Q: How does patient privacy apply to referral tracking?

Referral records carry patient information, so the work sits under HIPAA safeguards rather than outside them. Honest Taskers professionals are HIPAA trained and work under a Business Associate Agreement when they access patient data, which is why remote referral tracking moves off site safely.

Does a referral marketing coordinator need to be on site?

No, the source tracking, outreach scheduling and loop follow-up run through your CRM and phone, so most of the role moves off site cleanly. What stays on site is the in-person visit to a referring office and the face-to-face relationship building a handshake carries.

Can one coordinator manage referrals from many providers at once?

Yes, a single coordinator running one consistent process across every referring source is where the seat earns its keep, because each source carries its own history, cadence and open loops. One person tracking all of them closes appointments that scattered ownership lets slip.

What does a referral marketing coordinator cost against an in-house hire?

A referral marketing coordinator bills $10.00 to $12.65 an hour with no employer load, while a full-time in-house referral liaison at the $45,930 administrative median runs about $68,252 once benefits and payroll taxes are added. The gap applies only to the hours that move.

Are referral marketing coordinators HIPAA compliant?

Yes, a referral marketing coordinator can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The practice still controls which systems and patient data the coordinator can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a referral marketing coordinator work in my EHR and referral tools?

Yes, referral marketing coordinators routinely work inside a practice's existing systems, though experience with any specific system varies by candidate. Many bring prior time in systems such as athenahealth, eClinicalWorks, and referral tracking logs. Access is granted and controlled by your practice, so confirm your stack during the interview. Our guide on whether a virtual assistant can work in your EHR covers how access is set up.

What tasks does a referral marketing coordinator handle?

A referral marketing coordinator runs source outreach, tracks inbound and outbound referrals, schedules provider-liaison visits, coordinates thank-you and follow-up, supports events, and reports on referral sources. Many also keep the referral log current and flag stalled referrals. They follow your scripts and route clinical questions to your licensed staff.

Can a referral coordinator grow referral volume?

Yes, a referral coordinator can grow referral volume by keeping outreach consistent, thanking sources, and closing the loop on every referral. Steady follow-up is the main lever, which is easier with a dedicated coordinator than with staff who fit it around clinical work.

How does Honest Taskers staff referral marketing coordinators?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and coordinators handle source outreach, referral tracking, provider liaison, follow-up, event coordination, and reporting while routing clinical questions to your staff. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how a healthcare-focused virtual professional can support your practice.

How fast can you hire a referral marketing coordinator?

Most companies place a referral marketing coordinator within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the role, the screening depth, and your interview process.

Choosing between a referral marketing coordinator and in-house staff separates one virtual role from an on-site liaison before it becomes a budget call. This guide opens with how a virtual referral marketing coordinator differs from an in-house referral liaison, then names the referral work only a person in the building can do that a remote coordinator cannot. From there it walks the remote scope, meaning the source tracking, outreach scheduling and loop follow-up a coordinator owns, how they track referral sources and close the loop, and how they keep referring-provider relationships warm without a desk in the office. Cost comes next in two parts, what an in-house liaison runs a practice once benefits load in, against what an hourly coordinator costs per active referral source. Then come the practical calls: which option revives a dormant source faster, what an unclosed loop costs a practice in lost appointments, whether remote or in-house is the better fit, and when a blend is the right call. Which wage and referral-completion sources support the figures closes the page, so you can rerun the comparison on your own numbers.

What separates a virtual referral marketing coordinator from an in-house referral liaison?

A virtual referral marketing coordinator is a remote professional whose whole focus is your referral pipeline, whereas an in-house referral liaison is an on-site employee who also walks the halls and shakes hands with referring offices in person. Depth against presence is the real split. Working the pipeline every day, a dedicated coordinator keeps every source logged, every loop closed and every follow-up sent instead of letting them drift when the front desk gets loud. An in-house liaison brings physical presence and can drive to a referring practice for a face-to-face check-in, yet the tracking and reporting compete with a dozen other duties. Honest Taskers places a virtual medical assistant who runs the referral work inside your own CRM and phone system, rather than an agency that markets on your behalf, and that distinction sets the scope. You'll gain steady loop-closing and give up the in-room handshake, and for many practices the pipeline is work you can outsource, needing a consistent owner more than a chair.

What referral work can an in-house referral liaison do that a remote referral marketing coordinator cannot?

