Does a recruitment process outsourcing provider make the final hiring decision?

No, the provider does not make the final hiring decision. It sources, screens and verifies candidates, then hands a short list to the client. The client interviews, chooses, sets the offer terms and manages the person afterward. That split of ownership is the defining feature of the model.

How fast can recruitment process outsourcing fill a role?

Speed depends on the model and the client's own responsiveness. A provider with a warm, pre-screened pipeline can turn a months-long search into a short list within days. Honest Taskers reports that most placements complete within one to three weeks of a signed agreement. Interview scheduling and the start date still sit with the client, so a slow decision stretches any timeline.

Can recruitment process outsourcing recruit licensed clinicians?

Yes, some healthcare recruiters can source licensed clinicians. Honest Taskers' talent pool includes licensed nurses and physicians, which describes recruiting reach rather than the scope of any single placement. Placing a licensed clinician into a client's own workforce is a heavier engagement than staffing a remote support role. Confirm a candidate's background and the intended scope in the interview.

What should you check before choosing a recruitment process outsourcing provider?

Check the provider's model, healthcare depth and what it publishes. Ask where it recruits, how it screens and verifies candidates, and whether it signs a Business Associate Agreement for roles that touch protected health information. Match the model to your hire, since a one-off search wants RPO and ongoing remote support wants staffing. Get every unpublished price or timeline in writing before you commit.

Is Honest Taskers a PEO for dental practices?

No, Honest Taskers is a healthcare-focused virtual staffing company, not a PEO. It places administrative professionals who support the HR paperwork side of a dental practice, such as onboarding files, employee records and time-off tracking. Employer-of-record status, payroll tax filing, benefits underwriting and labor-law liability stay with a PEO or a dedicated HR service.

What dental HR tasks can a virtual assistant handle?

A virtual assistant can handle the recurring administrative HR tasks that do not need an employer's legal authority. That covers job posting, resume screening, interview scheduling, new-hire packet assembly, benefits enrollment coordination, PTO tracking and employee record upkeep. Decisions on hiring, discipline and termination stay with the practice owner.

Can a virtual assistant file payroll taxes for a dental practice?

No, a virtual assistant does not file payroll taxes or act as the employer of record. Payroll tax filing and benefits administration belong to a payroll processor or a PEO that carries the liability. A virtual assistant reconciles timesheets and gathers the forms so the payroll provider works from clean data.

Does a dental HR virtual assistant need a Business Associate Agreement?

Yes, a signed Business Associate Agreement belongs in place before the professional reaches any protected health information. Honest Taskers signs one when the professional will access patient data, and its staff are HIPAA-trained under a dedicated compliance officer. HR files often sit near clinical records, so the agreement comes before the software account.

How long does it take to set up outsourced dental HR support?

Most Honest Taskers placements complete within one to three weeks of a signed agreement. The scoping work before the signature is what a practice controls, and writing down which HR tasks move first shortens it. A two-week working trial on the first selected hire lets the practice test the arrangement on one queue before committing further.

Which company is best overall for HR outsourcing?

Honest Taskers leads this list, best for practices wanting HR administration handled without changing who employs their staff. TriNet and Neolytix follow, and each entry names who it suits and where it falls short.

Do these companies sign a business associate agreement?

Not all of them, and this guide says which do. A business associate agreement is the contract that makes it lawful for a vendor to handle protected health information on your behalf, and HIPAA training is not the same thing. Ask for the agreement in writing before any access is granted, and treat a vague answer as an answer.

What should we watch out for?

The most common problems are: buying general HR and discovering credentialing and payer enrollment aren't included; new clinicians onboarded cleanly but unable to bill for months; pEO exit difficulty, since staff records and benefits enrollment sit in the vendor's systems.

Recruitment process outsourcing means handing your hiring, or part of it, to an outside provider who sources and screens candidates on your behalf, and this guide walks the whole purchase in the order a buyer meets it. It opens with what the model is and what such a provider does day to day. From there it covers how a provider sources healthcare candidates and how it screens and verifies their credentials before you interview anyone. Speed comes next, because shortening the time to fill a role is the main thing buyers want. Then it draws the real line between outsourced recruitment and a staffing agency, which decides who owns the hire. Cost gets its own section, priced by model rather than one flat number, with monthly math for the hourly option. After that the guide turns to why healthcare organizations reach for outsourcing at all, what an empty clinical seat costs while it stays open, and which roles fit the model best. It names where recruitment process outsourcing reaches its limits, so you know what a provider cannot do, then closes on how to choose a partner and where these recruitment figures come from. Read it in order and you'll know what to outsource, what to keep in house, and what nobody else gets to decide for you.

What is recruitment process outsourcing?

Recruitment process outsourcing is an arrangement where an organization hands part or all of its hiring to an outside provider that owns the recruiting work and reports back on it. Scope is the thing to pin down first. A provider might run one hard-to-fill role, or take over sourcing, screening and interview scheduling for a whole department, and those two engagements barely resemble each other.

What stays constant is the split of ownership. The provider runs the funnel; the client still signs the offer.

In healthcare that funnel carries extra weight, because a candidate's license, references and background all have to check out before anyone reaches a patient's chart. Recruitment process outsourcing in this setting means a partner who understands medical hiring, not a generalist filling seats. Honest Taskers sits at the healthcare-focused end of the market, recruiting and screening remote professionals rather than running an enterprise-wide hiring program. Ask any provider to write down its scope before you set it beside another.

