Q: Does a virtual psychiatric medical assistant score PHQ-9 and GAD-7 results?

No, the assistant sends the scales, collects the responses and enters the results, but never scores or interprets them clinically. Reading the numbers and any change to the treatment plan stays with the clinician. The assistant's job is coverage and follow-through, so every patient gets the scale and every response lands in the chart.

Q: How fast can a virtual psychiatric medical assistant start?

Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial. Recruiting an in-house psychiatric medical assistant in most US markets takes longer before onboarding even begins. Where a placement isn't the right fit, the replacement runs through the same process.

Can a virtual psychiatric medical assistant approve medication refills?

No, a virtual psychiatric medical assistant never approves, denies or decides a refill. The assistant logs the request, routes it to the prescriber for the decision, then records the outcome and closes the loop with the pharmacy. The clinical decision stays with the licensed prescriber every time, which matters most for controlled substances.

Is a virtual psychiatric medical assistant HIPAA compliant?

Yes, when a Business Associate Agreement is signed and system access stays under practice control. No person or agency holds a HIPAA certification, so what protects the practice is the agreement plus the access controls behind it. Honest Taskers professionals are HIPAA trained, with compliance verified by Accountable.

How much does a virtual psychiatric medical assistant cost compared with an in-house hire?

A virtual psychiatric medical assistant runs $10.00 to $12.65 an hour with no employer load, about $20,800 to $26,312 a year at 40 hours a week. An in-house medical assistant at the $45,690 median costs about $67,895 all-in once benefits and payroll taxes are added. Run the math on your own local wages for the hours that move.

What psychiatric tasks can a virtual assistant not do?

A virtual assistant can't room a patient, handle physical prescriptions or controlled-substance paperwork kept on-site, collect an in-person co-pay, or manage a walk-in crisis in the waiting room. Anything clinical stays with the licensed prescribers and therapists. Everything living in the EHR and payer portals can move to a remote seat.

Are virtual psychiatric medical assistants HIPAA compliant?

Yes, a virtual psychiatric medical assistant can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The practice still controls which systems and patient data the assistant can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a virtual psychiatric medical assistant work in my EHR?

Yes, virtual psychiatric medical assistants routinely work inside a practice's existing EHR, though experience with any specific system varies by candidate. Many bring prior time in systems such as TherapyNotes, SimplePractice, and athenahealth. Access is granted and controlled by your practice, so confirm your stack during the interview and read more on whether a virtual assistant can work in your EHR.

What tasks does a virtual psychiatric medical assistant handle?

A virtual psychiatric medical assistant handles new-patient intake, appointment scheduling, insurance verification, medication prior authorizations, superbills, and patient portal messages. Many also run no-show follow-up and documentation support. They follow your scripts and route clinical questions to your licensed staff.

Can a virtual psychiatric medical assistant give clinical or medication advice?

No, a virtual psychiatric medical assistant does not give clinical, psychiatric, or medication advice and makes no clinical decision. The role is administrative, covering intake, scheduling, insurance verification, and prior authorization paperwork. Therapy, counseling, diagnosis, and any medication decision stay with your licensed psychiatric clinicians, and assistants route those questions to your staff.

How does Honest Taskers staff virtual psychiatric medical assistants?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and assistants handle intake, scheduling, insurance verification, medication prior authorizations, and superbills while routing clinical questions to your staff. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how a healthcare-focused virtual professional can support your practice.

How fast can you hire a virtual psychiatric medical assistant?

Most companies place a virtual psychiatric medical assistant within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the role, the screening depth, and your interview process.

Choosing between a virtual psychiatric medical assistant and in-house staff is a work-allocation decision before it's a budget one. Where a virtual psychiatric medical assistant fits next to in-house staff comes down to presence rather than skill, so the honest starting point is which psychiatric tasks still need someone on-site, meaning anything with hands on a patient or a physical crisis in the room. Only once that's fixed does it matter what administrative work a remote assistant can own, from prior authorizations to refill-request routing to measurement-based care scales, each with a firm line where the clinical decision stays with the prescriber. Cost follows scope. An in-house hire costs far more than salary once the employer load is added, while a virtual psychiatric medical assistant costs an hourly rate with no load, which changes the math most for part-time work. From there come the reasons and the practicalities, starting with why clearing authorizations protects patient access, then how fast a remote seat can start against an in-house hire, how to choose between them once the columns are drawn, and when a practice runs both together. Where these cost figures come from is set out last.

