Four firms name prior authorization as an explicit capability, and those are the ones worth shortlisting, because authorization is the step where referrals die. Rockstar Global goes furthest by naming verification and authorization specialists as a separate role rather than a task. On compliance, note that the two firms with an audited security standard, Staffingly with SOC 2 Type II and ISO 27001 and Neolytix with ISO 27001, are both offshore or hybrid rather than US-based.

What are the risks of outsourcing referral coordination?
Referrals carry clinical urgency and move protected health information between organizations, which is the riskiest combination in administrative work.
- BAA versus HIPAA training. A Business Associate Agreement is a contract allocating liability for a breach. "HIPAA-trained" describes a person who sat a course. Ask which you are getting, in writing.
- Urgency handling. An urgent referral cannot sit in a queue. Agree how urgency is flagged and what the response time is.

What should you look for in a referral coordinator provider?
Prior authorization capability, urgency handling, completion tracking, and a signed BAA.

- An urgency protocol. Ask what happens with an urgent referral and how fast.
