Honest Taskers, HelpSquad Health, and Hello Rache lead this year's shortlist of virtual medical receptionist companies, nine firms ranked on how they staff a practice's front desk remotely, from answering and triaging calls to booking and rescheduling appointments, verifying insurance, handling intake paperwork, and following up on no-shows. Three firms publish an hourly rate. Five state a Business Associate Agreement. Those two columns will decide most shortlists faster than anything else on the page. Below we set out which receptionist work needs someone present, whether the role runs under a BAA or a training certificate, why patient-facing hours cost more than back office, which hours of your phone log to cover, and how many callers you missed last month.
Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best virtual medical receptionist companies
We ranked these firms on five facts, each read at the provider's own website on August 24, 2026: front-desk scope, the HIPAA and Business Associate Agreement position in the firm's own words, published pricing, commitment terms, and the verified detail each publishes about itself. We put the compliance wording ahead of price because the distinction is routinely blurred in this market. A Business Associate Agreement is a contract that allocates liability for a breach. "HIPAA-trained" or "HIPAA-certified" describes a person who completed a course. Both are worth having, only one protects the practice, and a receptionist handles protected health information on every single call.
Best virtual medical receptionist companies compared
The table ranks all 9 on the same columns, Honest Taskers first because we publish the list. Facts were read on August 24, 2026 and change often, so treat them as a starting point, not a quote.

Two patterns are worth reading off this table. First, the firms that publish a price are not the firms with the weakest compliance position, which is the usual assumption. HelpSquad Health publishes a full rate card and includes a BAA and a virtual desktop in it. Second, the commitment column varies far more than the price column: Hello Rache lets you cancel anytime and HelpSquad Health requires 20 hours a week on a rolling 3-month term. For a practice testing whether a remote front desk works at all, that difference matters more than a dollar an hour.
1. Honest Taskers
Best for: practices that want the whole front desk owned by a named person under a signed BAA, billed by the hour.
Pricing: $10.00–$12.65/hrCompliance: HIPAA verified by Accountable; BAACommitment: HourlyFirst hire: Two-week working trial
A front desk is the one role where every task touches protected health information, so this is where the Business Associate Agreement question stops being paperwork. Honest Taskers places staff trained on HIPAA and data privacy under a dedicated compliance officer, working your time zone inside your own phone system and practice management software, with a BAA signed before anyone touches patient data and HIPAA compliance verified by Accountable. The work is the whole front desk: answering and triaging inbound calls, booking and rescheduling, running the recall and no-show list outbound, verifying insurance and benefits before the visit, completing intake paperwork, and taking messages to the right person rather than to a shared inbox. Rates run about $10 to $12.65 an hour depending on role, background, schedule, and location, billed hourly with no weekly minimum, and the first hire comes with a two-week working trial. The talent pool includes licensed nurses and physicians, and the firm reports 99.6% average monthly retention. See the virtual medical receptionist service for role detail.
Limitation: staff work remotely, so anything needing a physical presence at the desk stays with your in-office team, and the firm describes its security environment as SOC 2 audit ready rather than holding a SOC 2 or ISO 27001 certification of the kind Staffingly and MyOutDesk publish.
2. HelpSquad Health
Best for: practices that want a published rate for patient-facing calls with the BAA and secure desktop already in it.
Pricing: $8–10/hr digital; $10–13/hr voiceCompliance: BAA and virtual desktop includedCommitment: 20 hrs/wk, 3-month termSetup: $0 upfront
HelpSquad Health is the most transparent firm on this list and the only one that prices patient-facing work separately from back-office work, which is the right way to buy a receptionist. It is the only firm here that publishes a full rate card, splitting back-office digital work at $8 to $10 an hour from patient-facing voice work at $10 to $13, with managed teams quoted separately and shared live chat from $185 to $600 a month. What matters more is that the rate includes a HIPAA BAA and a virtual desktop, and it states individual HIPAA certification for every assistant. It is a US-based, US-managed company, charges $0 upfront, $0 implementation and $0 replacement costs, and names client practices including Imagine Advanced Dental Arts, Keady Family Practice and Spark Orthodontics.