Where does a virtual psychiatric medical assistant fit next to in-house staff?

A virtual psychiatric medical assistant is a healthcare-trained remote professional who runs the administrative and clinically adjacent queues of a psychiatry practice from inside your own systems. In-house staff are employees or on-site contractors who work in your building and can handle anything the building requires, from rooming a patient to steadying a walk-in crisis. The real difference isn't skill, it's presence. Everything that needs a person in the room stays in-house, and everything that lives in your EHR and payer portals can move to a remote seat. Clinically adjacent work, such as prior authorization paperwork, refill-request routing and scale administration, sits in the middle and moves only where a licensed prescriber still makes every clinical call.

That split also drives the money. An employee costs a salary plus the load stacked on top, whether or not the work fills every hour. A remote assistant costs an hourly rate for the hours you use, so comparing one loaded wage against one billing rate misses the point in both directions.

Which psychiatric practice tasks still need a medical assistant on-site?

In-house staff keep every duty that needs a body in the building, and that's the honest ceiling on the remote model. A virtual psychiatric medical assistant can't do any of the following.

Room a patient, take vitals, or prepare an exam room for a psychiatric evaluation.
Greet a patient at the front desk, hand over intake forms on paper, or collect a co-pay in cash.
Handle physical prescriptions, controlled-substance paperwork kept on-site, paper charts, or specimens.
Manage an in-person crisis, a distressed walk-in, or a safety situation in the waiting room.
Decide anything clinical, which stays with your licensed prescribers and therapists wherever they sit.

Where most of your open role sits on that list, the comparison is settled and you're hiring in-house. Read on only where a real share of the work is administrative, which in most psychiatry practices it is. The authorization, refill and intake queues pile onto whoever's at a desk when they arrive, so a front-desk person or a nurse absorbs work that never needed the building. Naming that split on paper is often the first time a practice sees how much could move.

What administrative work can a virtual psychiatric medical assistant own?

The work that moves is the work that lives in software, so deciding what to outsource to a virtual psychiatric medical assistant starts with that single test. It covers new-patient intake and registration, appointment scheduling and rescheduling, insurance verification and benefits checks, prior authorization preparation and follow-up, refill-request routing, referral coordination, portal and message triage into the right queue, documentation support, and the patient calls stacking up during clinic hours. Much of it runs inside mental-health platforms such as TherapyNotes, SimplePractice, Valant and AdvancedMD, where a trained assistant works through accounts your practice controls.

One boundary matters more here than in most specialties. Documentation support means preparing and drafting, never deciding what belongs in a psychiatric note, and the same line holds for intake scripts and refill protocols. Write that into the role description up front rather than settling it during onboarding, because the clinical-or-not question comes up daily in this work. A compliant arrangement rests on a signed Business Associate Agreement and access you can revoke, scoped to the minimum the role needs.

How does a virtual psychiatric medical assistant clear psychiatric medication prior authorizations?

A virtual psychiatric medical assistant clears prior authorizations by preparing, submitting and chasing the paperwork, never by approving or denying the request itself. The assistant gathers the clinical documentation the prescriber has already recorded, completes the payer's authorization form, submits it through the plan's portal or fax line, then tracks the request and works any denial or peer-to-peer scheduling until a decision lands. Every clinical judgment stays with the prescriber; the assistant owns the queue, the deadlines and the follow-up calls.

That queue is heavier in psychiatry than in most fields, because so many psychotropic medications and higher-level services sit behind an authorization. Physicians average 40 prior authorizations a week, and physician-plus-staff time on the process runs about 13 hours a week (Source: 2025 AMA Prior Authorization Physician Survey, American Medical Association, May 2026, 1,000 physicians). Moving that queue to a remote seat is the single clearest reason practices look at this role. For the full workflow, see how a virtual assistant handles prior authorization.

Can a virtual psychiatric medical assistant coordinate refill requests without touching clinical decisions?

Yes, refill coordination is a routing and tracking job that never includes approving, denying or deciding a medication. When a pharmacy or patient sends a refill request, the assistant logs it, confirms it against the chart, routes it to the prescriber for the actual decision, then records the outcome and closes the loop with the pharmacy. The decision sits with the licensed prescriber every time.