What does a recruitment process outsourcing provider do?

A recruitment process outsourcing provider runs the hiring funnel from the job profile through sourcing, screening, interview coordination and the offer hand-back to the client. Picture renting a recruiting team rather than a single recruiter. The provider builds the candidate pipeline, filters it against the role's requirements, and presents a short list your own managers interview and pick from.

Healthcare adds steps a general recruiter skips. Verifying a nursing license, confirming US healthcare experience, and checking references against real prior employers all sit inside the provider's work. Neolytix, as one example, folds licensing and credentialing into its recruitment service and recruits physicians, nurses, coders and healthcare IT staff, per its own site.

The provider does not manage the hire afterward. Day-to-day supervision, payroll and performance stay with the employer, and that boundary is exactly why scope matters. Any firm that sources and screens is a different purchase than one that also handles onboarding, so you're paying for whichever you contracted for.

How does recruitment process outsourcing source healthcare candidates?

Recruitment process outsourcing sources healthcare candidates by working several channels at once rather than waiting on job-board applicants. A provider mines its own talent database, taps referral networks, runs targeted outreach to passive candidates already working in healthcare, and posts to the boards where clinical and administrative staff look for work. The point of a dedicated provider is that the pipeline exists before you need it.

Where a provider recruits shapes who you meet. Honest Taskers recruits in the Philippines, Latin America, India and Pakistan, and its professionals work the client's US time zone and approved schedule. Its talent pool includes licensed nurses and physicians, which describes recruiting reach rather than the scope of any one placement.

A healthcare-focused sourcing process also filters early for what a practice cares about, such as strong English communication, healthcare terminology and remote-work readiness. Volume means little without that filter. A hundred unscreened resumes still leave every hour of screening work undone.

How does recruitment process outsourcing screen and verify credentials?

Recruitment process outsourcing screens and verifies credentials by running each candidate through identity checks, background screening, reference calls and license verification before the client ever interviews them. Order matters here. Screening happens up front, so the short list a client sees is already filtered, and that filtering is most of what a practice pays a provider to do.

Verification in healthcare has specific pieces. A provider confirms the candidate's identity, runs background screening, and where a role touches protected health information, checks that the person is trained on privacy handling. Honest Taskers trains its professionals on HIPAA, has that compliance verified by Accountable, and signs a Business Associate Agreement when a professional will access protected health information, the arrangement the US Department of Health and Human Services describes for business associates.

Background screening for international candidates uses local police clearance where a US-style check isn't available. None of that makes the provider the employer of record. The client still owns the final call on whether a candidate fits.

How does recruitment process outsourcing shorten time to fill?

Recruitment process outsourcing shortens time to fill by keeping a screened pipeline ready, so a search does not restart from zero every time a role opens. Time to fill is the stretch between a role going live and a candidate accepting, and most of that stretch is sourcing and screening, exactly the work a provider has already done in advance. That warm pipeline turns a months-long search into a short list you review this week.

Speed comes with an honest caveat. A provider compresses sourcing and screening, but the client still controls interview scheduling, the decision and the start date, and any of those steps can stall a fast pipeline.

Honest Taskers reports that most placements complete within one to three weeks of a signed agreement, a range that moves with the role and the client's own responsiveness. Vacancies get expensive while they last, a pressure the wider healthcare staffing shortage statistics 2026 make plain, so shaving weeks off a search carries real money.

What separates recruitment process outsourcing from a staffing agency?

Recruitment process outsourcing differs from a staffing agency in who owns the hire and how the relationship is priced. An RPO provider embeds in your hiring, runs the process under your employer brand, and hands you employees you bring on directly, often on a retainer plus a success fee. A staffing agency keeps the worker on its own books and rents that person to you, so the agency stays the employer while you pay by the hour or week for as long as the work lasts.

The line blurs in practice, and the market shows it. Kinetix and HealthCare Recruiters International sell outcomes-based RPO built for hospitals and health systems, per their sites, while Staffingly and Honest Taskers place people you direct and pay by the week or hour.

Neither model wins in the abstract. A single hard-to-fill hire suits RPO; ongoing remote support suits staffing. Sorting out which one you're buying keeps you from setting two firms side by side that were never alternatives.

How much does recruitment process outsourcing cost?

Recruitment process outsourcing is priced three ways, and the model matters more than any single figure. Staffing runs on a rate per hour or per week. Outcomes-based RPO ties the fee to a made hire, and retainer RPO blends a monthly fee with a success fee per placement. Most RPO firms in this market, such as Kinetix, AMN Healthcare and HealthCare Recruiters International, publish no pricing and quote against a defined scope instead.

On the staffing side the numbers are visible. Honest Taskers charges $10.00 to $12.65 an hour, set by the candidate's background, schedule, scope and location. Staffingly lists $399 a week per full-time equivalent at 45 hours (company-reported). The table below shows what the hourly range works out to across two common schedules.

Honest Taskers monthly cost by schedule, at the published hourly range.
Schedule	Hourly rate	Monthly estimate
20 hours a week	$10.00 to $12.65	$800 to $1,012
40 hours a week	$10.00 to $12.65	$1,600 to $2,024

Why do healthcare organizations use recruitment process outsourcing?

