Q: How does patient privacy apply to community outreach work?

Most outreach is public-facing marketing with little exposure to protected health information, so the privacy risk stays low. When a task does touch patient data, such as a referral list or an event sign-up sheet, Honest Taskers professionals are HIPAA trained and work under a Business Associate Agreement before they handle it.

Does a community outreach coordinator need to be on site?

No, the planning behind outreach runs by phone, email and a shared calendar, so it moves off site cleanly. What stays on site is event-day presence, such as staffing the booth and handing out materials, which needs a person at the venue.

Can one coordinator handle outreach for several locations?

Yes, a multi-location group is where a dedicated community outreach coordinator earns the seat, because each site carries its own events, sponsors and partner relationships. One person running a consistent process across all of them keeps the calendar coherent in a way scattered ownership rarely does.

What does a community outreach coordinator cost against an in-house hire?

A community outreach coordinator bills $10.00 to $12.65 an hour with no employer load, while a full-time in-house hire at the $45,930 administrative median runs about $68,252 once benefits and payroll taxes are added. The gap applies only to the hours that move off site.

Are community outreach coordinators HIPAA compliant?

Yes, a community outreach coordinator can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The organization still controls which systems and patient data the coordinator can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a community outreach coordinator work in my systems?

Yes, community outreach coordinators routinely work inside an organization's existing systems, though experience with any specific system varies by candidate. Many bring prior time in tools such as Salesforce, athenahealth, Mailchimp, and Google Workspace. Access is granted and controlled by your organization, so confirm your stack during the interview.

What tasks does a community outreach coordinator handle?

A community outreach coordinator plans community health events and screenings, runs partnership and referral-source outreach, schedules outreach programs, handles communication and follow-up, and tracks outreach activity and results. Many also maintain partner contact lists and prepare simple activity reports. They follow your outreach plan and route clinical questions to your licensed staff.

Can a community outreach coordinator improve event turnout?

Yes, a community outreach coordinator improves event turnout by confirming partners, sending reminders, and following up with registrants. Consistent daily follow-up is the main lever, which is easier with a dedicated coordinator than with staff squeezing outreach between other duties.

How does Honest Taskers staff community outreach coordinators?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and coordinators handle event coordination, partner outreach, scheduling, follow-up, and tracking while routing clinical questions to your staff. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how a healthcare-focused virtual professional can support your organization.

How fast can you hire a community outreach coordinator?

Most companies place a community outreach coordinator within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the role, the screening depth, and your interview process.

Choosing between a community outreach coordinator and in-house staff starts as a work-allocation question, not a budget one. This guide opens with how a remote coordinator compares against an in-house outreach hire, then names the duties that still need a person inside the building. Next it maps the remote scope, meaning the event planning, sponsorship tracking and partner outreach a coordinator handles, how they line up events and partnerships from a distance, and how they manage sponsorships and local partner lists across a territory. Cost comes next in two parts, what a full-time in-house hire runs a practice each year against what an hourly coordinator changes about the price per event. Then come the practical calls: how quickly someone can book a health fair or partnership, what a stalled outreach calendar costs a practice in new patients, whether your practice needs the role remote or in-house, and when to split outreach between on-site staff and a remote coordinator. Which wage and sources stand behind these figures closes the page. Read start to finish, the sections answer the real question, which slice of outreach needs a body on the ground and which slice never did.

How does a remote community outreach coordinator compare with an in-house outreach hire?

A remote community outreach coordinator is a dedicated professional who runs your events, sponsorships and partner relationships from off site, while an in-house outreach hire is an on-site employee who does that work in person and staffs the booth. Reach against presence is the real split. Working the calendar every week, a remote coordinator keeps the event schedule, the sponsor list and the follow-up moving instead of letting it stall between clinical priorities. An in-house hire brings a body at the event and can shake a referring provider's hand, yet the planning behind each event is desk work that doesn't need the desk to be yours. Honest Taskers places a virtual medical assistant who runs the outreach inside your own tools and accounts, rather than an agency that runs campaigns for you, and that difference sets the scope. The trade is honest either way. You'll gain steady calendar upkeep, and you give up the in-room presence on the day itself.