That line is sharpest with controlled substances, which carry the bulk of psychiatric prescribing risk. A remote assistant never approves a stimulant or benzodiazepine refill, never adjusts a dose, and never decides an early fill. What the assistant does is keep the request moving so it doesn't sit for days, flag the ones a prescriber needs to see first, and make sure nothing falls through the gap between the portal, the pharmacy and the provider. That's administrative work supporting a clinical decision, not the decision itself, and writing the distinction into the workflow keeps it that way.

How does a virtual psychiatric medical assistant send and log measurement-based care scales?

A virtual psychiatric medical assistant sends measurement-based care scales, collects the responses and enters the results, and never scores or interprets them clinically. Ahead of a visit the assistant pushes the right instrument to the patient, such as the PHQ-9 for depression or the GAD-7 for anxiety, through the practice's portal or a secure link, chases the ones that don't come back, then files the completed responses into the chart where the prescriber reviews them. Reading the numbers, and any change to the treatment plan, stays with the clinician.

Done well, this keeps a measurement-based care program running without adding to the provider's plate. Much of it automates inside platforms such as TherapyNotes, SimplePractice and Valant, so the assistant's real job is coverage and follow-through, making sure every patient gets the scale, every response lands in the record, and no visit opens with a missing baseline. That's logging and administration, not clinical scoring, and it's exactly the kind of steady queue work that suits a remote seat.

What does an in-house psychiatric medical assistant cost a practice each year?

An in-house hire costs far more than the salary line shows once the employer load is added on top. US medical assistants earned a median $45,690 a year, the closest national reference point for a psychiatric practice's in-house administrative and clinical-support seat (Source: Bureau of Labor Statistics, "Occupational Employment and Wage Statistics", May 2025, code 31-9092). The load on top is broken out separately below so nothing gets counted twice (Source: Bureau of Labor Statistics, "Employer Costs for Employee Compensation", March 2026).

What one in-house medical assistant costs a US psychiatry practice per year at the national median wage.
Cost line	What it covers	On top of wages	Per year
Base salary	The advertised pay for the role	n/a	$45,690
Insurance	Health and related coverage	17.5%	$7,996
Paid leave	Vacation, sick days and holidays	11.9%	$5,437
Legally required	Employer FICA, unemployment, workers' compensation	10.2%	$4,660
Supplemental pay	Overtime, bonuses and shift differentials	4.5%	$2,056
Retirement and savings	Employer contributions and match	4.5%	$2,056
All-in recurring	What the seat costs before equipment or space	48.7%	about $67,895

That table is recurring cost only. Filling the seat costs an average $5,475 per hire for non-executive roles (Source: SHRM, 2025 Benchmarking Report), and that lands again on every departure. Equipment, workspace and the coverage gap when one person is out sit outside the figure and vary too much between practices to carry a single national number.

What does a virtual psychiatric medical assistant cost by the hour?

A virtual psychiatric medical assistant costs $10.00 to $12.65 an hour through Honest Taskers, set by role, background, schedule and location, billed hourly with no weekly minimum. At 40 hours a week that's about $20,800 to $26,312 a year, and at 20 hours a week about $10,400 to $13,156. None of the employer load applies, because you're buying hours rather than employing a person. No payroll taxes, no benefits, no paid leave, no workspace.

The part-time figure is where practices misread the comparison. An in-house hire is a full-time decision in most offices even when the authorization and refill work fills only half a week, so for a genuinely part-time load the real comparison isn't $67,895 against $26,312, it's $67,895 against $13,156 for the same output. Work it out on your own local wages rather than trusting either number, and price only the administrative hours that move, not your whole payroll. For the queues worth moving first, see our list of tasks to outsource to a virtual medical assistant.

Why does a psychiatric medical assistant clearing prior authorizations protect patient access?

A psychiatric medical assistant clearing prior authorizations protects access because the paperwork, not the medicine, is what most often stalls treatment. When an authorization sits unworked, the patient waits, and in psychiatry that wait can mean a lapse in a medication that took months to stabilize. Nearly 79% of physicians report that patients abandon a recommended treatment because of the authorization process (Source: 2025 AMA Prior Authorization Physician Survey, American Medical Association, May 2026, 1,000 physicians).

A dedicated seat working that queue every day, chasing denials and booking peer-to-peer reviews the moment they're required, keeps the gap between a prescriber's decision and the patient's access as short as the payer allows. That's the reasoning behind the role, and it's why practices treat it as clinical support rather than back-office overhead. It isn't about doing the clinical work faster. It's about making sure administrative friction stops undoing it, so the plan the prescriber set reaches the patient. For providers built around this single workflow, compare the best virtual prior authorization specialist companies.