Healthcare organizations use recruitment process outsourcing because hiring clinical and administrative staff has grown slow, competitive and expensive, and an outside team with a ready pipeline lifts that load off an internal recruiter who is already stretched. A practice manager juggling payroll, scheduling and patient flow rarely has room to run a proper search, and a half-run search produces weak hires.

Workforce scarcity is the backdrop. The federal Health Resources and Services Administration maps designated shortage areas in its health workforce shortage-area data (Health Resources and Services Administration, 2026), and in a tight market the organizations that source and screen fastest win the candidates.

Outsourcing the recruiting function also turns a fixed internal cost into one you scale up or down with hiring need. For many small practices the draw isn't scale at all. It's simply getting one strong remote hire without burning six weeks on it themselves.

What does a vacant clinical role cost while it stays open?

A vacant clinical role costs money every day it stays open, in lost billable visits, overtime for the staff covering the gap, and turnover risk among the people absorbing the extra work. Unlike a recruiting fee, this cost never shows up on an invoice, which is exactly why it gets ignored until a provider's schedule has holes in it.

Put a rough frame on it rather than a fake precise number. One unfilled front-office or clinical-support seat means calls going unanswered, appointments unbooked and follow-ups slipping, each with a revenue tail behind it.

Wage figures for the in-house version of these roles sit in the Bureau of Labor Statistics "Occupational Employment and Wage Statistics" program (Bureau of Labor Statistics, 2025), useful for costing the salary side but silent on the revenue a vacancy quietly loses. The takeaway is plain. A search that drags on for months rarely costs less than paying someone to run it well.

Which healthcare roles suit recruitment process outsourcing?

Recruitment process outsourcing suits healthcare roles that are hard to source, high in volume, or remote by nature, since those searches are where a ready pipeline saves the most time. Remote administrative and clinically adjacent roles fit well, such as virtual medical assistants, receptionists, schedulers, insurance verification specialists, billers, coders, scribes and care coordinators.

Clinical and specialized roles get outsourced too. Providers in this market recruit physicians, nurses, technologists and healthcare IT staff, per their sites, though placing a licensed clinician into a client's own workforce is a heavier lift than staffing a remote support seat.

For a practice weighing its first remote hire, the sane starting point is a defined, repeatable role, and our guide on how to hire a virtual medical assistant walks through scoping one. Match the role to the model. A one-off executive search wants RPO; a steady stream of remote support seats wants a staffing partner who keeps candidates flowing.

Where does recruitment process outsourcing reach its limits?

Recruitment process outsourcing reaches its limits at the point where recruiting ends and employment begins, because a provider can source and screen a candidate but cannot make the hire, manage the person, or own the outcome. The final decision, the offer terms and everyday supervision stay with the client, and a provider that oversells its role sets a client up for disappointment.

Onboarding is where this shows up first. A screened candidate still has to be trained on your systems, your patients and your workflows, work our guide on onboarding a virtual medical assistant covers in detail.

Model fit is the other limit. A full-cycle enterprise RPO program built for a hospital filling hundreds of positions is the wrong tool for a small practice hiring one remote assistant, and a staffing firm like Honest Taskers, whose HR and recruiting work isn't published as a named service, is a different purchase than full RPO. Confirm scope in the interview, because the gap between what's promised and what's delivered lives right there.

How do you choose a recruitment process outsourcing partner?

You choose a recruitment process outsourcing partner by matching the provider's model, scope and healthcare depth to the hire in front of you, then checking what each one publishes. Start with the model. Decide whether you're buying a made hire, which points to RPO, or ongoing remote support, which points to staffing, because that alone rules out half the field.

Then press on specifics. Ask where the provider recruits, how it screens and verifies, whether it signs a Business Associate Agreement, and what its published pricing is, treating any unpublished number as a quote you still have to get.

Healthcare experience should stay non-negotiable for a clinical or patient-facing seat. Comparing named vendors side by side helps, and our ranking of best medical recruiting specialist companies lays out what each firm discloses. Pick the model first, the provider second, and get every claim in writing.

Where do these recruitment figures come from?

These recruitment figures come from Honest Taskers' own published rate card and service terms, checked in September 2026, plus each named provider's website read on 2026-08-21. Provider pricing is labeled company-reported where a firm states it, and not publicly listed where none is published, such as the RPO retainers that quote only against scope. Wage context is the Bureau of Labor Statistics program named above; workforce context is the Health Resources and Services Administration shortage-area data. Left out on purpose are any cost-per-hire average, time-to-fill average and savings percentage, because each depends on the payer, program or market and moves without notice, so one national number here would send a hiring decision the wrong way. Nothing on this page is legal advice.

A screened hire is the start of the relationship, not the finish. Groups that have brought on a remote professional and want to keep that person productive should read our guide to managing remote healthcare staff, which covers communication, structured feedback and performance across time zones. Recruiting gets the right candidate through the door; steady management is what turns a good hire into a long-tenured one. It pairs naturally with the scoping and onboarding work above, closing the loop from sourcing a candidate to retaining one who already knows your practice.