A short list of referral work needs a person on site, and naming it plainly matters before any cost table. In-person visits and face-to-face relationship building stay in the building.

Drive to a referring office and meet the front desk or provider face to face.
Drop off printed materials and read the room during a walk-in visit.
Attend a lunch or an open house where relationships get built in person.
Notice the unspoken signals a handshake carries that a call and an email miss.

Everything past that column lives in the CRM, the phone and the inbox, so the on-site list stays short. Keeping it explicit is the point. A practice that assumes the whole role must sit in the building pays a loaded salary for tracking and follow-up that never needed the desk, and that's the misread the cost sections below correct.

What source tracking, outreach scheduling and loop follow-up does a remote referral marketing coordinator cover?

Nearly all of the referral work that lives in software moves to a remote referral marketing coordinator, which is most of the role. Recurring tasks such as logging each new referral source, scheduling outreach calls to referring providers, sending thank-you follow-ups after a referral lands, and running weekly referral reporting all sit in the coordinator's queue. So does chasing the open loops, meaning the referrals that came in but never turned into a booked appointment.

Running that cadence without a gap is where a dedicated owner beats a liaison who keeps dropping it when patients pile up at the desk. Steady tracking and prompt thank-you notes tell a referring office their patients are handled. For a fuller picture of who does this work well, see our roundup of the best referral marketing coordinator companies. Scope stays wide here because the tooling is remote by nature, and the only limit is the on-site column above.

How does a referral marketing coordinator track referral sources and close the loop?

A referral marketing coordinator tracks referral sources by giving every referring provider a record in the CRM and then working that record until the referred patient has a booked appointment. Each source gets a profile that holds who referred, when, for what, and where the referral stands right now. Nothing sits in someone's memory or a sticky note. The coordinator watches the gap between a referral arriving and an appointment landing, and that gap is the loop.

Closing it means chasing the referrals that stall. When a referred patient hasn't scheduled, the coordinator calls, sends the portal link, and follows up until the visit is on the calendar or the patient declines. They log the outcome either way, so the referring provider gets a straight answer instead of silence. That's the difference between a pipeline that leaks and one that holds, and it's steady phone-and-record work rather than anything that needs a room.

How does a referral marketing coordinator keep referring-provider relationships warm?

A referral marketing coordinator keeps referring-provider relationships warm through a steady rhythm of contact that never lets a source go quiet. The thank-you follow-up does more than good manners: it tells the referring office their patient was seen and cared for, which is the single strongest reason a provider refers again. Scheduled outreach calls keep the channel open between referrals, and a monthly note on how shared patients are doing closes the loop the provider cares about most.

Referral data carries patient information, so this contact happens under HIPAA safeguards rather than around them. Honest Taskers professionals are HIPAA trained and work under a Business Associate Agreement when they handle patient data, which is why the relationship work moves off site safely. The same discipline shapes the wider role, so for the full picture see our explainer on what a virtual medical assistant is. Warm sources refer more, and that's the point: a warm source hears from you between the referrals, not only when one's gone missing.

What does an in-house referral liaison cost a practice once benefits load in?

An in-house referral liaison costs far more than the salary line, because employer load lands on top of every wage dollar. Anchored to the administrative median, here's how the recurring cost stacks up.

Fully loaded annual cost of an in-house referral liaison, administrative median anchor
Cost component	What it covers	Percent on top of wages	Amount
Base salary	The advertised pay for the role	n/a	$45,930
Insurance	Health and related coverage	17.5%	$8,038
Paid leave	Vacation, sick days and holidays	11.9%	$5,466
Legally required	Employer FICA, unemployment, workers' compensation	10.2%	$4,685
Supplemental pay	Overtime, bonuses and shift differentials	4.5%	$2,067
Retirement and savings	Employer contributions and match	4.5%	$2,067
All-in recurring	What the seat costs before equipment or space	48.7%	about $68,252

A referral liaison who does outreach in person can sit above the administrative median on the local market, so treat $45,930 as a conservative floor and run your own wage through the same load. Filling the seat adds an average $5,475 per hire, and that cost returns on every departure.

What does an hourly referral marketing coordinator cost per active referral source?

An hourly referral marketing coordinator costs $10.00 to $12.65 an hour depending on role, background, schedule and location, billed by the hour with no weekly minimum and none of the employer load in the table above. Referral tracking for a handful of sources rarely fills a full-time seat, which is why hourly billing fits it so well. A part-time schedule at 20 hours a week runs roughly $10,400 to $13,156 a year, and full-time at 40 hours runs about $20,800 to $26,312, still short of the loaded in-house figure.

