Q: Is a HIPAA-compliant arrangement possible with a remote OASIS assistant?

Yes, a remote OASIS documentation assistant works within a HIPAA-compliant arrangement when a Business Associate Agreement is signed and system access stays under agency control. Honest Taskers professionals are HIPAA-trained rather than personally certified, since a training certificate records completed training and does not confer compliance. Scope the access to the minimum the role needs and keep it revocable.

Does a virtual OASIS documentation assistant make the OASIS scoring decision?

No, the OASIS scoring of the M-items is a clinical determination that stays with the licensed clinician and the agency's QA. The assistant does documentation support, so it checks completeness, flags gaps and inconsistencies for the clinician to resolve, and never overrides a clinical call. The scored assessment belongs to the person who performed it.

What does a virtual OASIS documentation assistant cost compared with an in-house reviewer?

A virtual OASIS documentation assistant is billed at $10.00 to $12.65 an hour with no employer load, while an in-house records reviewer at the $51,140 national median runs about $75,994 all-in once benefits and legally required costs are added. An in-house OASIS reviewer is often an RN, whose cost runs higher, so the records band is a floor. Run both on your local wages.

Can a remote assistant work inside our home health EMR?

Yes, a remote assistant works inside the agency's own EMR through accounts the agency controls, including systems such as Homecare Homebase, Axxess, MatrixCare, and WellSky. Honest Taskers can prioritize candidates with experience in the platform you already run. Access stays practice-controlled and logged, the same way you would scope an on-site hire.

Does the assistant replace the visiting clinician's role in OASIS?

No, the assistant supports the documentation around the assessment rather than the assessment itself. The visiting clinician still performs the in-home evaluation, observes the patient, and scores the M-items, and the assistant reviews the resulting record for completeness and consistency. It augments the clinician instead of standing in for one.

How fast can a virtual OASIS documentation assistant start on a backlog?

Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial. That is faster than recruiting an in-house reviewer in most markets. Honest Taskers also reports 99.6% average monthly retention, so a placed assistant tends to stay on the queue rather than restarting the ramp.

Are virtual OASIS documentation assistants HIPAA compliant?

Yes, a virtual OASIS documentation assistant can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The agency still controls which systems and patient data the assistant can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a virtual OASIS documentation assistant work in my EHR?

Yes, virtual OASIS documentation assistants routinely work inside an agency's existing EHR, though experience with any specific system varies by candidate. Many bring prior time in home health systems such as Homecare Homebase, Axxess, MatrixCare, and WellSky. Access is granted and controlled by your agency, so confirm your stack during the interview. You can read more on whether a virtual assistant can work in your EHR.

What tasks does a virtual OASIS documentation assistant handle?

A virtual OASIS documentation assistant enters and formats assessment data, runs completeness checks for missing fields, tracks submission timelines and correction windows, and prepares the data set for transmission. Many also support coding readiness ahead of PDGM billing. They follow your workflows and route clinical questions to your licensed staff.

Can a virtual OASIS documentation assistant complete the OASIS assessment?

No, a virtual OASIS documentation assistant does not complete the OASIS assessment or assign the clinical scores. Those are clinical judgments that stay with your agency's licensed clinicians. The assistant supports the administrative side, entering data, checking for missing or inconsistent fields, and tracking deadlines, so the clinical work moves faster without the assistant making it.

How does Honest Taskers staff virtual OASIS documentation assistants?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and assistants handle data entry, completeness checks, timeline tracking, and submission prep while routing clinical questions to your staff. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how a healthcare-focused virtual professional can support your agency.

How fast can you hire a virtual OASIS documentation assistant?

Most companies place a virtual OASIS documentation assistant within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the role, the screening depth, and your interview process.