Dental HR outsourcing splits along one line, and knowing where that line sits saves a practice from buying the wrong thing. This guide starts with what dental HR outsourcing includes, then walks through which staffing and payroll tasks it can cover and how you decide which dental HR work to hand off first. It looks at how outsourced dental HR keeps a practice compliant with labor law, and how it runs payroll and benefits administration, because both of those sit with a licensed employer or a payroll provider rather than a virtual assistant. From there it covers how outsourced dental HR handles hiring and onboarding, how it safeguards employee and payroll records, and what dental HR outsourcing costs a practice against the market. Timing comes next, meaning how long it takes to set up outsourced dental HR, followed by what happens when a dental practice handles HR informally. Setting a dental HR service beside a PEO to compare the two shows who carries the legal risk, and the closing sections explain how to choose a dental HR outsourcing partner, the real limits of outsourcing dental HR, and which agencies set the labor standards behind all of it.

What does dental HR outsourcing include?

Dental HR outsourcing includes the administrative work that surrounds a practice's people, such as onboarding paperwork, interview scheduling, employee record upkeep, benefits enrollment coordination and time-off tracking. That work sits in two layers, and telling them apart is the whole decision. The heavy layer carries legal weight, meaning employer-of-record status, payroll tax filing, benefits underwriting and labor-law liability, and it belongs to a PEO or a dedicated HR service. Repeatable paperwork and coordination sit in the lighter layer, and a healthcare virtual assistant can support that work from a remote desk. Within the lighter layer sits Honest Taskers, a healthcare-focused virtual staffing company, not a PEO, so it places trained administrative professionals rather than assuming your employer HR liability. A practice that wants the full liability transferred is shopping for a different kind of firm, and knowing that up front is what keeps the two purchases from getting confused.

Which staffing and payroll tasks can dental HR outsourcing cover?

Dental HR outsourcing can cover the recurring staffing and payroll tasks that do not require an employer's legal signature, such as sourcing candidates, screening resumes, booking interviews and reconciling hours before they reach the payroll processor. A virtual assistant typically owns these task groups.

Job posting and resume screening for open front-desk, billing and clinical-support roles.
Interview scheduling across the dentist's calendar and each candidate's time zone.
New-hire packet assembly, such as offer letters, tax forms and policy acknowledgments.
Timesheet and PTO reconciliation before hours move to the payroll processor.
Employee record upkeep inside the practice's HR or scheduling software.

What stays outside that list matters just as much. The virtual assistant does not file the payroll taxes, underwrite the benefits or sign as the employer, because those carry liability a staffing arrangement never takes on. Data preparation is the assistant's part, and the payroll company or PEO acts on it, which keeps the accountable party clear.

How do you decide which dental HR work to hand off?

You decide which dental HR work to hand off by separating the tasks that need an employer's legal authority from the tasks that only need time and attention. Spend a week noting where your office manager's HR hours pile up. The repeatable, document-heavy work, such as chasing signed acknowledgments, updating records and scheduling reviews, is the safe first batch to move. Anything that ends in a decision, meaning who gets hired, who gets disciplined, who gets let go, stays with the owner. Dental teams already run lean, and the American Dental Association Health Policy Institute has documented a sustained dental hygienist shortage across US practices (Source: American Dental Association Health Policy Institute, 2024), so the hours a manager loses to HR paperwork are hours pulled off the schedule and the phones. Handing off the paperwork first returns those hours without moving a single decision off site, which is the split most practices are comfortable starting from.

How does outsourced dental HR keep a practice compliant with labor law?

Outsourced dental HR keeps a practice compliant with labor law through the employer and, where one is engaged, a PEO or dedicated HR service that carries the legal responsibility, while a virtual assistant supports the paperwork underneath it. Labor-law compliance covers wage and hour rules, I-9 verification, required workplace postings and anti-discrimination obligations, and that responsibility rests with the covered employer. A virtual assistant does not assume any of it. Keeping the documentation orderly is the assistant's job, so it tracks completed training dates, files signed acknowledgments, flags renewals before they lapse and keeps records an audit could answer without a scramble. That tidiness makes compliance easier to prove, though it is not the same as owning it. Honest Taskers is not a PEO, it offers no legal compliance guarantee, and it is not the employer of record. A practice that needs the liability itself transferred should read the PEO comparison below before deciding.

How does outsourced dental HR run payroll and benefits administration?

Outsourced dental HR runs payroll and benefits administration through a payroll processor or PEO that files the taxes and underwrites the plans, while a virtual assistant handles the coordination that surrounds them. Tax remittance, wage statements and the insurance carrier relationship sit with that processor or PEO. The virtual assistant works one step ahead of them. It collects new-hire tax and direct-deposit forms, moves open-enrollment paperwork along, keeps PTO balances current, flags timesheet gaps and reconciles hours so the payroll run starts from clean numbers. That coordination is where practices quietly lose time, and it is the part a remote hire can carry well. What it will not do is file a single payroll tax, administer or underwrite a benefit plan, or stand in as the employer of record. Honest Taskers places the coordination support, and the filing and underwriting stay with the payroll firm or PEO that signed on for them.

How does outsourced dental HR handle hiring and onboarding?

Outsourced dental HR handles hiring and onboarding by carrying the coordination on both ends while the practice keeps the yes or no. On the hiring end, the virtual assistant posts the role, screens the inbound resumes against the criteria you set, books the interviews and keeps candidates warm so a strong applicant does not drift to another office during a slow week. For onboarding, it assembles the new-hire packet, collects the signed forms, sets up the software logins the practice approves and schedules the first-week check-ins. None of that removes the owner's judgment from the hire itself. A well-run onboarding also shortens the ramp, since a new front-desk hire who gets a clean packet and a scheduled first week reaches useful work faster. Practices setting this up for the first time can borrow the sequence from our guide to onboarding a virtual medical assistant, which maps the same steps onto a remote hire.