Which outreach duties still need a person in the building?

A short list of outreach duties still needs a person inside the practice, and naming them before any cost table keeps the comparison honest. Event-day presence, physical materials and face-to-face relationship work stay in the building.

Staff the booth and greet visitors at a health fair or screening event.
Hand out printed materials, branded items and intake forms on event day.
Represent the practice in person when a sponsor or partner expects a face.
Set up and break down the physical space a community event runs in.

Everything that leads up to the event lives at a desk, so the on-site column stays short. Keeping it explicit is the point. A practice that assumes the whole role belongs at the venue pays a loaded salary for planning that never needed the room, and correcting that misread is what the cost sections below are for.

What event planning, sponsorship tracking and partner outreach can a virtual community outreach coordinator handle?

Nearly everything that leads up to an event can move to a virtual community outreach coordinator, which is most of the role. Recurring desk work such as building the event calendar, researching health fairs and screening opportunities, tracking sponsorship deadlines and dollars, running partner and referral-source outreach by phone and email, coordinating printed materials with a local vendor, and handling post-event thank-you notes and follow-up all sit in the coordinator's queue. This is the part of outreach a practice can outsource without losing anything on event day. Running the cadence week after week is where a dedicated owner beats an in-house hire who keeps dropping outreach when the front desk gets loud. One honest caveat belongs here. Honest Taskers names marketing support among its services but doesn't detail outreach tasks or channels publicly, so you set the exact scope in the hiring interview. How does a community outreach coordinator line up events and partnerships from a distance?

A community outreach coordinator lines up events and partnerships from a distance by working the phone, the inbox and a shared calendar, none of which needs a seat in your office. Booking a health fair means calling the venue, confirming the date, reserving the table and adding it to the schedule, and every step of that happens remotely. The coordinator reaches out to schools, senior centers, employers and neighboring clinics to set up screenings, talks and referral relationships, then keeps each thread warm with steady follow-up. Because the same discipline defines the wider role, see our explainer on what a virtual medical assistant is for how the position fits a practice. What the coordinator can't do from a distance is stand at the table once the day arrives, which is why the on-site split matters. The planning travels well, and the handshake at the booth does not.

How does a community outreach coordinator manage sponsorships and local partner lists?

A community outreach coordinator manages sponsorships and local partner lists by holding all of it in one tracked system instead of scattered notes. Each sponsorship carries its own deadline, payment, deliverable and point of contact, so a practice running a dozen a year has a dozen of everything to keep straight. One owner logs the commitments, flags renewal dates before they lapse, and keeps the partner list current as contacts move between organizations. Most of this is public-facing marketing work with little exposure to protected health information, which is what lets it move off site cleanly. When a task does touch patient data, such as a referral list or an event sign-up sheet, Honest Taskers professionals are HIPAA trained and work under a Business Associate Agreement before they handle it. That keeps the outreach compliant without slowing the calendar down.

How much does a full-time in-house outreach hire cost a practice?

A full-time in-house outreach hire costs a practice far more than the wage line, because employer load lands on top of every dollar of salary. Anchored to the administrative median, here's how the recurring cost stacks up.

Fully loaded annual cost of an in-house outreach hire, administrative median anchor
Cost component	What it covers	Percent on top of wages	Amount
Base salary	The advertised pay for the role	n/a	$45,930
Insurance	Health and related coverage	17.5%	$8,038
Paid leave	Vacation, sick days and holidays	11.9%	$5,466
Legally required	Employer FICA, unemployment, workers' compensation	10.2%	$4,685
Supplemental pay	Overtime, bonuses and shift differentials	4.5%	$2,067
Retirement and savings	Employer contributions and match	4.5%	$2,067
All-in recurring	What the seat costs before equipment or space	48.7%	about $68,252

Because an outreach hire frequently lands above the administrative median in a competitive local market, treat $45,930 as a conservative floor and run your own wage through the same load. Filling the seat adds an average $5,475 per hire, and that cost returns on every departure.