Choosing between a virtual OASIS documentation assistant and in-house staff is a work-allocation decision before it is a budget one. Where the assistant fits against in-house staff comes down to what is documentation support and what is a clinical determination, so the honest starting point is which OASIS tasks stay with the visiting clinician who was in the home. Once that line is fixed, it matters what OASIS documentation work a virtual assistant can own remotely, which covers how it reviews assessments for completeness, how it flags scoring inconsistencies for the clinician to resolve, how it tracks CMS submission deadlines, and how it supports OASIS-E coding and diagnosis sequencing under review. Cost follows scope rather than the reverse, so the article prices what an in-house OASIS reviewer costs a home health agency each year against what the assistant costs by the hour. Then come the practical questions, starting with how fast a remote assistant can clear a review backlog, moving to how you should choose between the two once the columns are drawn, and ending with when an agency adds a remote assistant behind its clinicians rather than picking one side. Where these figures come from is set out last.

Where does a virtual OASIS documentation assistant fit against in-house staff?

A virtual OASIS documentation assistant fits behind the clinician as documentation support, not beside the patient as a decision-maker. It is a healthcare-trained remote professional working inside your existing home health EMR on the administrative layer of OASIS, meaning completeness checks, gap flagging, deadline tracking, and coding support under review. In-house staff and the visiting clinician keep everything the model cannot touch, which is the in-home assessment, direct patient contact, and the clinical scoring of the M-items itself. What separates them is not skill level but where the determination lives. The OASIS score is a clinical judgment that stays with the licensed clinician, usually an RN, and the agency's QA, so the assistant never makes or overrides that call. Its job is to get the record clean, complete, and on time so the clinician spends review time on judgment rather than hunting for blanks. That split also decides the cost comparison, because an employee costs a loaded salary whether or not the queue is full, while a remote seat costs only the hours the review work needs.

Which OASIS tasks still stay with the visiting clinician?

The scored assessment stays with the visiting clinician, and so does everything that depends on having been in the home. OASIS is completed by the licensed clinician who performed the in-home evaluation, and no remote support changes who owns that clinical determination. A virtual OASIS documentation assistant cannot take on any of the following.

Perform the in-home assessment, observe the patient, or gather the findings the OASIS items describe.
Decide the M-item scores, which are a clinical judgment reserved for the licensed clinician and the agency's QA.
Change a clinician's answer or override a scoring decision once it is made.
Determine the plan of care, homebound status, or clinical eligibility for the episode.
Sign the assessment or attest to the accuracy of a clinical finding on the clinician's behalf.

Where most of your open role sits on that list, the comparison is already settled and you are staffing a clinician. Read on where a meaningful share of the work is the documentation around the assessment rather than the assessment itself. In most agencies that share is large, because the clinician who drove to the visit is the most expensive person to have chasing blank fields and submission windows.

What OASIS documentation work can a virtual assistant own remotely?

A virtual assistant can own the documentation layer that surrounds the scored assessment, all of which lives in software rather than in the home. That covers reviewing the completed OASIS for missing or blank items, cross-checking the record against the visit note and the plan of care, flagging inconsistencies for the clinician to resolve, tracking submission deadlines, formatting the record for the EMR, and supporting coding and diagnosis sequencing while the clinician and QA keep the final word. It works inside your own platform, such as Homecare Homebase, Axxess, MatrixCare, or WellSky, through accounts the agency controls.

One boundary runs through all of it. Every item here is support, so the assistant surfaces the gap or the mismatch and routes it back to the clinician rather than resolving a clinical question itself. Compliance sits on the same footing. A remote assistant works within a HIPAA-compliant arrangement when a Business Associate Agreement is signed and access stays practice-controlled, and Honest Taskers professionals are HIPAA-trained rather than personally certified.

How does a virtual OASIS documentation assistant review assessments for completeness?