Limitation: the 20 hours a week per assistant minimum and a 3-month agreement that auto-renews in 3-month increments make it the least flexible published commitment here, so it suits a settled need rather than a trial.
3. Hello Rache
Best for: practices testing a remote front desk on the lowest published rate, with no commitment.
Pricing: $9.50/hrCompliance: HIPAA-trained and certifiedCommitment: Cancel anytimeBase: US offices in Arizona
Hello Rache is the cheapest published route to a remote front desk. It publishes $9.50 USD per hour, the lowest openly stated rate among healthcare-specialized firms, on a "Cancel anytime - No Long-Term Commitment" basis, which together make it the cheapest way to test whether a remote hire works for your practice at all. Roles cover virtual medical scribe, virtual medical receptionist, virtual administrative assistant and virtual optometry assistant, with dental and veterinary specialisations alongside. It describes its assistants as HIPAA-trained and certified, and operates US offices in Arizona.
Limitation: it names no Business Associate Agreement anywhere on its pricing page, which for a firm handling protected health information is the gap to close in writing first, and its own placement and practice counters render as placeholder zeros.
4. My Mountain Mover
Best for: practices that want the Business Associate Agreement settled by the contract rather than by negotiation.
Pricing: Not publicly listedCompliance: Signed BAA in every healthcare contractCommitment: Not publicly listedSpeed: Hired in 7–14 days
My Mountain Mover answers the compliance question more directly than anyone else here. It gives the clearest contractual answer in this pool, stating that a signed HIPAA Business Associate Agreement is part of the contract provided to all healthcare clients rather than something you negotiate. Its talent is described as pre-trained healthcare staff experienced in widely used electronic health records, and it reports 1000 or more practices served, 1600 or more pre-trained virtual assistants and coverage of 50 or more specialties, with hiring completed within 7 to 14 days. It claims practices save up to 70% on overhead costs, a company-reported figure with no methodology published.
Limitation: it publishes no pricing at all, and the "save up to 70% on overhead costs" claim carries no published methodology, so treat it as marketing rather than a projection.
5. Virtual Nurse Rx
Best for: practices that need cover this week and want the clinical boundary stated plainly.
Pricing: Not publicly listedCompliance: BAA provided to every clientCommitment: Month-to-monthSpeed: 48-hour average deployment
Virtual Nurse Rx is the fastest to deploy and the most explicit about what its staff will and will not do. Two published statements make it worth close attention. The first is commercial: it provides a BAA to every client, on month-to-month engagements, with an average deployment of 48 hours for a ready practice. The second is a piece of honesty rare in this market. Despite RN and MD staffing in its own positioning, it states plainly that it offers administrative support only and that clinical decisions always remain with your licensed providers. It also advertises a "100% Human-Performed Service: No AI Does Your Work", which is a direct answer to a question more practices are asking. It is headquartered in Sun City Center, Florida and serves all 50 states.
Limitation: no pricing is published, and the RN and MD framing in its own positioning sits awkwardly beside its statement that the service is administrative support only, so be clear internally about what you are buying.
6. DocVA
Best for: practices whose calls run into clinical or medication questions that need routed to the right person.
Pricing: Not publicly listedCompliance: HIPAA training (company-reported)Commitment: Contract, no lock-inStaff: RNs, pharmacists, certified billers
DocVA hires from a different pool than most front-desk providers, which shows up on complex calls. Its differentiator is who it hires: it states that every DocVA virtual medical assistant is an experienced healthcare professional, naming registered nurses, pharmacists, certified billers and experienced medical scribes among them. Commercially it is unusually clear, stating there is a contract but no lock-in period and that you can cancel at any time. Delivery is from the Philippines with the Data Privacy Act referenced, assistants are described as HIPAA-certified and handling protected health information to the same standard as in-office staff, and it reports over 1,000 virtual assistants placed across hundreds of practices with 150 or more practices served.