How does dental HR outsourcing safeguard employee and payroll records?

Dental HR outsourcing safeguards employee and payroll records the same way it protects any sensitive file, through access controls, trained handling and a signed agreement, rather than through a promise. Employee records often sit close to protected health information in a dental office, so the safeguards have to be real. A Business Associate Agreement gets signed before the professional reaches patient data, staff are HIPAA-trained under a dedicated compliance officer, and Honest Taskers has its HIPAA compliance verified by Accountable. Remote work screening adds a password-protected work computer, a private workspace and controlled system access that the practice grants and can narrow at any time. HIPAA training is a safeguard, not a guarantee, and the practice stays the covered entity that owns the compliance obligation. What good record handling buys is a clean, retrievable file and a smaller blast radius when something goes wrong, which is worth more than any badge on a website. Practices running a larger remote team can pair this with our guide to managing remote healthcare staff.

What does dental HR outsourcing cost a practice?

Dental HR outsourcing costs a practice either an hourly rate for administrative support or a monthly figure for fuller coverage, and the two sit far apart. Honest Taskers bills its administrative HR support at $10.00 to $12.65 an hour for hours worked, with no payroll taxes or benefits added on top, because the practice is buying hours rather than employing a person. The salaried alternative carries the full employer load, since a US office manager or HR-capable administrator earns a wage tracked by the Bureau of Labor Statistics in its "Occupational Outlook Handbook" for secretaries and administrative assistants (Source: Bureau of Labor Statistics, "Occupational Outlook Handbook", 2024). Taxes and benefits then stack above that wage. For a role-by-role picture on the dental side, see our breakdown of virtual dental assistant cost.

How dental HR support is priced across four models, market figures current for 2026
Model	What it covers	Typical published pricing
In-house office manager on HR	HR duties folded into an existing salaried role	Part of a US office manager salary, not billed separately
HR administrative support (virtual assistant)	Onboarding paperwork, records, PTO tracking, enrollment coordination	$10.00 to $12.65 per hour (Honest Taskers)
Basic HR consulting retainer	On-call policy and compliance questions, no daily admin	About $50 to $200 per month across the market
PEO or full HR outsourcing	Employer of record, payroll tax filing, benefits administration, labor-law liability	Roughly $1,000 to $3,000 per month across the market

How long does it take to set up outsourced dental HR?

Setting up outsourced dental HR takes most practices a few weeks once they know what they want, and the clock is mostly in their hands. Most Honest Taskers placements complete within one to three weeks of a signed agreement, which covers screening, matching and the compliance paperwork. The part that stretches the timeline is the scoping before the signature, meaning writing down which HR tasks move first and which stay with the owner. A practice that walks in knowing it wants onboarding files and PTO tracking off the manager's desk moves faster than one still debating the split. New clients can point a two-week working trial with their first selected professional at a single queue, so the arrangement gets tested on real work before the practice commits further. That trial is short by design, and it is long enough to see whether the paperwork comes back usable and whether the manager's day genuinely changed.

What happens when a dental practice handles HR informally?

When a dental practice handles HR informally, the work does not disappear, it lands on whoever is closest, usually the office manager or the owner between patients. That looks cheap until the gaps show up. Onboarding forms go unsigned, training dates slip, PTO gets tracked in someone's memory, and an employee file has holes right when a dispute or an audit needs it whole. The hidden cost is the manager's attention, pulled off scheduling, insurance verification and the phones to firefight paperwork. Turnover makes it worse, because informal HR leaves no record for the next person to pick up. Handing the routine work to a virtual assistant, or the liability to a PEO, is what turns HR from a scramble into a system. The two are not the same fix, and a practice choosing between them should be honest about whether its problem is missing hours or missing legal protection, because each points to a different provider.

How does a dental HR service compare to a PEO?

A dental HR service and a PEO differ mainly in who carries the legal employment risk. Working as a co-employer, a PEO files payroll taxes, administers and often pools benefits, and takes on defined labor-law liability under a formal arrangement. A dental HR virtual-assistant service does none of that, and it does not pretend to. It supplies administrative hands, billed hourly, with the practice staying the sole employer and the accountable party. Neither one is the better choice in the abstract, they answer different questions.

What a PEO carries versus what a dental HR virtual assistant supports, 2026
Function	PEO or full HR firm	Dental HR virtual assistant
Employer-of-record status	Co-employer, assumes defined liability	No, practice stays the sole employer
Payroll tax filing	Files and remits	Reconciles hours, does not file
Benefits administration	Administers and underwrites plans	Coordinates enrollment paperwork only
Daily administrative work	Varies by contract, often extra	Core of the role
Pricing shape	Monthly fee or percent of payroll	Hourly, for hours worked

How do you choose a dental HR outsourcing partner?

You choose a dental HR outsourcing partner by matching the provider type to the problem in front of you, then checking what each one will put in writing. A practice that needs the payroll tax and liability lifted is shopping for a PEO or a full HR service firm, and the questions that separate those turn on the co-employment terms and the fee structure. When a practice needs paperwork hours back instead, it is shopping for a staffing partner, and the questions there are healthcare experience, a signed Business Associate Agreement, where the talent sits and how replacements work. Ask any provider to name, in writing, exactly which HR functions it takes on and which it leaves with you, because a vague answer is the tell. Honest Taskers ranks first in our assessment for the administrative-support side, and it reports 99.6% average monthly retention, which matters when a queue handed to someone who leaves is a queue you rebuild. For patterns other offices use, see how dental practices use virtual assistants.