How does an hourly community outreach coordinator change the cost per event?

An hourly community outreach coordinator changes the cost per event from a fixed salary into a variable you control, billing $10.00 to $12.65 an hour depending on role, background, schedule and location, with no weekly minimum and none of the employer load in the table above. Outreach rarely fills a full-time seat on its own, which is why hourly billing suits it. A slow month with two small events costs a fraction of a busy month carrying a health fair and three partner meetings, and the spend tracks the calendar instead of running flat. Price it per event and the picture sharpens. A single screening that needs a few hours of planning is a small hourly commitment, and a full quarter of events scales the hours rather than adding a salary. For the rate detail, our guide to how much a virtual medical assistant costs covers the range. Work your own figure, using local wages for the in-house side and your event load for the remote one.

How quickly can a community outreach coordinator book a health fair or partnership?

A community outreach coordinator can book a health fair or partnership quickly once the role is staffed, because outreach is a process someone works rather than waits on. Booking one means a call to the venue, a confirmed date and a slot on the calendar, and a dedicated coordinator moves those the same week instead of leaving them behind clinical fires. Standing the role up is fast too. Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial, so fit gets tested on real outreach work before anything further is committed. Honest Taskers also reports 99.6% average monthly retention, so the coordinator who learns your partners and your calendar stays with them. Recruiting an in-house outreach hire in most markets takes longer before onboarding even starts.

What does a stalled outreach calendar cost a practice in new patients?

A stalled outreach calendar costs a practice new patients, because outreach is often the pipeline that feeds tomorrow's schedule and it goes quiet the moment nobody owns it. When events stop getting booked, sponsorships lapse and referral partners stop hearing from anyone, the practice slips out of the community conversations that send it patients, and the referral pipeline thins with no line item showing why. None of it lands on a report, which is how it gets ignored until the new-patient count sags. Quiet decline is what makes this failure risky. One missed health fair is a room full of prospective patients who met a competitor instead, a lapsed sponsorship is a logo gone from the local banner, and a referral source who stops getting calls sends patients elsewhere. Treating outreach as one of the tasks to outsource to a virtual medical assistant, rather than something someone squeezes in, is what keeps that erosion from starting.

Does your practice need a remote or in-house community outreach coordinator?

Hire a remote community outreach coordinator when the planning is the job, and keep it in-house only when the outreach is a small slice of a broader on-site role you already need at the front of the practice. Sort the work into two columns before pricing anything, because the split decides the answer more than any rate does. On-site work goes in the first column and desk work in the second, and a few questions settle the rest.

Is the on-site column small? For most practices the planning is nearly all remote, which points to an hourly coordinator.
Does the outreach fill a full week? A single-location calendar rarely does, and hourly billing fits a workload no salary can be sized to.
How many events run each quarter? A heavy calendar favors a dedicated owner running one process.
Do you already need someone at the front desk anyway? Where you do, outreach can ride along, though it slips first when the desk gets busy.

When should a practice split outreach between on-site staff and a remote community outreach coordinator?

Split outreach between on-site staff and a remote community outreach coordinator when you need a face at events but not a full salary for the planning behind them. The pattern that works keeps an on-site person for booth duty, in-person sponsor meetings and event-day logistics, then hands the calendar, the sponsorship tracking and the partner follow-up to a remote coordinator who keeps all of it moving every week. That's augmentation, not replacement, and it usually shows up first as the on-site person getting hours back for the work that genuinely needs them there. Watch for a staffer who books events between everything else and does it unevenly because outreach keeps losing to the day's deadlines. That's the signal to hand the planning to a dedicated owner. To size whether the workload justifies either seat, our checklist of the signs your practice needs a virtual assistant helps frame the call. A single location with a light event calendar rarely needs more than the coordinator.