A virtual OASIS documentation assistant reviews assessments for completeness by working the record against a fixed checklist before it reaches the clinician's final review. It confirms every required OASIS-E item carries a response, that no field was left blank or skipped, and that the assessment type and dates line up with the episode. The assistant then reads the OASIS against the supporting documents, such as the visit note, the medication profile, and the plan of care, to catch a section that was started and never finished. Where an item is missing, it marks the gap and returns the record to the clinician rather than filling it in, because the answer is a clinical one. That first pass turns the clinician's review into a shorter, cleaner task, since the obvious blanks are already caught. It does not replace the clinician's or the QA reviewer's read of clinical accuracy, which stays where it belongs. The value is speed and consistency on the administrative layer, not a second clinical opinion.

How does a virtual OASIS documentation assistant flag scoring inconsistencies for the clinician?

A virtual OASIS documentation assistant flags scoring inconsistencies by comparing OASIS items against each other and against the rest of the record, then routing anything that does not reconcile back to the clinician. It looks for the internal mismatches an experienced reviewer knows to check, such as a functional score that reads out of step with the documented diagnoses, a wound item that the visit note does not mention, or a cognitive response that conflicts with the medication list. When something looks off, it writes a plain note describing the discrepancy and returns it, so the clinician decides whether the score, the note, or neither needs to change. The assistant never adjusts a score itself and never tells the clinician what the answer should be, because that is the clinical determination the license carries. Think of it as a structured second set of eyes on consistency, not accuracy. The clinician and the agency's QA still own whether the assessment is clinically right, and the flag simply makes sure nothing slips past unseen.

How does a virtual OASIS documentation assistant track CMS submission deadlines?

A virtual OASIS documentation assistant tracks CMS submission deadlines by keeping a running calendar of every assessment against the agency's own submission timeline and surfacing what is due before it slips. It logs the assessment date, the type, and the target submission window for each patient, then works the list so nothing sits open or unsubmitted past the agency's internal cutoff. Where a record is stuck waiting on a clinician correction, it chases the open item rather than the deadline alone. Specific submission timing and any completion or transmission requirements are set by CMS and change over time, so the assistant works to your agency's approved timeline and the current rule, and you should confirm the exact windows against the current guidance from the Centers for Medicare and Medicaid Services at cms.gov. The value here is that a single person watching the queue full-time catches the record about to age out, which is exactly the kind of steady administrative work that does not need a clinician or a desk in the building.

How does a virtual OASIS documentation assistant support OASIS-E coding and diagnosis sequencing?

A virtual OASIS documentation assistant supports OASIS-E coding and diagnosis sequencing by preparing and organizing the diagnostic picture for the coder, clinician, and QA to confirm, never by finalizing the codes alone. OASIS-E is the current version of the instrument, and the assistant assembles the documented diagnoses, checks that each code is supported in the record, and drafts a proposed sequence for review against the primary reason for home care. It surfaces a diagnosis that appears in the note but not in the coding, or an order of diagnoses that does not match the plan of care, and returns it for a decision. The coding and sequencing that drive reimbursement stay a reviewed determination, so a certified coder, the clinician, or the agency's QA signs off rather than the assistant. Agencies that run a dedicated authorization workflow often pair this seat with intake support handled by a separate specialist. The line holds, so the assistant prepares and the reviewer decides.

What does an in-house OASIS reviewer cost a home health agency each year?

An in-house OASIS reviewer costs far more than the salary line suggests, and more than the figure below if the reviewer is an RN. Many agencies staff OASIS review with a nurse, whose cost runs well above the records band, so the conservative floor here uses medical records specialists, occupation code 29-2072, at a median $51,140 a year (Source: Bureau of Labor Statistics, "Occupational Employment and Wage Statistics", May 2025). The employer load is broken out separately below so nothing is counted twice (Source: Bureau of Labor Statistics, "Employer Costs for Employee Compensation", March 2026). Read this as a floor, not a like-for-like number, if your reviewer holds a nursing license.