What are the limits of outsourcing dental HR?

The limits of outsourcing dental HR come down to what a virtual assistant cannot legally assume. A virtual assistant is not a lawyer, not a PEO and not the employer of record, so it cannot file payroll taxes, cannot underwrite a benefit plan, cannot give legal advice on a termination and cannot sign as a co-employer. Those functions carry liability, and a staffing arrangement is built to supply administrative hands rather than to take on that risk. Honest Taskers staff do administrative and clinically adjacent work, never clinical or legal decisions, and the practice stays the covered entity and the accountable employer. This is the honest ceiling on the model. A practice with a genuine compliance exposure, a live employment dispute or a need to hand off the whole HR liability should engage a PEO or an employment attorney, and use the virtual assistant for the paperwork that surrounds their work. The two together cost less than one full HR outsourcing firm, but only the practice can decide which risk it is buying down.

Which agencies set the labor standards for dental HR?

The agencies that set the labor standards for dental HR are federal and state bodies, not the outsourcing firm, and naming them clarifies which body a practice answers to. Wage, hour and workplace rules come from the U.S. Department of Labor, payroll tax rules from the Internal Revenue Service, anti-discrimination rules from the Equal Employment Opportunity Commission, and licensure and staffing rules from each state's dental board. The figures in this guide carry their own sources. Wage context for administrative roles comes from the U.S. Bureau of Labor Statistics "Occupational Outlook Handbook", and dental workforce pressure from the American Dental Association Health Policy Institute. Honest Taskers rates, the two-week working trial, retention and compliance posture come from the company's own service terms, and the market pricing ranges are read as published industry figures rather than as an Honest Taskers price. Where a number could not be verified honestly it was left out rather than invented, and nothing here is legal advice.

Deciding between an administrative hire and a full liability transfer is a market-level question as much as a practice-level one. Seeing the heavier field described first helps. The wider market is laid out in our ranking of the HR outsourcing companies, which shows where the full-liability providers sit and what each publishes about its terms. It reads best alongside the hiring-pressure context, because most dental offices reach for outside help when they cannot keep the roles filled.

Honest Taskers, TriNet, and Neolytix lead this year's shortlist of HR outsourcing companies for healthcare practices, seven firms ranked on which of the three HR routes they sell, published pricing, accreditations, stated delivery location, and whether clinician credentialing is covered. Healthcare HR carries a burden other industries don't have, which is that a new clinician can't generate revenue until credentialing and payer enrollment are complete, and most HR vendors don't touch that at all. Below we set out whether a vendor handles credentialing and payer enrollment, what happens when a clinician is onboarded but cannot bill, what each route costs, which route a firm is selling, and which problem you need solved.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose these companies

Practices asking about HR outsourcing usually want one of three different things. The first is a professional employer organization, which co-employs your staff and takes over payroll, benefits, workers' compensation, and employment compliance, often giving a small practice access to benefits plans it couldn't buy alone. The second is HR administration staffing: someone handling recruiting coordination, onboarding paperwork, scheduling, and record-keeping, without changing who employs anyone. The third is credentialing and payer enrollment, which is healthcare's distinctive HR burden and sits outside what general HR vendors do.

That third route is the one this comparison exists to surface. A new physician or nurse practitioner cannot bill until they're credentialed with your payers and enrolled, and that process routinely runs 90 to 150 days. A PEO will onboard them cleanly and leave them unable to generate revenue. So we compared which route each firm sells, published pricing, accreditations, stated delivery location, and whether clinician credentialing is covered.

A note on this list's shape, because it affects how you should read it. Most of the large PEOs, including several household names, block automated retrieval of their own websites, so their published facts could not be verified from source. Rather than describe them from directory summaries or memory, this list ranks only firms whose claims we could read directly, and discusses the PEO category itself in the alternatives section. One PEO, TriNet, could be verified and is ranked on that basis.

Where HR work touches employee health information, and it does in a medical practice, the usual compliance framework applies, and the U.S. Department of Health and Human Services sets out what a business associate arrangement requires. Credentialing work in particular means handling clinician records and payer submissions continuously. The local-hire figure to hold these quotes against comes from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics, which reports a median $24.33 an hour for human resources assistants, about $50,610 a year.

1. Honest Taskers

Best for: practices wanting HR administration handled without changing who employs their staff.

Route: HR admin staffingPricing: $10.00 to $12.65/hrCoverage: Client's US hoursFirst hire: Two-week working trial

Honest Taskers sits in the HR administration route: you keep employing your own people and add someone to handle the administrative load around them. That covers recruiting coordination and interview scheduling, onboarding paperwork and document collection, personnel record maintenance, license and certification expiry tracking, credentialing support, and the scheduling and coverage work that eats a practice manager's week. Because professionals work the practice's US hours, they can chase payers, boards, and candidates during business hours rather than leaving a queue overnight.