What sources sit behind these community outreach coordinator cost figures?

Wages here come from the Bureau of Labor Statistics (Source: Bureau of Labor Statistics, "Occupational Employment and Wage Statistics", May 2025, occupation code 43-6013), medical secretaries and administrative assistants, used as a conservative anchor because no single BLS code covers a community outreach coordinator. Employer load percentages come from the same agency (Source: Bureau of Labor Statistics, "Employer Costs for Employee Compensation", March 2026), office and administrative support in private industry, applied as separate components so paid leave and legally required benefits aren't counted twice. Cost per hire comes from SHRM (Source: SHRM, "2025 Benchmarking Report"). Honest Taskers rates come from the company's own published rate card. Every wage here is a national median, so all of them move with your local band, which is why the honest comparison is the one you run on your own numbers.

For the wider view of remote support against an in-house team, see our roundup of the best community outreach coordinator companies, which sizes the same trade across a practice's marketing.

Honest Taskers, BELAY, and Wing Assistant lead this year's shortlist of community outreach coordinator companies, seven firms ranked on how they support outreach and referral development work, from event logistics and partner communication to referral source tracking, follow-up after a visit, mailing and material coordination, and the reporting that shows which relationships are producing patients. Outreach is relationship work with a large administrative shadow, and it is the shadow that a remote coordinator should be taking. Below we set out why outreach stalls before anyone is hired, whose name is on the email to a referring office, what part-time costs, whether the coordinator can write in your voice, and which referral sources to register first.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best community outreach coordinator companies

We ranked these firms on five facts, each read at the provider's own website in August 2026. Those facts are the outreach support scope, the stated HIPAA and Business Associate Agreement position, published pricing, the purchase model, and the notable verified detail each firm publishes. We weighted communication quality highest, because outreach coordination involves contacting referring offices, community organizations, and event partners in your name. That is different from back-office work: a clumsy email to a referring physician's office costs you a relationship rather than an hour. Where a firm commits to US-based staff or publishes selectivity figures, we noted it, because it bears directly on this. Blank facts read "not publicly listed" instead of a guess.

Best community outreach coordinator companies compared

The table ranks all 7 on the same columns, Honest Taskers first because we publish the list. Facts were read August 2026 and change often, so treat them as a starting point, not a quote.

Community outreach coordinator companies compared on the criteria stated below, read at each provider's own site.
Company	Outreach support scope	HIPAA / BAA position	Published pricing	Purchase model	Notable facts
Honest Taskers	Event and visit logistics, referring office communication, referral source tracking, follow-up, material and mailing coordination, outreach reporting	HIPAA compliance verified by Accountable; BAA when PHI is accessed; compliance officer	$10.00–$12.65/hr	Hourly staffing, your direction	Healthcare-specialized; two-week first-hire trial; 99.6% average monthly retention
BELAY	US-based marketing, sales, operations and executive assistants plus social media managers	Nothing stated	Not publicly listed	Matched US-based staffing	93% first-match success rate; top 3% of US applicants; industries include Private Healthcare
Wing Assistant	Digital marketing assistants, sales development reps, customer service and administrative support	Nothing stated beyond a healthcare VA product	Not publicly listed	Placed assistants	10,000+ active assistants; 2M+ applicants screened annually
MyOutDesk	Marketing, inside sales, customer service, administrative tasks, transaction coordination	"HIPAA Verified"; HIPAA and PCI-DSS compliance ready	$1,988/mo managed; $2,500/mo specialized	Full time only, 8h x 5d	SOC 2 certified and audited (company-reported); 17+ years; 8,500+ businesses served
Magic	Admin, executive and customer support assistants covering scheduling, outreach lists and follow-up	Nothing stated	$270/wk part time; $540/wk full time	No contract, cancel anytime	Top 0.5% of talent claimed; billed every 4 weeks
Prialto	Managed support with process design, aimed at sales teams among other functions	Nothing stated	$1,600/mo per unit (55 hrs); $3,600/mo full time (165+ hrs)	Managed service, 90-day minimum	Engagement Manager, month-long training, backup assistant; 9am to 6pm US and UK hours
Neolytix	Healthcare virtual assistants alongside RCM and credentialing work	ISO 27001 certified; HIPAA stated	Not publicly listed	Outsourced service plus staffing	270+ organizations, 31 specialties, 40 states; small-practice tiers

