest Taskers, Edge, and Swiss Monkey lead this year's shortlist of virtual dental care coordinator companies, nine healthcare-focused staffing firms ranked on how they keep a patient's sequenced treatment moving between visits, and booking all three appointments a phased plan calls for, all in your time zone and under a signed BAA. Every company here fills the seat with a real remote coordinator who works your practice management system, not an automated recall text blast. Below we set out whether a coordinator owns the days between diagnosis and treatment, where a handoff breaks, how these companies price their services, whether a provider names its continuity tasks, and where treatment stalls today.
Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best virtual dental care coordinator companies
We ranked these companies on five facts checked at each provider's own website on August 12, 2026, namely dental specialization, talent location, published pricing, the coordination work the company says it covers, and HIPAA posture. Care coordination here is administrative continuity, so we weighted firms that name its pieces, including appointment sequencing across a phased plan, referral coordination with specialists, unscheduled treatment follow-up, recall, post-visit calls, and forms and clearance letters. A remote coordinator never assesses a patient, never triages symptoms and never gives clinical advice, because that judgment belongs to the dentist and the licensed clinical team.
Best virtual dental care coordinator companies compared
The table ranks all 9 on the same columns, Honest Taskers first because we publish the list. Rates were checked August 12, 2026 and change often, so treat them as a starting point.
| Company | Dental focus | Talent location | Published rate | Patient care coordination (as stated) | HIPAA posture (as stated) |

| Honest Taskers | Yes, healthcare-focused with a dental role line | US clients; recruiting in the Philippines, Latin America, India and Pakistan | $10.00–$12.65/hr | Recall, unscheduled treatment follow-up, referral coordination, patient communication | HIPAA-trained; compliance verified by Accountable; BAA when PHI; SOC 2 audit-ready |

| Swiss Monkey | Yes, dental front office only | US-based professionals, with access to global talent | Hourly not published, plus a 13.5%–17.5% platform fee | Dental front office coverage on fractional hours | HIPAA-aligned framework with BAAs and NDAs (company-reported) |
| Reach | Yes, dedicated dental | Latin America | $11/hr, from $1,995/mo at 174 hours | Inbound and outbound calls, insurance verification, administrative support | Says compliance depends on systems, workflows, access controls, training and oversight; no BAA described |

| Remote Dental VAs | Yes, dedicated dental | Not publicly listed | Not publicly listed | Treatment plan follow-ups, appointment confirmations, patient communication | HIPAA awareness (company-reported); no BAA described |
| Dental Support Specialties | Yes, dedicated dental | United States, Canton, Ohio | Not publicly listed | Scheduling and treatment coordinator work, phone answering, chart auditing | HIPAA-compliant secure web portal (company-reported); no BAA described |
| DocVA | Yes, general healthcare firm with a dental line | the Philippines, Latin America, India and Pakistan | $10/hr | Scheduling, patient reminders, front-office follow-up | HIPAA training (company-reported); monitored work devices; no BAA described |
Two patterns show up fast. Published hourly rates cluster between $10 and $14, and the work is described in scheduling and billing language more often than in continuity language, so the referral loop is usually something you scope in the interview.
1. Honest Taskers
Best for: practices that want one coordinator owning the continuity loop, from the oral surgery referral to the recall call.
Pricing: $10.00–$12.65/hrLocation: US clients; PH, LatAm, India and Pakistan recruitingModel: Managed staffingFirst hire: Two-week working trial
Honest Taskers is a healthcare-focused virtual staffing company whose virtual dental assistant service lists the full dental role line. The coordination seat holds the between-visit work, sequencing appointments on a phased plan, chasing a specialist's report into the chart, running recall lists and requesting clearance letters from a physician. Candidates get quarterly HIPAA and data privacy training under a compliance officer, work your time zone, and sign a Business Associate Agreement when they'll access PHI, with compliance verified by Accountable in a SOC 2 audit-ready environment. Clients get a dedicated Customer Success Advocate, and new clients may get a two-week working trial with their first professional plus unlimited replacements. It reports 99.6% average monthly retention, credited to healthcare coverage, competitive pay, interest-free loans, wellness programs and performance-based raises.
Limitation: not the lowest hourly rate on this list.
2. Edge
Best for: practices that want the BAA signed before day one and a coordinator already trained in their dental software.
Pricing: Flat monthly fee, figure not publishedLocation: Not publicly listedModel: Managed staffingTrial: No trial published
Edge markets a dental line as Edge for Dental and names three coordinator roles publicly, scheduling, insurance and billing. It's the only company here publishing its software training list, naming Dentrix, Eaglesoft, Open Dental, Curve Dental, Weave, RevenueWell, DentalXChange and Dental Intel, with talent trained on the main three. Its HIPAA program and SOC 2 posture are company-reported, and it signs a Business Associate Agreement before day one. There's no published trial, though it replaces a hire at no cost, and the flat monthly fee is called all-in.