Price it per active referral source and the picture sharpens. A practice with a few steady referrers needs a light weekly commitment, and a group with dozens of active sources scales the hours instead of adding a salary. For the pricing detail, our guide to how much a virtual medical assistant costs covers the rate. Work your own figure rather than trusting either number, using local wages for the in-house side and your source count for the remote one.

Which option revives a dormant referral source faster?

A dedicated coordinator revives a dormant referral source faster, because a source that stopped sending patients is a problem someone has to work rather than wait out. Referrers go quiet for a reason, whether it's a bad handoff, a missed thank-you or a competitor who called first. Speed here is attention. Watching the pipeline daily, a coordinator spots the drop, reaches out to find the cause, and rebuilds the cadence before the referrer settles into sending elsewhere. An in-house liaison buried in front-desk work notices the silence months later.

Standing the role up is quick too. Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial, so fit gets tested on real referral work before anything further is committed. Honest Taskers also reports 99.6% average monthly retention, so the person who learns your referrers stays with them. Recruiting an in-house liaison in most markets takes longer before onboarding even starts.

What does an unclosed referral loop cost a practice in lost appointments?

An unclosed referral loop costs a practice booked appointments, because a referral that never turns into a scheduled visit is revenue that walked in the door and left. The scale is documented. One academic primary-care network logged 103,737 referral scheduling attempts, of which only 36,072, or 34.8%, had a documented completed appointment, while 40,377, or 38.9%, had no appointment date recorded at all (Source: Journal of General Internal Medicine, 2018). Nearly four in ten referrals left no trace of a booking.

Quiet by nature is what makes the failure dangerous. A referral that stalls doesn't announce itself, the patient simply never schedules, and the referring provider quietly decides your practice drops the ball. Each missed loop is one appointment alone and a shrinking pipeline together. Treating referral follow-up as one of the tasks to outsource to a virtual medical assistant, rather than something the front desk gets to when the phones slow down, is what keeps that erosion from starting.

Is a remote or in-house referral marketing coordinator the better fit?

Hire remote when the tracking, outreach and follow-up are the job, and keep it in-house only when in-person visits to referring offices are the core of the role you're already staffing. Sort the work into two columns before pricing anything, because the split decides the answer more than any rate does. On-site visits go in the first column and CRM-and-phone work in the second, and then a few tests settle it.

Is the on-site column small? For most practices the referral work is almost entirely remote, which points to an hourly coordinator.
Does the work fill a full week? A modest set of referrers rarely does, and hourly billing fits a workload no salary can be sized to.
How many active sources are there? More referrers favor a dedicated owner running one process.
Do in-person visits drive your referrals? Where a handshake wins the business, keep a liaison on the road and hand the tracking to a coordinator.

When is a blend of in-house and remote referral marketing coordinator work the right call?

Many practices that get this right run both, because the two halves of referral work cover different ground. The pattern that holds keeps an in-house liaison for the in-person visits, the lunches and the relationships built face to face, then hands the tracking, scheduling and loop follow-up to a remote coordinator who works it every day. That's augmentation rather than replacement, and it shows up first as the liaison getting hours back for the road work that genuinely needs them out of the office.

Watch for a liaison spending real time buried in the CRM between visits, doing the follow-up unevenly because it keeps losing to the next appointment. That's the signal to hand tracking to a dedicated owner. To size whether the workload justifies either seat, our checklist of the signs your practice needs a virtual assistant helps frame the decision. A single practice with a light referral base usually doesn't need more than the coordinator.

Which wage and referral-completion sources support this referral marketing coordinator comparison?

Wages here come from the Bureau of Labor Statistics (Source: Bureau of Labor Statistics, "Occupational Employment and Wage Statistics", May 2025, occupation code 43-6013), medical secretaries and administrative assistants, used as a conservative anchor because no single code covers a practice referral coordinator. Employer load percentages come from the same agency (Source: Bureau of Labor Statistics, "Employer Costs for Employee Compensation", March 2026), office and administrative support in private industry, applied as separate components so paid leave and legally required benefits aren't counted twice. The referral-completion figures come from an academic primary-care network study (Source: Journal of General Internal Medicine, 2018). Cost per hire comes from SHRM (Source: SHRM, "2025 Benchmarking Report"). Honest Taskers rates come from the company's own published rate card. Every wage here is a national median, so all of them move with your local band, which is why the honest comparison is the one you run on your own numbers.