For a role that talks to referring offices and community partners, the US-based commitment in the second row is the most consequential fact in this table, and BELAY is the only firm making it. Below that, three firms name marketing or sales development roles explicitly rather than general assistant work, which matters because outreach coordination is closer to business development administration than to back-office support. Referral tracking touches patient origin data, so the compliance column is not decorative here either.

1. Honest Taskers

Best for: practices building referral relationships where the coordination touches patient and referral data.

Pricing: $10.00–$12.65/hrLocation: US clients; PH, LatAm, India and Pakistan recruitingModel: Hourly staffingFirst hire: Two-week working trial

Referral development is mostly follow-through. A physician liaison has a good meeting with a referring office and then nobody sends the promised information, logs the conversation, tracks whether referrals increased, or arranges the follow-up visit. Meanwhile the outreach calendar has three events that need materials, registrations, and a plan. Honest Taskers places staff trained on HIPAA and data privacy under a dedicated compliance officer, working your time zone inside your own systems, with a Business Associate Agreement signed before access and HIPAA compliance verified by Accountable. That matters because referral tracking is patient data: which practice sent which patient and when. The work covers event and visit logistics, communication with referring offices, maintaining the referral source register and tracking volumes by source, follow-up on commitments made in meetings, coordinating materials and mailings, and outreach reporting that shows what is working. Rates run about $10 to $12.65 an hour depending on role, background, schedule, and location, with a two-week working trial on the first hire. See the multi-purpose virtual medical assistant service for role detail.

Limitation: Honest Taskers is built for healthcare, so a business outside healthcare is not the target buyer and BELAY or Prialto will fit better; the firm describes its security environment as SOC 2 audit ready rather than holding a SOC 2 or ISO 27001 certification of the kind MyOutDesk and Staffingly publish.

2. BELAY

Best for: organizations that want a US-based coordinator and a fast, human-matched placement.

Pricing: Not publicly listedLocation: US-based partnersModel: Matched staffingMatch: As little as one week

BELAY commits to US-based staff, stating it accepts only the top 3% of US-based applicants and describing its people as US-based partners, which matters for coordination work that involves live calls with vendors, staff, and outside organizations. Matching is done by people with a reported 93% first-match success rate and a match in as little as one week. Its roles span operations, executive, personal, sales and marketing assistants, social media managers, and an accounting bench up to fractional controller and chief financial officer, so a coordinator role can broaden as it settles. Named industries include Private Healthcare and Health & Wellness, and it reports a tenth consecutive year on the Inc. 5000.

Limitation: no pricing is published at all, and despite naming Private Healthcare it states no HIPAA position and no Business Associate Agreement, which has to be settled before any access to patient information.

3. Wing Assistant

Best for: organizations that need coverage outside office hours or fast replacement from a deep pool.

Pricing: Not publicly listedLocation: Not publicly listedModel: Placed assistantsScale: 10,000+ active assistants

Wing Assistant reports the largest bench here, more than 10,000 active assistants and more than two million applicants screened annually, with 24/7 specialist availability and a 4.8 out of 5 average rating. For coordination roles that span time zones or need cover in the evening, that availability is a genuine differentiator, and pool depth shortens the gap when a placement does not work out. Its roles are explicitly segmented, naming administrative assistant, executive assistant, virtual assistant, customer service representative, digital marketing assistant, sales development representative, and a healthcare virtual assistant product.

Limitation: it publishes no pricing, no delivery location, no minimum commitment, and no HIPAA detail, leaving the four questions a buyer most needs answered all unanswered.