License and certification expiry tracking is worth singling out, because it's the HR task most practices handle in a spreadsheet nobody owns, and a lapsed license discovered late is both a compliance problem and a scheduling emergency. Rates run $10.00 to $12.65 an hour, reported retention is 99.6% average monthly, and compliance runs on quarterly HIPAA and data privacy training led by a dedicated compliance officer, a Business Associate Agreement signed where the professional will access PHI, remote work screening covering a dedicated password-protected computer with VPN and antivirus requirements, and a security environment described as SOC 2 audit ready, with HIPAA compliance verified by Accountable. See the multi-purpose virtual medical assistant page for scope.

Limitation: we're not a PEO. We don't run payroll, provide benefits plans, carry workers' compensation, or take on employment liability, and if that's what you need, TriNet at position two is the route and we aren't.

2. TriNet

Best for: practices that want payroll, benefits, and employment compliance taken over entirely.

Route: PEO, co-employmentPricing: Personalised quoteAccreditation: IRS Certified PEO, ESAC since 1995Size: 5 to 1,000+ employees

TriNet is the professional employer organization on this list and the only one whose claims could be verified from source. It covers payroll processing, benefits, compliance support across federal, state, and local rules, and HR consulting, serving small to medium businesses with five to more than 1,000 employees, and reports over 22,000 businesses as clients and $70 billion in payroll processed in 2025. For a practice, the real draw is usually benefits: co-employment can give a ten-person practice access to plans priced for a much larger group.

Its accreditations are the strongest published here for this route. A TriNet subsidiary is classified as an IRS Certified Professional Employer Organization, which carries specific tax and liability significance, and it states ESAC accreditation maintained since 1995. Both are worth asking any PEO about by name, because they're the two credentials in this industry that mean something concrete rather than describing an intention.

Limitation: no pricing is published, quotes are personalised after a consultation, and no healthcare or medical practice focus is stated, so clinician credentialing and payer enrollment sit outside what it covers and will need a second vendor.

3. Neolytix

Best for: practices whose real HR bottleneck is getting new clinicians billable.

Route: Credentialing and enrollmentPricing: Not publicly listedScale: 270+ organizations, 40 statesCert: ISO 27001

Neolytix covers CVO credentialing, provider enrollment, and licensing alongside revenue cycle management, and this is the route most HR conversations in healthcare should start with rather than end with. Hiring a physician is the easy part; the 90 to 150 days before they can bill is where the money goes, and a practice that shortens that window by six weeks recovers more than any HR efficiency elsewhere will produce. It reports serving over 270 organizations across 31 specialties in 40 states, publishes explicit small-practice and mid-market tiers, and states ISO 27001 certification.

Limitation: it doesn't do general HR at all, so payroll, benefits, employment compliance, and day-to-day HR administration need a different vendor, and it publishes neither pricing nor delivery location.

4. Cloudstaff

Best for: larger groups building an HR administration team behind named certifications.

Route: Managed teamsPricing: Not publicly listedLocations: PH, Colombia, India, KenyaCerts: ISO 27001, PCI-DSS, GDPR

Cloudstaff supplies managed offshore teams across many functions including HR administration, with four named delivery countries and the fullest certification set here: HIPAA, ISO 27001, ISO 9001, PCI-DSS, and GDPR, with a 99.99% SecurityScorecard rating. It reports 99.5% monthly staff retention and over 1,000 companies served. For a multi-site group with enough HR volume to need several people rather than one, this is the entry that scales without a hiring process each time.

Limitation: HR is one function among many with nothing healthcare-specific itemized, no credentialing is offered, and no pricing is published.

5. Wishup

Best for: practices wanting one HR administrator at a predictable monthly price.

Route: HR admin staffingPricing: $1,299/mo part-time, $1,999/mo full-timeLocation: India-primary; US optionBAA: Organization-level

Wishup publishes the clearest monthly pricing here, at $1,299 for part-time covering 20 hours a week and $1,999 for full-time at 40 hours, which makes it easy to weigh against a part-time practice administrator's salary. It also provides an organization-level business associate agreement to every healthcare client, so the compliance paperwork is in place rather than negotiated, which for a firm that isn't healthcare-specialized is an unusually good position.

Limitation: it's a generalist, so healthcare-specific HR knowledge such as license tracking or credentialing timelines needs testing candidate by candidate, and no coverage schedule is published.

6. Staffingly

Best for: practices wanting the lowest full-time cost for administrative capacity.

Route: HR admin staffingPricing: $399/wk at 45 hrsVolume: $349 at 5+, $299 at 10+Cover: $5M E&O and cyber

Staffingly prices at $399 a week per full-time equivalent covering 45 hours, dropping to $299 at ten or more people, roughly $6.64 an hour at volume, which is the best full-time economics on this list. It names its three delivery countries and publishes the most complete compliance disclosure here: SOC 2 Type II, ISO/IEC 27001:2022, HIPAA, GDPR, a signed business associate agreement, and a $5 million errors and omissions and cyber policy.

Limitation: its role range is billing and clinical-administrative rather than HR, so HR administration is an adaptation rather than a product, and no coverage hours are published.

7. Task Virtual

Best for: small practices wanting hourly administrative help including credentialing support.

Route: HR admin staffingPricing: $6.24/hrLocation: Kolkata, West BengalNamed: Provider credentialing support

Task Virtual publishes $6.24 an hour, the lowest verified rate here, from a stated Kolkata office, and names provider credentialing support among its healthcare tasks, which is unusual for a firm at this price point and covers part of healthcare's distinctive HR burden. Hourly billing rather than a monthly commitment suits a practice whose administrative load rises around hiring and falls in between.