Honest Taskers, Healthcare Success, and MyOutDesk lead this year's shortlist of referral marketing coordinator companies, nine firms ranked on how they build relationships with referring practices, track where referrals come from, close the loop with a report back to the referrer, and chase the referrals that never arrive. Referral marketing is business-to-business work with a compliance edge, because rewarding a referral source can cross into an illegal inducement. Below we set out what a coordinator may offer a referring physician, why a thank-you gift can breach the anti-kickback statute, what the role costs part-time, whether referrals are tracked by practice and provider, and which sources to contact first.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best referral marketing coordinator companies

Referral marketing is relationship maintenance with a reporting spine, so we assessed both halves. On relationships, that's identifying and contacting referring practices, arranging visits or calls with their staff rather than only their physicians, and keeping a record of who refers what. On reporting, it's tracking referral volume by source, closing the loop by sending outcomes back to the referrer promptly, and noticing when a reliable source goes quiet.

From there we compared five things, which are whether business-to-business or referral work is described, product type, healthcare focus, published pricing, and patient data posture. One firm names business-to-business healthcare marketing explicitly, which is Healthcare Success, and that's the closest published match to referral development in this group. The rest approach referrals through listings, digital channels, or placed staff, and we say which per entry rather than implying a referral program where none is described.

For the compliance limits, the Office of Inspector General publishes guidance on the anti-kickback statute and the arrangements that constitute unlawful inducement, and the Centers for Medicare and Medicaid Services publishes the physician self-referral rules that constrain financial relationships between referring providers. On the in-house side, the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics reports a national median of $37.87 an hour for market research analysts and marketing specialists, about $78,760 a year.

What may a coordinator offer a referring physician?

Nothing of value, which makes this a different activity from referral marketing anywhere else, and the difference is legal rather than stylistic. Offering anything of value to induce a referral for services payable by a federal program can breach the anti-kickback statute, and financial relationships between referring physicians are separately constrained by self-referral rules. Gift cards, revenue shares, free staff, subsidised rent, and lavish entertainment have all featured in enforcement actions.

What is permissible is the unglamorous version. Make yourself easy to refer to, meaning fast access, a simple referral pathway, and someone who answers the phone. Report back promptly, because the single most common complaint from referring practices is never hearing what happened to their patient. Provide genuine education, and keep hospitality modest and documented.

So the practical test for any vendor is whether it proposes incentives. A firm suggesting rewards for referrers is proposing risk you'll carry, not them. A firm that talks about turnaround times, access, and closing the loop understands that in healthcare the best referral marketing is operational reliability rather than persuasion.

1. Honest Taskers

Best for: practices that want referrals tracked properly and referrers contacted every month.

Pricing: $10.00–$12.65/hrType: Placed coordinatorLocation: US clients; PH, LatAm, India and Pakistan recruitingFirst hire: Two-week working trial

Honest Taskers names marketing among its four service categories and places a healthcare-trained person, which fits referral work better than an agency retainer does, because the job is mostly persistent administration. A coordinator can maintain the referrer list, log every referral by source, send outcome letters back promptly, flag sources whose volume has dropped, and keep in touch with the referring practice's staff rather than only its physicians. Closing the loop is the part practices consistently fail at and referrers consistently complain about, and it needs someone whose job it is. Candidates train on HIPAA and data privacy under a dedicated compliance officer and sign a Business Associate Agreement when they'll access PHI, with compliance verified by Accountable, which is essential when outcome information is being sent between practices. Rates run $10.00 to $12.65 an hour with a two-week working trial on the first hire.

Limitation: referral marketing isn't broken out as a named service publicly, and a remote coordinator can't make in-person visits to referring practices.

2. Healthcare Success

Best for: specialists and health systems that need a structured physician referral program.

Pricing: Not publicly listedType: Agency retainerScope: B2B healthcare marketing, PR, content, paid, reputationScale: 1,000+ healthcare clients since 2006

Healthcare Success names business-to-business healthcare marketing as a service, which is the published capability closest to physician referral development in this group, and it also lists staff training, useful because referral programs usually fail on execution inside the practice rather than on strategy. It has worked exclusively in healthcare since 2006 with more than 1,000 clients and a 40-plus team, covers public relations and content that support professional credibility with referrers, and names HIPAA-protected call tracking for measuring where enquiries originate.