4. MyOutDesk

Best for: organizations wanting offshore economics with a named security audit and a healthcare claim.

Pricing: $1,988/mo managed; $2,500/mo specializedLocation: Not publicly listedModel: Full time only, 8h x 5dCompliance: SOC 2; HIPAA Verified

MyOutDesk publishes $1,988 a month for managed outsourcing and $2,500 for specialized, both full time at eight hours a day, five days a week, which works out around $12 an hour at the lower tier. Its compliance documentation is the strongest among the offshore firms here: SOC 2 certified and SOC 2 audited, described as HIPAA Verified, and HIPAA and PCI-DSS compliance ready. Scope runs from administrative tasks, customer service, and bookkeeping through marketing, inside sales, and transaction coordination, and it reports 17 or more years in business, 8,500 or more businesses served, screening to the top 0.7% of talent, and hiring in as little as one week.

Limitation: full time only, so a part-time coordinator is not available, and HIPAA Verified is the firm's own description rather than an independent certification, so establish what it covers.

5. Magic

Best for: organizations that want to test the role for a month without signing anything.

Pricing: $270/wk part time; $540/wk full timeLocation: Not publicly listedModel: No contract, cancel anytimeTalent: Top 0.5% claimed

Magic removes the commitment problem entirely: $270 a week for 20 hours or $540 for 40, billed every four weeks, no contracts, cancel anytime, and payment starting only when you begin working with your assistant. For a coordinator role that has never existed in your organization, that structure lets you find out whether it earns its keep before committing to a quarter. Roles cover admin, executive, customer support and ecommerce assistants, with Magic 24/7 included on full-time and team plans and teams starting at three assistants. It claims curation from the top 0.5% of talent.

Limitation: it states no HIPAA position, no compliance certification, and no delivery location, and its named industries are ecommerce, transportation, warehousing, media, non-profit, construction and professional services rather than healthcare.

6. Prialto

Best for: organizations that want the coordination process designed and documented rather than improvised.

Pricing: $1,600/mo per unit; $3,600/mo full timeLocation: Not publicly listedModel: Managed service, 55 hrs per unitMinimum: 90 days per unit

Prialto sells a managed service with a wrapper that suits coordination work well. Each unit is $1,600 a month for 55 hours plus free episodic overflow, with full time from $3,600 for 165 or more hours, and it includes an Engagement Manager whose explicit job is process design and optimisation, a month-long training program, backup assistant support, and tool training. For a coordinator role, having somebody responsible for how the work runs rather than only who does it is the difference between a functioning process and a person improvising. Coverage is 9am to 6pm Monday to Friday across US and UK time zones, onboarding is three to five days, and the firm reports 16 or more years of experience.

Limitation: no HIPAA or Business Associate Agreement position is stated, the 90-day minimum per unit rules out a short trial, and at roughly $29 an hour it is the most expensive option here.

7. Neolytix

Best for: healthcare organizations wanting a coordinator inside a broader outsourced arrangement.

Pricing: Not publicly listedLocation: HQ ChicagoModel: Outsourced service plus staffingCompliance: ISO 27001 certified

Neolytix offers virtual assistants alongside revenue cycle management, coding audit, credentials verification organization credentialing, provider enrollment, and licensing, with explicit small-practice and mid-market tiers that most firms in this market do not bother with. For a coordination role in a practice, that adjacency is useful: the same firm can absorb the billing or credentialing work the coordinator would otherwise be chasing. It reports more than 270 organizations across 31 specialties in 40 states from a Chicago base, and is ISO 27001 certified with HIPAA compliance stated.

Limitation: no pricing is published, and it is healthcare-only, so it is not a general business coordination provider.

Why does outreach stall before a coordinator is hired?