Limitation: no pricing is published, and while assistants are described as HIPAA-certified there is no Business Associate Agreement wording, which is the document that allocates liability.
7. MEDVA
Best for: practices wanting a provider with a large verified base in their own specialty, including dental and surgical.
Pricing: Not publicly listedCompliance: HIPAA training validated by Compliancy GroupCommitment: None to beginScale: 1,000+ practices
MEDVA brings the largest verified practice base in this pool, which matters when you want a provider that has already seen your specialty. Its scale is the strongest verified claim in this pool: 1,000 or more healthcare practices, broken down as 400 or more medicine clinics, 200 or more surgical practices, 290 or more dental and orthodontic offices, and 75 or more physical therapy and chiropractic clinics. Staff include licensed medical assistants and certified medical scribes alongside receptionists, administrative assistants, billing assistants and remote patient monitoring support, with bilingual Spanish available. Screening is multi-stage with competency assessments, HIPAA and cybersecurity training is mandatory and validated through third-party compliance partner Compliancy Group, work happens remotely or in an optional Epic-approved secured facility, and a replacement VA is placed at no additional cost.
Limitation: no pricing is published anywhere, and its compliance position is a training claim validated by a third party rather than a stated Business Associate Agreement, so ask for the BAA explicitly.
8. VMeDx
Best for: practices wanting one vendor across reception, prior authorization, scribing and billing.
Pricing: Not publicly listedCompliance: HIPAA-trained assistantsCommitment: Not publicly listedBase: Nashville, Tennessee
VMeDx covers the widest span of adjacent roles, so a receptionist hire can widen without changing vendor. Its role list is the broadest in this pool, covering virtual medical assistant, receptionist, prior authorization specialist, remote scribe, billing assistant, remote patient monitoring, administrative assistant, plus dedicated dental and veterinary lines and healthcare digital marketing. Training is stated in electronic medical record systems, medical coding and billing, and US healthcare regulations, candidates are screened to the top 3% through a multi-phase process, and availability is 24/7. Assistants are described as HIPAA-trained and the company states it follows HIPAA-compliant processes. It is based in Nashville, Tennessee.
Limitation: it publishes neither pricing nor commitment terms nor any Business Associate Agreement wording, and states no delivery location for its staff, which leaves three of the five things a practice needs to compare unanswered.
9. Wing Assistant
Best for: practices needing 24/7 phone cover or fast replacement from a deep bench.
Pricing: Not publicly listedCompliance: No HIPAA detail publishedCommitment: Not publicly listedScale: 10,000+ active assistants
Wing Assistant is the scale option, and for a front desk that means replacement speed and out-of-hours cover. It brings the deepest bench of any firm here, reporting more than 10,000 active assistants and more than two million applicants screened annually, with 24/7 specialist availability and a 4.8 out of 5 average rating. A healthcare virtual assistant is one of its named products, alongside customer service representatives, executive and administrative assistants, digital marketing assistants and sales development representatives, so scale and out-of-hours coverage are its real arguments.
Limitation: it publishes no pricing, no delivery location, no commitment terms and no HIPAA detail beyond having a healthcare product, which leaves a practice unable to compare it on any of the points that matter most.
Which receptionist work needs someone in the building?
Almost none of it, which is why the answer is capacity rather than presence. Most of a receptionist's day, the calls, the booking, the verification, the recall list, the intake forms, does not require being in the building, and the cost gap is substantial: a medical secretary or administrative assistant earned a median $22.08 an hour, about $45,930 a year, according to the U.S. Bureau of Labor Statistics May 2025 wage data for secretaries and administrative assistants, against published remote rates of $9.50 at Hello Rache, $10 to $13 for patient-facing work at HelpSquad Health, and $10.00 to $12.65 at Honest Taskers. Keep somebody in-house for what genuinely needs a person at the desk: greeting patients, physical paperwork, payments at the window, and managing the waiting room. Use an answering service only for after-hours message-taking, because an answering service is priced to take a message rather than to fill your schedule, and an unfilled slot costs more than the call did. The strongest arrangement for most practices is one person physically present and one or two remote, with the remote staff owning the phone and the outbound work that never gets done otherwise. For the scope, see tasks to outsource to a virtual medical assistant.