How fast can a virtual psychiatric medical assistant start against an in-house hire?

A remote hire reaches the desk first. Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial, so you test the fit before committing further. Recruiting an in-house psychiatric medical assistant in most US markets takes longer than that before onboarding even begins, and the authorization and refill queues keep building against whoever's already at a desk while the seat sits open.

Turnover is the other half of the timing question. Honest Taskers reports 99.6% average monthly retention, and where a placement isn't the right fit the replacement runs through the same process rather than a fresh recruitment cycle you staff and manage yourself. An in-house departure restarts recruiting, onboarding and the ramp from zero, and in a specialty this dependent on continuity, a gap in the authorization queue is felt within days. Price that cycle honestly when you weigh the two options.

How should you choose between a virtual psychiatric medical assistant and in-house staff?

Sort your open role into two columns before you price anything, because the split settles the decision faster than any rate card. In the first column put every task needing someone physically present, from rooming to walk-in crises. The second column holds everything needing only access to your systems, meaning the authorization, refill, intake and scheduling queues. Then run four tests, in order, because each one can end the decision on its own.

How big is the on-site column? Where it holds most of the role, hire in-house and stop.
Does the remote column fill a full week? Where it doesn't, hourly billing fits a workload no employee can be sized to.
How urgent is the queue backing up? Weeks against months changes the answer by itself.
What breaks when whoever covers a column is out? Paid leave is in the cost table for a reason.

Where you're unsure the workload justifies either option, our guide to the signs your practice needs a virtual assistant helps size it first.

When does a psychiatric practice run a virtual medical assistant with in-house staff?

Most psychiatry practices that get this right end up running both, because the question was never either-or. The pattern that works keeps in-house staff for the front desk, in-room support and anything physical, then moves the authorization, refill-request, intake and follow-up queues to a remote assistant. That's augmentation rather than replacement, and it usually shows up first as your existing team getting hours back for the work only they can do on-site. Nobody is displaced, and the queue simply stops landing on people hired for something else.

Watch for a front-desk employee or a nurse spending hours a day on authorization forms and portal messages. When that's happening you're paying a loaded on-site rate for output an hourly remote seat could deliver, and the person is unavailable for the in-room work that needs them in person. That's the signal a psychiatry practice runs a virtual medical assistant alongside in-house staff rather than choosing between them.

Where do these psychiatric medical assistant cost figures come from?

Wages come from the Bureau of Labor Statistics "Occupational Employment and Wage Statistics" program for May 2025, code 31-9092, medical assistants, the closest national reference point for a psychiatry practice's in-house support seat. Employer load percentages come from the same agency's "Employer Costs for Employee Compensation" series for March 2026, office and administrative support occupations in private industry, applied as separate components so paid leave and legally required benefits aren't counted twice. The prior authorization figures come from the 2025 AMA Prior Authorization Physician Survey (American Medical Association, May 2026, 1,000 physicians), and cost per hire from SHRM's 2025 Benchmarking Report. Honest Taskers rates come from the company's own published rate card. The Bureau of Labor Statistics Occupational Outlook Handbook covers projected demand for medical assistants. Every wage here is a national median, so all of them move with your local pay band.

Choosing a provider for this role is its own decision, separate from whether the role should be remote at all. For a side-by-side look at who places these seats, see our roundup of the best virtual psychiatric medical assistant companies, which weighs screening, HIPAA training and replacement support. Those are the terms that separate a managed placement from an unmanaged marketplace hire, and they matter more in psychiatry than in almost any other admin role.

Honest Taskers, MedVA, and Virtual Nurse Rx lead this year's shortlist of virtual psychiatric medical assistant companies, thirteen healthcare-focused staffing firms ranked on how they keep a psychiatry practice running, handling new-patient intake, scheduling, insurance verification, and medication prior authorizations, all in your time zone and under a signed BAA. Every assistant here handles administrative work only, as remote people rather than AI intake bots, and they don't provide therapy, counseling, or psychiatric advice or make any clinical decision, which stays with your licensed psychiatric clinicians. Below we set out what gets run besides intake, which call must never be missed, how these companies price, whether a provider handles a medication prior authorization, and which queue to take over first.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best virtual psychiatric medical assistant companies

We ranked these companies on five facts, each checked at the provider's own website on August 12, 2026. Those facts are healthcare specialization, talent location, published hourly pricing, the psychiatry practice tasks they say they cover, and HIPAA posture. Psychiatry practice support means new-patient intake, appointment scheduling, insurance verification, medication prior authorizations, superbills, patient portal messages, and no-show follow-up, so we weighted firms that name those tasks. These assistants do administrative work only, so we screened out any claim of therapy, counseling, or clinical decision-making, which belongs to licensed psychiatric clinicians. Blank facts read "not publicly listed" instead of a guess, and because behavioral health records are among the most sensitive PHI a practice holds, we flag how each company handles the BAA.