Limitation: neither the talent location nor the monthly fee is published.
3. Swiss Monkey
Best for: practices that want a US-based coordinator for a few hours a week rather than a full-time seat.
Pricing: Hourly not published, plus 13.5%–17.5% feeLocation: US-based professionals, with global accessModel: Marketplace, fractional hoursTrial: Not publicly listed
Swiss Monkey runs a dental-only marketplace of pre-vetted front office professionals, built around fractional coverage from 5 hours a week up past 20 with no long-term contract. That suits coordination, which is often a few focused hours a day rather than a full column. It describes a HIPAA-aligned framework with BAAs and NDAs, plus productivity monitoring and automated compliance documentation, all company-reported. Ask for the unpublished hourly rate and the tiered platform fee together.
Limitation: the hourly rate isn't published, and a 13.5% to 17.5% platform fee sits on top of it.
4. Reach
Best for: practices with Spanish-speaking patients that want same-hours coverage for outbound follow-up calls.
Pricing: $11/hr, from $1,995/mo at 174 hoursLocation: Latin AmericaModel: Managed staffingTrial: Not publicly listed
Reach staffs dental practices from Latin America, giving a coordinator US time-zone overlap for calls that must land in business hours and Spanish for the follow-up. The named work covers inbound and outbound calls, revenue cycle management, insurance verification and administrative support, with staff backed by AI tools for eligibility and recall. Pricing is legible, $11 an hour from a $1,995 monthly fee across 174 working hours. Its compliance page is candid, stating that virtual assistants aren't HIPAA compliant by default and that compliance depends on the practice's systems, workflows, access controls, training and oversight.
Limitation: it says a virtual assistant isn't HIPAA compliant on its own, and no BAA is described publicly.
5. DentVia
Best for: practices that want a bilingual dental coordinator on a month-to-month commitment.
Pricing: $11.00/hr English, $14.00/hr bilingualLocation: Not publicly listedModel: Dedicated hire, month to monthTrial: Not publicly listed
DentVia is dental-only and publishes a two-tier rate card, $11.00 an hour for an English-speaking assistant and $14.00 an hour for English and Spanish, on month-to-month terms with no long-term commitment. The tasks it names include appointment scheduling, call handling, insurance verification, billing and claims, lead follow-up, revenue cycle management and hygiene reminders. Hygiene reminders matter, since a reschedule nobody chases is where continuity usually breaks first. HIPAA compliance is claimed and company-reported.
Limitation: the talent location isn't published and no BAA is described, so both need confirming.
6. SupportDDS
Best for: DSOs and group practices that want a named delivery location and a fast start.
Pricing: $13/hr; RCM plans $2,680–$2,980/moLocation: Zimbabwe, Zambia, Costa Rica; Texas HQModel: Dedicated staffingTrial: Not publicly listed
SupportDDS works only in dental, across private practices and DSOs, and it's the most specific here about where its people sit, with teams in Harare and Victoria Falls in Zimbabwe, Lusaka in Zambia and Liberia Guanacaste in Costa Rica, plus a Texas headquarters. Full-time dedicated support runs $13 an hour, RCM Core is $2,680 a month and RCM Advantage $2,980, with no long-term contracts and cancel-anytime terms. It reports onboarding in five days or less, and its HIPAA compliance is company-reported.
Limitation: no BAA is described publicly, so get one in writing before any patient data moves.
7. Remote Dental VAs
Best for: practices whose main gap is unscheduled treatment and dormant treatment plans.
Pricing: Not publicly listedLocation: Not publicly listedModel: Dedicated hire, quotedGuarantee: 6-month replacement
Remote Dental VAs is dental-only for US practices, and it's the one company here that names treatment plan follow-ups outright, alongside appointment scheduling and confirmations, insurance eligibility verification and claims follow-up, patient communication, billing and payment posting, records cleanup, forms routing, data entry and inbox management. Records cleanup and forms routing matter, because a chart with missing forms stalls a case. Placements carry a six-month replacement guarantee at no cost, longer than anything else here. HIPAA awareness is the stated posture, company-reported, and quotes are built from candidate skills, experience and practice needs.
Limitation: neither pricing nor talent location is published.
8. Dental Support Specialties
Best for: practices in the US or Canada that want domestic coordination help without hiring a full-time person.
Pricing: Not publicly listedLocation: United States, Canton, OhioModel: Shared support centerTrial: Not publicly listed
Dental Support Specialties is a support and services center for dental professionals, working from Canton, Ohio for practices across the US and Canada. It covers the work usually held by the receptionist, insurance coordinator, hygiene coordinator or scheduling and treatment coordinator, including phone answering, scheduling, dental insurance verification, accounts receivable recovery and chart auditing. Naming the hygiene coordinator separately shows where continuity tasks land. Contracts are month to month, and service details run through what it calls a HIPAA-compliant secure web portal, a company-reported claim.
Limitation: it's a shared support center rather than a dedicated hire, and no rate is published.