Limitation: no pricing is published, and a full agency program is more than a single specialist practice usually needs.

3. MyOutDesk

Best for: practices wanting a placed assistant to run outreach and follow-up at low cost.

Pricing: Not publicly listedType: Placed coordinatorLocation: Philippines, Peru, MoroccoCompliance: HIPAA compliant, BAA-ready

MyOutDesk places virtual assistants including marketing and administrative roles who can maintain a referrer database, run outreach sequences, and chase outstanding referral paperwork. It states it's HIPAA compliant and BAA-ready, which matters here because referral coordination involves patient information moving between practices. It also runs a healthcare line with medical receptionist and billing placements, so its recruiting screens for healthcare settings, and its US headquarters plus offshore delivery gives coverage options.

Limitation: referral marketing isn't named as a service, so scope and the compliance boundary need defining before you start.

4. Cardinal Digital Marketing

Best for: multi-location groups marketing to referring physicians as a professional audience.

Pricing: Not publicly listedType: Agency retainerScope: Paid media, SEO, analytics, B2B for physiciansFocus: Multi-location healthcare

Cardinal works exclusively in healthcare and references business-to-business marketing for physicians alongside its paid media, SEO, website, and business intelligence work, with named strength in multi-location provider groups, DSOs, behavioral health, and veterinary. Reaching referring physicians through professional targeting is a legitimate approach at scale, and its analytics capability is the part that would tell you whether referral volume moved. It claims a HIPAA-compliant tech stack.

Limitation: referral program management isn't a named service, and it's built for multi-location groups rather than single practices.

5. Intrepy

Best for: specialists whose referrers look them up before sending a patient.

Pricing: Not publicly listedType: Agency retainerScope: Physician listings, branding, SEO, videoScale: Since 2014; 40+ subspecialties

Intrepy names physician listings management, medical graphic design and branding, and video marketing, working exclusively with private practices across 40-plus subspecialties including orthopedics, plastic surgery, urology, and fertility. The referral relevance is indirect but real, because a referring physician's staff frequently searches a specialist before sending a patient, and inconsistent listings or a thin profile undermine confidence. Video of the specialist explaining their approach does more for referrer trust than a brochure.

Limitation: referral development isn't a named service, and no compliance posture is stated.

6. Practice Builders

Best for: practices wanting referral support from a firm that has worked only in medicine since 1979.

Pricing: Not publicly listedType: Agency retainerScope: Listings management, content, reputation, advertisingScale: Since 1979; ~16,000 practices

Practice Builders has worked exclusively with medical practices since 1979, reporting nearly 16,000 practices served, and covers listings management, content marketing, reputation management, and healthcare advertising. Longevity is worth something in referral work specifically, because a firm that has watched referral patterns across decades understands that these relationships are built on reliability rather than campaigns. Its enquiry form accepts monthly budgets from under $400.

Limitation: referral marketing isn't a named service, and it states no HIPAA or patient data posture.

7. Neolytix

Best for: practices whose referral problem is that nobody answers the phone.

Pricing: Not publicly listedType: Service plus staffingScope: Patient access contact center, marketing servicesSecurity: ISO 27001

Neolytix runs a patient access contact center alongside its healthcare marketing, revenue cycle, and credentialing services, and that contact center is the relevant capability, because referrals are lost at the point of contact more often than at the point of persuasion. A referring practice that can't get through, or whose patient waits three weeks for a callback, stops referring regardless of any marketing. It holds ISO 27001 certification, publishes small-practice and mid-market tiers, and reports 270-plus organizations across 31 specialties and 40 states.

Limitation: referral marketing isn't named, so this addresses access and intake rather than referrer development.

8. Officite

Best for: practices needing a secure referral pathway on their website.

Pricing: Not publicly listedType: Agency plus softwareScope: Websites, HIPAA-compliant email and forms, schedulingScale: 8,000+ practices since 2011

Officite provides medical websites with secure HIPAA-compliant email and encrypted contact forms plus online appointment scheduling, which is the practical infrastructure a referral pathway needs. A referring practice sending clinical detail through an unencrypted web form is a problem for both parties, and a proper referral form removes it. More than 8,000 practices use its websites and it's a recommended provider for ACFAS and ASGE.