What one in-house OASIS reviewer costs a US home health agency per year, using the medical records specialist median as a conservative floor.
Cost line	What it covers	On top of wages	Per year
Base salary	The advertised pay for the role	n/a	$51,140
Insurance	Health and related coverage	17.5%	$8,950
Paid leave	Vacation, sick days and holidays	11.9%	$6,086
Legally required	Employer FICA, unemployment, workers' compensation	10.2%	$5,216
Supplemental pay	Overtime, bonuses and shift differentials	4.5%	$2,301
Retirement and savings	Employer contributions and match	4.5%	$2,301
All-in recurring	What the seat costs before equipment or space	48.7%	about $75,994

These are national medians, so run them on your local wages before you compare anything, and lift the base if your reviewer is a nurse. For the same math on a general administrative role, our virtual assistant vs in-house employee cost comparison walks the stack line by line.

What does a virtual OASIS documentation assistant cost by the hour?

A virtual OASIS documentation assistant is billed by the hour at $10.00 to $12.65, set by role, background, schedule, and location, with none of the employer load that sits on a salaried seat. At 40 hours a week that works out to about $1,600 to $2,024 a month, and at 20 hours a week about $800 to $1,012 a month. No payroll taxes, no benefits, no paid leave, and no workspace apply, because you are buying review hours rather than employing a person. As a type of virtual medical assistant scoped to OASIS documentation, the seat scales to the actual size of the queue rather than to a full-time headcount.

Most agencies underweight the part-time figure. OASIS review is often a partial workload that still gets staffed as a full-time hire because half-time roles are hard to recruit and keep, and hourly billing removes that floor. For the full pricing picture, see our guide to how much a virtual medical assistant costs. No savings percentage is quoted here on purpose. Price your loaded in-house cost from the table above, price the same hours at the hourly rate, and read the difference yourself.

How fast can a virtual OASIS documentation assistant clear a review backlog?

A virtual OASIS documentation assistant can start on a backlog faster than an in-house reviewer can be recruited. Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial, so the fit is tested on your real queue before anything further is committed. Recruiting an in-house OASIS reviewer in most US markets takes longer than that before onboarding even begins, and the backlog grows while the seat sits empty. How quickly the queue itself clears depends on its size and the state of the records, so no honest number fits every agency, but a dedicated seat working the list full-time moves faster than review squeezed between visits. Turnover is the other half of the timing question, and Honest Taskers reports 99.6% average monthly retention, so a placed assistant tends to stay on the queue rather than restarting the ramp. Where a placement does not work, the replacement runs through the same process instead of a fresh recruitment cycle you staff and manage yourself.

How should you choose between a virtual OASIS documentation assistant and in-house staff?

Sort the OASIS work into two columns before you price anything, because the split decides the answer more than any rate card. In the first column put everything that is a clinical determination or needs someone in the home, meaning the assessment, the M-item scoring, and the final sign-off. The rest, meaning completeness review, gap flagging, deadline tracking, formatting, and coding preparation, goes in the second. Then apply four tests, in this order, because each can end the decision on its own.

How much of the role is clinical determination? Where the assessment and scoring dominate, staff a clinician and stop.
Does the documentation column fill a full week? Where it does not, an hourly seat fits a workload no full-time hire can be sized to.
How urgent is the backlog? Weeks against months changes the answer on its own.
What breaks when the reviewer is out? Paid leave is in the cost table for a reason.

Where you are unsure the workload justifies either option, our guide to the signs your practice needs a virtual assistant helps size it first.

When does an agency add a virtual OASIS documentation assistant behind its clinicians?

An agency adds a virtual OASIS documentation assistant when its clinicians are spending review time on administrative work that never needed a license or a home visit. The pattern that works keeps the assessment, scoring, and sign-off with the visiting clinician and the QA team, then moves the completeness checks, deadline tracking, formatting, and coding preparation to a remote seat behind them. That is augmentation rather than replacement, and it shows up first as clinicians getting evaluation time back and as fewer records aging toward a submission deadline. Nobody clinical is displaced, and the paperwork simply stops landing on the most expensive people to have doing it. Watch for a nurse spending hours a day chasing blank fields or submission windows, because that is a loaded clinical rate paying for output an hourly remote seat could deliver. The agencies that struggle are the ones that tried to move the clinical judgment too, then found the determination had nobody qualified behind it. Coordination work that sits alongside OASIS review, meaning referral intake, scheduling, and physician order follow-up across the episode, belongs to a coordinator rather than a reviewer, and our roundup of virtual home health coordinator companies lays out who staffs it.