Best virtual psychiatric medical assistant companies compared

The table ranks all 13 on the same columns, Honest Taskers first because we publish the list. Rates were checked August 12, 2026 and change often, so treat them as a starting point, not a quote.

Virtual psychiatric medical assistant companies compared on the criteria stated below, read at each provider's own site.

See the full Honest Taskers virtual mental health assistant service for role details.

Limitation: not the lowest hourly rate on this list.

2. MedVA

Best for: busy psychiatry groups that want a managed intake team rather than a self-serve hire.

Limitation: offshore-only staffing from a single country.

8. CareVMA Health

Best for: practices that want a fast intake match at a low entry rate.

Pricing: From $9/hrLocation: Not publicly listedModel: Fully managedTrial: Not publicly listed

CareVMA Health provides fully managed virtual assistants from $9 an hour for intake and scheduling support, and advertises a match in about 48 hours. Its assistants are described as trained on common EHR platforms, which the company says shortens ramp time.

Limitation: it also serves non-healthcare clients, so confirm healthcare depth.

10. Wishup

Best for: small psychiatry practices that need intake and scheduling cover plus general business admin from one assistant.

Pricing: $1,299–$1,999/moLocation: India-primary; US optionModel: ManagedTrial: Not publicly listed

Wishup is a general virtual assistant company with a healthcare option, so its HIPAA and PHI-trained assistants can pick up intake forms, appointment scheduling, and insurance verification alongside the inbox and calendar work a solo practice carries (as stated). Plans run roughly $1,299 a month for 80 hours up to $1,999 for a full 160 hours, with a US-based option at a higher rate and a dedicated VA manager.

Limitation: it's a generalist, not a healthcare-only firm.

11. Carenet Healthcare

Best for: psychiatric practices that need a clinical voice on urgent calls between appointments

Pricing: Not publicly listedLocation: Not publicly listedModel: Enterprise serviceTrial: Not publicly listed

Carenet Healthcare combines patient-engagement staff and registered nurses with physician e-consults for a triaged pathway. Psychiatric practices field calls that need a clinical judgement about urgency, which is not a task an administrative assistant can take.

Limitation: its own outcome figures are company-reported, and no pricing is published

12. VMeDx

Best for: practices that want a published $10 hourly rate on intake, scheduling, and authorization paperwork.

Pricing: $10/hrLocation: PhilippinesModel: Managed/offshoreTrial: Not publicly listed

VMeDx places HIPAA-trained medical virtual assistants from the Philippines at a published $10 an hour for administrative support such as scheduling, patient intake, and insurance verification (as stated). Limitation: offshore-only staffing from a single country.

13. Global Medical Virtual Assistants

Best for: practices ready to commit to a full-time intake seat that want a stated HIPAA training program behind it.

Pricing: Not publicly listed (flat weekly rate per specialist)Location: PhilippinesModel: Dedicated full-timeTrial: Not publicly listed

Global Medical Virtual Assistants staffs US healthcare practices with Philippines-based specialists and charges a flat weekly rate for each one, though the figure isn't published, so budgeting starts with a quote. Every professional goes through a company-reported HIPAA training program, and BAAs are referenced in the company's compliance materials, which is worth pinning down in writing before anyone opens a behavioral health chart.

Specialists are placed for administrative support, so confirm in the interview which psychiatry intake, scheduling, and medication prior authorization tasks yours has run. Therapy, diagnosis, and any medication decision stay with your licensed clinicians, and the assistant routes those questions to your staff.

Limitation: full-time only at 40 hours a week, with no part-time option.

What does a virtual psychiatric medical assistant run besides intake?