Limitation: referral marketing isn't a named service, so it supplies the pathway rather than the relationship work.

9. MedResponsive

Best for: practices wanting a custom referral portal or tracking tool built.

Pricing: Not publicly listedType: Agency retainerScope: Web and application development, database work, SEO, contentScale: Operating since 2002

MedResponsive names web application, mobile application, software, and database development alongside its marketing services, with a copyright dating from 2002. For a practice whose referral tracking currently lives in a spreadsheet, a purpose-built portal where referrers can submit and check status solves the closing-the-loop problem structurally rather than relying on someone remembering to send letters.

Limitation: referral marketing isn't a named service, healthcare is one vertical of several, and no compliance posture is stated.

Why can a coordinator's thank-you gift breach the anti-kickback statute?

Because anything of value offered to induce a referral for services payable by a federal program is caught by it, whatever the intention behind the gift.

Inducements. Anything of value offered for referrals can breach the anti-kickback statute.
Financial relationships with referring physicians, which are separately constrained by self-referral rules.
Hospitality without limits. Keep it modest, documented, and educational in purpose.
Patient information between practices. Outcome reporting needs a proper channel, not email attachments.
No source tracking. If you can't say who refers, you can't tell when a source stops.
Loop never closed. The most common referrer complaint is never hearing what happened.
Marketing over operations. Slow access loses referrals faster than any campaign wins them.

What does a referral marketing coordinator cost part-time?

Ten to fifteen hours a week covers maintaining the referrer list, logging every source, sending outcome reports back, and keeping up a monthly contact rhythm. Only Honest Taskers publishes a rate, at $10.00 to $12.65 an hour for a placed coordinator. Every other firm quotes on request, with Practice Builders' enquiry form implying monthly budgets from under $400 upward.

Referral coordination is usually a part-time role rather than a campaign budget. Ten to fifteen hours a week covers maintaining the referrer list, logging sources, sending outcome reports, and monthly contact, landing near $450 to $800 a month at published staffing rates. Compare that against the value of a single reliable referring practice, which for most specialists is worth many multiples of the annual cost, and the arithmetic settles quickly. Agency programs cost more and make sense when you're entering a new market or need professional-audience campaigns rather than relationship administration. Rates change, so treat these as dated readings.

Does the coordinator track referrals by practice and provider?

Monthly and by both, because a source you cannot name is a source you cannot notice going quiet, and that heads this list.

An explicit refusal to propose incentives or rewards for referrers.
Source tracking by referring practice and provider, reported monthly.
A closing-the-loop process with a stated turnaround for outcome reports.
A secure channel for clinical information moving between practices.
Contact with referring practice staff, not only physicians.
Alerts when a regular source goes quiet.
Attention to access and turnaround, since operations drive referrals.
A BAA where patient outcome information is handled.

Which referral sources should the coordinator contact first?

Your top ten and the ones that have gone quiet, which most practices cannot currently list because nobody logs referrals by source.

List every referral received in the last twelve months by source, which most practices cannot currently do.
Identify your top ten sources and the ones that have gone quiet.
Measure how long an outcome report currently takes to reach the referrer.
Check your access times, because that's what referrers judge you on.
Write the compliance boundary, including what hospitality is permitted.
Set a monthly contact rhythm and assign it to a named person.
Review at 90 days on referrals by source and outcome report turnaround.

If the role would also cover intake and scheduling, the multi-purpose virtual assistant service page explains how one placement covers several gaps.

Methodology and sources

We verified each company at its own website on August 21, 2026, recording whether business-to-business or referral work is described, product type, healthcare focus, published pricing, and any stated patient data posture. Guidance on the anti-kickback statute and unlawful inducement comes from the Office of Inspector General, and physician self-referral rules from the Centers for Medicare and Medicaid Services. Honest Taskers names marketing as a service category; referral work isn't broken out, so its entry carries that limitation. Where a firm does not describe referral development we say so rather than inferring it from general marketing capability. Rates are volatile and were captured as dated points. Unpublished facts are marked "not publicly listed" and self-stated claims are labeled company-reported.

Referrals are lost at the point of contact more often than at the point of persuasion, so our multi-purpose virtual assistant service page sets out how one placement can cover referral coordination alongside phones and scheduling.

Because outcome reporting moves patient information between practices, the about page explains the training and compliance model behind the placements described here.