Where do these OASIS documentation cost figures come from?

Wages come from the Bureau of Labor Statistics "Occupational Employment and Wage Statistics" program for May 2025, occupation code 29-2072, medical records specialists, used as a conservative floor because an in-house OASIS reviewer is often an RN whose wage runs higher. Employer load percentages come from the same agency's "Employer Costs for Employee Compensation" series for March 2026, office and administrative support in private industry, applied as separate components so nothing is counted twice. OASIS and Medicare submission timing should be checked against the current guidance from the Centers for Medicare and Medicaid Services, since those rules are set by CMS and change over time. Honest Taskers rates come from the company's own published rate card. Every dollar figure here is a national median, so all of them move with your local wage band, and the base rises where a licensed nurse does the review.

Home health agencies rarely need only OASIS review. Where intake and payer approvals are the pressure point instead, the seat that owns eligibility checks and authorization tracking is a different role that sits behind your clinicians rather than inside the documentation queue this page describes. For who staffs that seat, how the work is scoped, and how it fits with the same clinical team, see our roundup of virtual home health authorization specialist companies, so you can size the two roles against the same episode volume before you decide which one your agency needs first.

Honest Taskers, HomeHealth Advantage, and SimiTree lead this year's shortlist of virtual OASIS documentation assistant companies, seven firms ranked on how they get a home health agency's OASIS assessments accurate and submitted on time, from diagnosis coding and item-by-item review to plan of care checks, discharge reviews, and the documentation chasing that has to happen before a chart can be locked. Two things separate these firms: whether a certified coder reviews every chart, and how many days it takes.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best virtual OASIS documentation assistant companies

We ranked these firms on five facts, each read at the provider's own website on August 24, 2026. Those facts are what certification the reviewers hold, published turnaround time, published pricing, whether automation does the first pass, and named compliance. Certification comes first because OASIS scoring drives both the payment and the star rating, and the credentials that signal competence here are specific: HCS-D for diagnosis coding, HCS-O and COS-C for OASIS itself. Turnaround matters almost as much, since a chart sitting in review is a claim not submitted. Two firms publish a turnaround figure and only one publishes a price. Blank facts read "not publicly listed" instead of a guess.

Best virtual OASIS documentation assistant companies compared

The table ranks all 7 on the same columns, Honest Taskers first because we publish the list. Facts were read August 24, 2026 and change often, so treat them as a starting point, not a quote.

Virtual OASIS documentation assistant companies compared on the criteria stated below, read at each provider's own site.

HealthRev Partners	OASIS review, plan of care review, discharge review, coding, preceptor programs	Dual-certified reviewers, certified RNs and certified coding experts	Not publicly listed	"Rapid turnaround times" with no figure; live clinician guidance by phone	Not publicly listed
SelectData	OASIS automation and scoring, ICD-10 coding, QA and rework reduction	Not publicly listed; reviewer override on automated output	Not publicly listed	Same-day audit-ready output; automation-led	Not publicly listed
Axxess	Home health software with OASIS management, alerts for missing items, and an OASIS scrubber	Not applicable; your clinicians complete the assessment	Not publicly listed	Software; 10,000+ organizations on the platform	Not publicly listed on the pages read

One firm publishes a per-chart price and a turnaround commitment and names the credentials its reviewers hold, which is more transparency than the rest of this category offers combined. Two firms put automation in front of the human review, which is a legitimate model and a sharply different product from a certified coder reading every chart. And one entry is software that argues you should not be outsourcing this at all, which is worth hearing before you sign anything.