Scheduling, insurance verification and medication prior authorizations, which is where a psychiatric practice loses its administrative hours. The demand is real, since according to HRSA, about 137 million Americans, roughly 40%, live in a Mental Health Professional Shortage Area, so psychiatry practices are stretched thin. An in-house coordinator carries a full salary plus benefits and desk space, while the offshore-focused firms here run $9 to $15 an hour. A medical billing service only handles claims and superbills, not the phones, intake, or portal, and it won't verify a new patient's benefits before the first appointment. Don't hire a virtual psychiatric medical assistant if you only need claims processing, since a dedicated billing service is a better fit for that narrow job. These assistants do administrative work only. They do not provide therapy, counseling, or psychiatric advice, and they make no clinical decision, which stays with your licensed psychiatric clinicians. The reason practices delegate this work is the same reason they protect clinician time, since the National Council for Mental Wellbeing reported in 2024 that 93% of behavioral health workers experienced burnout, and moving intake and paperwork off your clinical team hands time back.

Which psychiatric call must a virtual medical assistant never miss?

The intake one, because a missed intake call in this specialty is a patient who does not call back, and it sits beside behavioral health PHI exposure and scope creep.

Behavioral health PHI. Ask for the signed BAA and the device and network controls, since psychiatric records are among the most sensitive PHI a practice holds.
Scope creep into clinical work. Ask the company to confirm in writing that assistants handle administrative tasks only and never give psychiatric advice or make clinical decisions, which belong to your licensed clinicians.
Missed intake calls and no-shows. Ask how the company staffs peak hours and handles no-show follow-up, because a missed psychiatric intake can leave a patient waiting weeks for another opening.
Turnover and continuity. Ask about retention, since a new voice every few months resets patient rapport and your training.
Prior authorization and payer errors. Ask which candidates have run medication prior authorizations and know your payers, such as commercial plans and Medicaid behavioral health carve-outs.

How do virtual psychiatric medical assistant companies price their services?

Virtual psychiatric medical assistant companies price their services three main ways, by a flat hourly rate, a managed monthly plan, or a custom quote. Hourly staffing on this list runs from Hello Rache at $9.50 and CareVMA from $9, up to Virtual Nurse Rx at roughly $12 to $15 for registered nurses, with managed monthly plans like Wishup's landing near $1,300 to $2,000 for full-time hours (rates checked August 2026). Honest Taskers sits mid-range, beginning around $10 per hour and reaching about $12.65 depending on role, background, schedule, and location. Compared with a salaried psychiatric front-office coordinator plus benefits, a remote assistant is the lower-overhead option, and price tracks talent location, hours of coverage, and the level of managed oversight. For the full breakdown, see how much a virtual medical assistant costs.

Can the virtual psychiatric medical assistant company handle a medication prior authorization?

Ask which medications it has done, then weigh behavioral health specialization, HIPAA posture, intake experience and honest pricing.

Psychiatry intake experience. A firm that names intake, scheduling, insurance verification, medication prior authorizations, and superbills ramps faster than a general agency. See how virtual assistants support therapy and mental health practices to scope the role.
HIPAA posture in writing. Look for HIPAA training plus a signed Business Associate Agreement when the assistant handles behavioral health PHI, and ask each company to put its safeguards in writing.
Administrative-only scope. Confirm the assistant handles administrative work only and routes any clinical or medication question to your psychiatric clinicians, since therapy and clinical decisions are never theirs to make.
Your EHR stack. Confirm experience with your practice management system, such as TherapyNotes, SimplePractice, or Valant.
Dated, published pricing. A rate with a date beats a vague promise of savings.

Which psychiatric queue should a virtual medical assistant take over first?

Intake, because response time there decides how many enquiries become patients.

List the tasks to delegate first, such as new-patient intake, scheduling, insurance verification, and medication prior authorizations.
Shortlist firms whose psychiatry experience, talent location, and HIPAA posture fit your practice.
Interview one or two candidates, confirm EHR experience, and set the administrative-only scope in writing.
Sign a Business Associate Agreement before anyone touches behavioral health data.
Run a trial, then onboard with clear intake scripts, schedules, and escalation rules for clinical questions.

Methodology and sources

We verified each company at its own website on August 12, 2026, recording healthcare focus, talent location, published pricing, stated psychiatry practice support, and HIPAA posture. Workforce context is from HRSA Mental Health Professional Shortage Area data and the National Council for Mental Wellbeing's 2024 reporting on behavioral health workforce burnout. Hourly rates are volatile and were captured as dated points, not permanent quotes, so re-check before you buy. Where a company didn't publish a fact, we marked it "not publicly listed"; self-stated claims are labeled company-reported.

If you're still mapping the role to your practice, start with the basics.