Does the receptionist work under a BAA or a training certificate?
An agreement, because a certificate records a course somebody sat and a Business Associate Agreement allocates liability. Every call involves protected health information and a patient forming a judgement about your practice, which puts compliance and communication ahead of everything else.
- BAA versus HIPAA training. A Business Associate Agreement is a contract that allocates liability. "HIPAA-trained" describes a person who sat a course. Five firms here state a BAA; several state only training. Ask which you are getting, in writing.
- Commitment before certainty. Terms range from cancel-anytime to a 3-month minimum with 20 hours a week. Match the term to how sure you are.
- Time zone against your day. Ask for the shift pattern rather than the delivery country, which matters most where staff are offshore.
- Access scope. Grant the minimum systems access the role needs and review it quarterly rather than handing over everything on day one.
- Turnover and replacement. Ask how a failed match is handled and at what cost. MEDVA states a free replacement; most firms do not address it.
Why does patient-facing receptionist work cost more than back office?
Because the voice on the phone is the product, and HelpSquad Health prices it that way, $10 to $13 an hour against $8 to $10 for back office. Three firms publish rates and the rest quote. Hello Rache is $9.50 an hour with no commitment. HelpSquad Health splits its pricing sensibly for this role, $10 to $13 an hour for patient-facing voice work against $8 to $10 for back office, with a HIPAA BAA and virtual desktop included and no upfront, implementation or replacement fees, but a 20 hours a week minimum on a 3-month rolling term. Honest Taskers is $10.00 to $12.65 an hour billed hourly with no minimum. My Mountain Mover, Virtual Nurse Rx, DocVA, MEDVA, VMeDx and Wing Assistant publish nothing. The comparison that matters for a front desk is cost per booked appointment rather than cost per hour, and you can compute it once you know calls answered and conversion, which most practices can pull from a month of phone logs. Rates were checked on August 24, 2026 and change often. For rate context, see how much a virtual medical assistant costs in 2026.
Which hours of your phone log should a receptionist cover?
The hours where calls are being missed, which a month of logs will show you and a sales conversation will not. That sits with a signed BAA, published pricing and a commitment you can exit.
- A Business Associate Agreement, not a training certificate. Five firms here state a BAA. Get the document before access, not after.
- Coverage matched to call volume by hour. Pull a month of phone logs first, then buy the hours where calls are being missed.
- Practice management system experience. Ask which systems the assistant has worked in, and who trains them on yours.
- An exit you can use. Cancel-anytime and month-to-month options exist. Do not sign a quarter to test an idea.
- Payment handling controls. If the role takes card payments, ask about PCI as well as HIPAA.
How many callers did your reception miss last month?
Count them, along with volume by hour, average hold and how many never rebooked, because that data tells you how many hours to buy and when.
- Pull one month of call logs: volume by hour, missed calls, average hold, and how many callers never rebooked.
- Decide which front-desk tasks stay physical and which move, then write the remote job from what is left.
- Shortlist on the BAA and the commitment term before comparing rates.
- Get the BAA signed and scoped system access set up before the first shift, not during it.
- Review at four weeks on missed-call rate and booked appointments rather than on how busy the person seems.

Methodology and sources
We read each company's own website on August 24, 2026, recording front-desk scope, the HIPAA and Business Associate Agreement position exactly as each firm words it, published pricing, commitment terms, and the verified facts each firm publishes about itself. Wage context is from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics. Business Associate Agreement obligations are set by the HIPAA Privacy and Security Rules. Where a company didn't publish a fact, we marked it "not publicly listed" rather than guessing; practice counts, retention rates and savings claims are labeled company-reported and were not independently audited. Portiva was excluded from this edition because its site redirects to a domain that refuses automated requests, so its facts could not be read from source.