1. Honest Taskers

Best for: agencies whose OASIS bottleneck is missing documentation and clinician chasing rather than the scoring itself.

Pricing: $10.00–$12.65/hrLocation: US clients; PH, LatAm, India and Pakistan recruitingModel: Staffing by the hourFirst hire: Two-week working trial

Look closely at where OASIS charts stall and most of it is not clinical judgement. A visit note is missing, a physician order has not come back, the medication list disagrees with the discharge summary, a clinician has three assessments outstanding and nobody is chasing them, and the five-day submission window is closing. Honest Taskers places staff who work inside your electronic health record on exactly that layer: scheduling and confirming assessment visits, chasing outstanding documentation and orders, tracking which charts are approaching their submission deadline, assembling records for additional documentation requests, and keeping the queue visible so your certified reviewers spend their time reviewing rather than hunting. Staff are trained on HIPAA and data privacy under a dedicated compliance officer, work in your time zone, and a Business Associate Agreement is signed before anyone touches protected health information, with HIPAA compliance verified by Accountable. The talent pool includes licensed nurses and physicians. Rates run about $10 to $12.65 an hour by role, background, schedule, and location, with a two-week working trial on the first hire and 99.6% average monthly retention reported. See the multi-purpose virtual medical assistant service for role detail.

Limitation: the firm claims no HCS-D, HCS-O, or COS-C certification, so OASIS scoring and diagnosis coding stay with your certified reviewers or an outsourced coding partner, and this covers the work around the assessment rather than the assessment itself.

2. HomeHealth Advantage

Best for: agencies that want a certified US-based RN reviewing every chart, at a published per-chart price, inside two days.

Pricing: From $35 coding, $55 OASIS plus codingLocation: All reviewers US-basedModel: Per chart, human reviewTurnaround: 1 to 2 business days

HomeHealth Advantage is the most transparent firm in this category by a wide margin, and transparency is worth ranking for when everyone else quotes on request. Coding starts at $35 and OASIS review with coding starts at $55, with volume discounts, so you can calculate the cost of outsourcing before a sales call. Standard turnaround is one to two business days, stated bluntly as "for real". Every reviewer is a licensed RN who is also a certified home health coder and a certified OASIS specialist holding HCS-D, COS-C, or equivalent, with a minimum of ten years of home health nursing and coding experience, and all reviewers are based in the United States. A HIPAA Business Associate Agreement is required. The company states it has never had a claim denial from its coding or OASIS recommendations in over five years, and reports around $300 in additional Medicare revenue per episode.

Limitation: the OASIS review service is home health only, with hospice limited to diagnosis coding, and the site names no SOC 2 or other audited security certification beyond the BAA.

3. SimiTree

Best for: agencies that want coding and OASIS review from a firm that can also take on billing, cost reporting, and recruiting.

Pricing: Not publicly listedLocation: Hamden, ConnecticutModel: AI-assisted coding with reviewTurnaround: 48 hours standard

SimiTree is the scale option, and the breadth is the reason to consider it. Coding and OASIS review sit alongside revenue cycle management, billing, compliance and regulatory risk work, cost reporting, credentialing and contracting, data analysis, and interim leadership recruiting, across home health, hospice, and behavioral health. The review service covers ICD-10 coding, OASIS review, plan of care review, discharge reviews, and customised education, with a stated 98% accuracy rate and a 48-hour standard turnaround. Its coding is AI-assisted, with the technology suggesting codes from the documentation. Company-reported scale figures are 1,200 or more industry experts, 16,000 or more agencies served, and 750 or more active clients.

Limitation: it names no coder certifications at all on the pages we read, which is a notable omission in a credential-driven category, and neither pricing nor any compliance certification is published.

4. Healthcare Provider Solutions

Best for: agencies that want certified coders and an accredited firm, with billing available under the same roof.