Limitation: it publishes a corporate office rather than where assistants work, states no coverage hours, and credentialing support at this level means paperwork assistance rather than a managed CVO process.

Does an HR outsourcing vendor handle credentialing and payer enrollment?

Most do not, which is the gap that decides this category, because a new clinician cannot bill until both are complete. A PEO co-employs your staff and takes over payroll, benefits, workers' compensation, and employment compliance. For a small practice the benefits access is usually the deciding factor, since co-employment can reach plans priced for a far larger group. The trade-offs are cost, which is typically a percentage of payroll or a per-employee monthly fee, and the difficulty of unwinding the arrangement later, since your staff records and benefits enrollment live inside the PEO's systems. Ask any PEO whether it holds IRS Certified PEO status and ESAC accreditation, since those are the two credentials with concrete meaning.

HR administration staffing at $6.24 to $12.65 an hour adds capacity without changing employment. You keep control, keep the records, and keep the option to change vendors easily. What you don't get is benefits buying power, workers' compensation, or anyone assuming employment liability, so this route suits practices whose HR problem is workload rather than infrastructure.

Credentialing and enrollment specialists solve the problem that neither of the other routes touches, and for most medical practices it's the one with the clearest financial return. A clinician who can bill six weeks earlier is six weeks of revenue you would otherwise have lost while paying their salary. Many practices end up with two vendors, one for general HR and one for credentialing, and that's usually the right answer rather than a failure to consolidate.

What happens when HR outsourcing onboards a clinician who cannot bill?

The hire sits on payroll producing no revenue for months, which is the first and most expensive of the risks here.

Buying general HR and discovering credentialing and payer enrollment aren't included.
New clinicians onboarded cleanly but unable to bill for months.
PEO exit difficulty, since staff records and benefits enrollment sit in the vendor's systems.
PEO pricing quoted as a percentage of payroll, which grows as you hire.
License and certification expiry tracked in a spreadsheet nobody owns.
Employee health information handled without a business associate agreement.
Delivery location unpublished, so you don't know where personnel records are handled.
Generalist firms applying non-healthcare HR assumptions to clinical staffing rules.
Vendors whose accreditation claims can't be verified independently.

How much does HR outsourcing cost per route?

Only the staffing route publishes at all, and four firms do. The three routes are not comparable on price because they deliver different things. Task Virtual lists $6.24 an hour, Staffingly $399 a week at 45 hours falling to about $6.64 an hour at volume, Honest Taskers $10.00 to $12.65 an hour, and Wishup $1,299 a month part-time or $1,999 full-time. TriNet quotes after a consultation, as PEOs generally do, and Neolytix and Cloudstaff quote against scope.

The routes aren't comparable on price because they deliver different things, so compare each against what it replaces. Staffing replaces administrative hours, and $1,000 to $2,000 a month buys most small practices all the HR administration they need. A PEO replaces your payroll provider, your benefits broker, your workers' compensation policy, and some employment liability, so the comparison is against that whole stack rather than against a salary. Credentialing is best judged against revenue timing: if it shortens time to billing by even a month per new clinician, it pays for itself on the first hire. Rates move, so confirm before you sign.

Which outsourcing route is the firm selling?

Establish that before anything else, because a PEO, an HR admin staffing firm and a credentialing specialist answer different problems.

Which of the three routes the firm sells.
Whether clinician credentialing and payer enrollment are included.
IRS Certified PEO status and ESAC accreditation, by name, for any PEO.
How pricing is structured, per employee, per payroll percentage, or per hour.
What exiting the arrangement involves, and who holds your records.
A signed BAA where employee or clinician health information is handled.
Where personnel records are physically handled.
Whether license and certification expiry tracking is included.
Healthcare-specific experience, tested with your own staffing rules.

Which HR problem does outsourcing need to solve for you?

Workload, infrastructure, or time to billing, written down before you shortlist anyone, because the three routes each address a different one.

Write down which HR problem you have: workload, infrastructure, or time to billing.
Measure how long your last two clinician hires took to become billable.
Decide which of the three routes addresses your problem, before shortlisting anyone.
If considering a PEO, price your current payroll, benefits, and workers' compensation stack first.
Ask any PEO to confirm IRS Certified PEO status and ESAC accreditation in writing.
Ask any staffing firm where personnel records are handled and whether a BAA is signed.
Confirm whether credentialing is included, and budget a second vendor if not.
Get exit terms in writing before signing, and more so for a PEO.
Review at 90 days on time to billing for new hires and administrative hours recovered.

Methodology and sources

We verified each company at its own website on August 21, 2026, recording which HR route it sells, published pricing, stated accreditations, stated delivery location, and whether clinician credentialing is covered. Business associate requirements come from the U.S. Department of Health and Human Services. Rates were captured as dated points rather than quotes, and anything unpublished is marked "not publicly listed" rather than inferred. This list is shorter on professional employer organizations than a general HR guide would be, for a stated reason: Paychex, Insperity, Justworks, Gusto and Rippling all block automated retrieval of their own websites, so their pricing, accreditations, and terms could not be read from source. Rather than describe them from third-party summaries, they are omitted from the ranking and the PEO route is discussed in the alternatives section instead. TriNet could be verified and is ranked on the same criteria as everyone else. This list is written for healthcare practices, which is why clinician credentialing appears as a criterion that a general HR comparison would not include.