Because registrations, mailings and spreadsheets crowd out the visits, and the visits are the programme. Keep the relationships with the liaison and delegate everything around them. The person who walks into a referring office and builds trust cannot be replaced by a coordinator, and should not spend their afternoons on registrations, mailings, and spreadsheets. Those are the tasks that reliably crowd out the visits, which is why outreach programs stall: the relationship-builder becomes an administrator by default. A medical records specialist earned about $51,140 a year, roughly $24.59 an hour before benefits, according to the u.s. bureau of labor statistics may 2025 wage data for medical records specialists, against published remote options from $13.50 an hour at Magic full time to roughly $29 at Prialto. The measure of whether this worked is not tasks completed, it is visits made and referrals received, so track both before and after. And be deliberate about who contacts referring offices directly: if a coordinator is emailing a physician's staff in your name, communication quality is worth paying for, which is the argument for a US-based provider on this particular role. For the scope of what can move, see tasks to outsource to a virtual medical assistant.

Whose name is on the coordinator's email to a referring office?

Yours, which is why what the coordinator sends and to whom gets agreed first. Outreach coordination is outward-facing and touches referral data, so both reputation and privacy are in scope.

Your name on every email. Agree who the coordinator contacts directly and what they say, since a poor email to a referring office costs a relationship.
Referral data is patient data. Tracking which practice sent which patient involves protected health information. A Business Associate Agreement is required.
Regulatory care around referral inducements. Anything of value offered to a referral source has legal implications. Keep those decisions with leadership and take advice.
Measuring activity instead of outcome. Track visits made and referrals received, not emails sent.
Continuity with partners. Community and referral relationships dislike churn. Ask about turnover and handover.

How much does an outreach coordinator cost part-time?

Part-time is the shape this role takes, and four firms publish rates for it. Prialto is $1,600 a month per unit for 55 hours or $3,600 full time. MyOutDesk is $1,988 or $2,500 a month, full time only. Magic is $270 a week for 20 hours or $540 for 40, no contract. Honest Taskers is $10.00 to $12.65 an hour. BELAY, Wing Assistant, and Neolytix publish nothing, and BELAY is the firm whose US-based positioning most justifies a premium on this role, which makes its silence on price the most frustrating gap in the table. Outreach coordination is often part-time work attached to a full-time liaison, so hourly and part-time options fit better than full-time monthly seats. Measure the return in referrals received rather than in cost per hour. Rates were checked August 2026 and change often. For rate context, see how much a virtual medical assistant costs in 2026.

Can the coordinator write an email you would send yourself?

Ask for writing samples, because this role represents you to referral partners in writing before it does anything else. Then marketing capability, compliance and part-time flexibility.

Written and spoken communication quality. Ask for writing samples, since this role represents you to referral partners.
Marketing or business development experience. Three firms here name marketing or sales roles specifically rather than general assistant work.
A BAA for referral tracking. Referral source data is patient data. Only three firms state any position.
Part-time availability. This is often a support role beside a liaison, not a full-time seat.
Reporting on outcomes. Require referral volume by source, not activity counts.

Which referral sources should the coordinator register first?

All of them, with twelve months of volumes, because outreach without tracking is spending you cannot evaluate.

Build or clean the referral source register, with volumes by source for the last twelve months.
List the administrative tasks currently taking your liaison away from visits.
Decide which contacts the coordinator makes directly and which stay with the liaison.
Confirm the compliance position, since referral tracking involves patient data.
Review at a quarter on visits made and referrals received by source, not on activity.

Methodology and sources

We read each company's own website in August 2026, recording outreach support scope, stated HIPAA and Business Associate Agreement position, published pricing, purchase model, and the notable facts each firm publishes. Wage context is from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics for medical records specialists. Business Associate Agreement requirements are set by the HIPAA Privacy and Security Rules. Where a company didn't publish a fact, we marked it "not publicly listed"; match rates, talent-acceptance percentages, and client counts are labeled company-reported and were not independently audited.

If your liaison is doing administration instead of visits, the fix is coordination support rather than a bigger outreach budget. Our explainer on what a virtual medical assistant is covers the administrative work a remote hire can own around referral development, and where referral data makes a Business Associate Agreement necessary.