Pricing: Not publicly listedLocation: 100% US-based supportModel: Per chart plus consultingExperience: 25 years, 130+ agencies

Healthcare Provider Solutions has been doing this for over 25 years, supports more than 130 agencies, works across 15 or more electronic medical record systems, and states that its support is entirely US-based. It states that home health coders hold HCS-D certification and hospice coders hold both HCS-D and HCS-H, and its named staff carry RN, HCS-D, and COS-C credentials. Home health and hospice coding sit alongside OASIS review, billing for both settings, revenue cycle consulting, managed care contracting and credentialing, clinical and operations compliance, and medical review consulting. It describes itself as HIPAA compliant and secure and holds CHAP and ACHC certification, and it offers a free coding and OASIS review so you can test the work before committing.

Limitation: no pricing, no turnaround figure, and no SOC 2 or equivalent audited certification appear on the site, so the operational commitments have to be extracted in a call.

5. HealthRev Partners

Best for: agencies that want review plus clinician coaching, so the same errors stop recurring.

Pricing: Not publicly listedLocation: United StatesModel: Tiered review scopesExtras: Preceptor programs

HealthRev Partners is the teaching option, and on a team with clinician turnover that changes the economics. It offers graduated scopes, Coding Only, Coding Plus, OASIS Review, OASIS Plus, Plan of Care Review, and Discharge Review, so you buy the depth you need rather than one package. Reviews are performed by dual-certified professionals described as certified RNs and certified coding experts, with live clinician guidance available by telephone conference and an option for the firm to enter data into your electronic health record. It also runs an eight-week new-hire preceptor program and a six-week live OASIS refresher, which is aimed at fixing the source of the errors rather than only correcting them.

Limitation: it publishes no turnaround figure, no accuracy figure, no pricing, and no compliance statement, so every operational commitment needs to come out of the contract discussion.

6. SelectData

Best for: high-volume operators willing to trade certified human review for same-day throughput.

Pricing: Not publicly listedLocation: Not publicly listedModel: Automation-led, reviewer overrideTurnaround: Same-day output

SelectData has rebuilt itself around automation, and the honest way to describe its SmartCare product is as a scoring engine with a human override rather than a coding service. It performs OASIS automation and scoring, ICD-10 coding, and quality assurance aimed at reducing rework, and produces what it calls audit-ready rationale with source citations and reviewer override. It reports better than 80% exact match and better than 93% expert match against human coders, a 3% to 6% reimbursement uplift, and claims SmartCare outperformed human review by 12% to 36%. The commercial argument is throughput: it compresses a three to five day review cycle into same-day output. Its own framing of the problem is useful too, citing 57 or more minutes per OASIS assessment per clinician and two or more full-time equivalents consumed by OASIS completion.

Limitation: it is home health only with no hospice offering, names no coder credentials, pricing, delivery location, or compliance position, and puts automation ahead of certified human review, so verify how override works on your charts.

7. Axxess

Best for: agencies whose OASIS errors come from weak software prompts rather than weak reviewers.

Pricing: Not publicly listedLocation: Not publicly listedModel: Software platformScale: 10,000+ organizations

Axxess is on this list because it makes the argument against everything above it, and that argument deserves a hearing. Its position is that with the right home health software an agency should not have to outsource time-consuming documentation tasks like OASIS and diagnosis code reporting. The platform provides OASIS management with step-by-step instructions and alerts for missing required information, includes updated diagnosis codes with descriptions, and offers an OASIS scrubber that audits assessments for clinical inconsistencies, coding inconsistencies, fatal audits, and CMS warnings before submission. More than 10,000 organizations use the platform, and it runs a module-based certification program for staff and leadership.

Limitation: it is software, so your own clinicians still complete every assessment and act on every scrubber warning, which does not help an agency whose problem is that it has nobody qualified to review.

Should OASIS review go to an assistant, in-house staff, or software?