9. DocVA
Best for: practices watching the hourly rate that don't want to change practice management software.
Pricing: $10/hrLocation: PH, LatAm, India, PakistanModel: Dedicated staffingTrial: No published trial
DocVA is a general healthcare firm with a dental line, staffing from the Philippines, Latin America, India and Pakistan at $10 an hour with no lock-in period, the lowest published rate here. The dental work it names is scheduling, patient reminders, insurance verification, billing coordination, documentation support and front-office follow-up, and it says it works inside the practice's existing system rather than switching the office. HIPAA training is company-reported, work devices sit under time-tracking and monitoring, and it operates under the Philippines Data Privacy Act. There's no published trial, though it re-matches when the fit is wrong.
Limitation: no BAA is described publicly, so get one in writing before any patient data moves.
Does a virtual dental care coordinator own the days between diagnosis and treatment?
Nobody, in most practices, which is where treatment stalls and why a virtual dental care coordinator exists. An in-house coordinator is better if the role also greets patients, takes payment and covers operatory turnover. Recall software sends the message, but it can't call a periodontist's office, re-explain a phased plan or chase a physician for a clearance letter, so practices run both. The American Dental Association's Health Policy Institute reports that 91% of dentists recruiting dental hygienists called it "very or extremely challenging", that only 60% have enough hygienists on staff, and that staffing tied with dental insurance issues as the top 2026 concern. A remote coordinator doesn't fill a hygienist's chair, but it hands hours back to your licensed staff, as our look at the dental staffing shortage shows.
Where does a handoff break when a virtual dental care coordinator is involved?
Between the diagnosis and the booking, because that gap has no owner by default, alongside PHI exposure, scope creep and turnover.
- PHI in every conversation. Ask for the signed Business Associate Agreement plus device and access controls. Only Honest Taskers, Edge and Swiss Monkey describe BAA coverage publicly.
- Scope creep into clinical advice. Write down what the coordinator says when a patient asks whether swelling is normal, since that call goes to your licensed team.
- Referrals that never come back. Ask how the company tracks a referral to oral surgery or endodontics until the report is in the chart.
- Turnover and lost patient context. Ask about retention, since a coordinator who remembers why a patient postponed a crown is worth keeping.
- Software fit. Ask which candidates have worked in your system, such as Dentrix, Open Dental, Eaglesoft, Curve Dental, CareStack or Weave.
How do virtual dental care coordinator companies price their services?
Virtual dental care coordinator companies price four ways, an hourly rate, a flat monthly fee, an hourly rate plus a platform percentage, or a quote built from the role. Published hourly rates here run from DocVA at $10 up to DentVia's bilingual tier at $14, with the rest of the table's figures in between (rates checked August 12, 2026). Edge charges an unpublished flat monthly fee, Swiss Monkey layers a 13.5% to 17.5% platform fee on an unpublished hourly rate, and SupportDDS also sells revenue cycle packages at $2,680 and $2,980 a month. Remote Dental VAs, Dental Support Specialties and Edge quote instead of publishing, so price a fractional 10-hour week separately from a full-time seat.
Can the virtual dental care coordinator company name its continuity tasks?
Ask which ones it owns between visits, then weigh dental specialization, a readable HIPAA posture, software experience and clear pricing.
- Named continuity work. Look for named referral coordination, treatment plan follow-up and post-visit calls, as Remote Dental VAs and Dental Support Specialties do.
- A BAA on paper. Look for HIPAA training plus a signed Business Associate Agreement before anyone touches a chart, and treat "HIPAA compliance" as a claim to verify.
- A clear line at clinical judgment. Confirm the company trains coordinators to route symptom questions and post-operative concerns to licensed staff.
- Your software and your hours. Confirm candidate experience in your system, your patients' hours and Spanish coverage. Our virtual dental receptionist page splits those seats.
- Dated, published pricing. A dated rate beats a vague promise, and a percentage fee needs the base rate beside it.
Where should a virtual dental care coordinator start, and what stalls today?
Write that down first, because the stall point is the job description.
- List the handoffs that break today, such as unscheduled treatment, referrals out to specialists, hygiene reschedules and clearance letters that never arrive.
- Decide whether you need a full-time seat or 10 fractional hours a week.
- Shortlist firms whose dental depth, talent location and HIPAA posture fit, and ask each one for its BAA language up front.
- Interview one or two candidates, walk them through a real phased treatment plan, and confirm software experience.
- Sign the Business Associate Agreement, then onboard with written escalation rules that send every clinical question to your licensed team.

Methodology and sources
We verified each company at its own website on August 12, 2026, recording dental focus, talent location, published pricing, stated patient coordination work and HIPAA posture. Staffing context comes from the American Dental Association's Health Policy Institute research on the hygienist shortage. Rates were captured as dated points, so re-check before you buy. Missing facts read "not publicly listed", and self-stated claims are labeled company-reported.