Outsource the review when you do not have a certified reviewer, which is the situation for most agencies below a certain size. HCS-D and COS-C credentials are not common, a single reviewer creates a single point of failure, and at $35 to $55 a chart the outsourced price is legible in a way a salary is not. Staff the surrounding work either way, because the chasing, scheduling, deadline tracking, and additional documentation request assembly are administrative and they are what delay submission. A medical records specialist earned about $51,140 a year, roughly $24.59 an hour before benefits, according to the U.S. Bureau of Labor Statistics May 2025 wage data for medical records specialists, against roughly $10 to $13 an hour for placed remote staff. Fix it in software when your reviewers are competent but your prompts are not, and the errors are omissions rather than judgement calls. The three are not exclusive, and most agencies end up with software prompts, outsourced certified review, and administrative staff keeping the queue moving. For the administrative scope, see tasks to outsource to a virtual medical assistant.

What are the risks of outsourcing OASIS review to an assistant?

OASIS drives payment and star ratings simultaneously, so an error costs money twice and the agency owns both.

Who signs the assessment. A reviewer recommends; your clinician remains responsible for the submitted assessment. Confirm the workflow puts a clinician on the final answer.
Upcoding pressure. Be wary of a firm selling reimbursement uplift as its headline. Ask how it documents that a higher acuity was supported rather than asserted.
Automation without disclosure. Establish whether a certified human reads every chart or only the ones the engine flags, and get it in writing.
Turnaround against the submission window. Match the promised turnaround to your own lock and submission deadlines, including weekends.
Compliance evidence. Only two of these seven name any compliance position at all. Get the Business Associate Agreement before charts move.

How is an OASIS review assistant priced?

Per chart, mostly, and this is the one category on our site where a provider publishes the number. HomeHealth Advantage states coding from $35 and OASIS review with coding from $55, with volume discounts, which gives you an anchor for every other quote. SimiTree, Healthcare Provider Solutions, HealthRev Partners, and SelectData are all quote-only, and Axxess licenses software rather than charging per chart. Honest Taskers publishes $10.00 to $12.65 an hour for administrative staffing, which converts to a per-chart figure once you know how many charts an hour of chasing supports. The useful comparison is total cost per episode: the review fee plus the administrative labor plus the cost of a delayed claim. Ask each provider what happens when a chart needs a second pass, since rework is where per-chart pricing quietly stops being per chart. Rates were checked August 2026 and change often. For staffing rate context, see how much a virtual medical assistant costs in 2026.

What should you look for in an OASIS review assistant?

Certification, turnaround, automation disclosure, and price per chart including rework.

Named credentials. Ask for HCS-D, HCS-O, or COS-C by name and whether every reviewer holds them. Two firms here answer that unprompted.
A turnaround number, not an adjective. "Rapid" is not a commitment. One to two business days and 48 hours are.
How much of the review is automated. Get the human review scope in writing, and more so with automation-led providers.
Per-chart price including rework. Ask what a second pass costs and who decides one is needed.
Education included or not. A firm that teaches your clinicians reduces next quarter's error rate, which is worth more than a discount.

How do you hand OASIS review to an assistant?

Start by finding out whether your problem is scoring accuracy or submission delay, because they have different fixes.

Audit one month of assessments for both error rate and days from visit to submission.
If accuracy is the issue, take a free or paid trial review from two certified providers on the same charts and compare.
If delay is the issue, staff the chasing and deadline tracking before changing reviewers.
Get the Business Associate Agreement and confirm who signs the final assessment.
Run a bounded pilot, measure error rate, turnaround, and cost per episode, then expand.

Methodology and sources

We read each company's own website on August 24, 2026, recording reviewer certifications, published turnaround, published pricing, whether automation performs the first pass, and named compliance. Wage context is from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics for medical records specialists. OASIS submission requirements and the home health payment model are set by the Centers for Medicare and Medicaid Services. Where a company didn't publish a fact, we marked it "not publicly listed"; accuracy, match-rate, and revenue figures are labeled company-reported and were not independently audited.

If the delay is administrative rather than clinical, the fastest improvement is usually deadline tracking and documentation chasing.
