Q: How is a remote compliance coordinator billed for an audit?

A remote compliance coordinator is billed hourly for the hours the audit preparation takes, with no weekly minimum. Compliance work is episodic, so a quarterly review or an audit cycle bills only its own hours. At $10.00 to $12.65 an hour, 40 hours a week comes to about $20,800 to $26,312 a year and 20 hours to about $10,400 to $13,156. None of the employer load applies.

Can a virtual compliance coordinator make my practice HIPAA compliant?

No, a virtual compliance coordinator documents and maintains the compliance work rather than conferring compliance. HIPAA compliance rests with the covered entity and its business associates. What protects patient health information is a signed Business Associate Agreement plus access that stays under practice control. The coordinator keeps the records, policies, and audit evidence current inside that framework.

What compliance work stays on-site and what can move to a remote coordinator?

Anything needing a body on the premises stays in-house, such as escorting a surveyor, walking the floor, and securing paper charts. A virtual compliance coordinator owns the documentation load, such as policy upkeep, training-record tracking, access-log review, and audit-prep packages. The split is presence, not skill. The remote role prepares the evidence and the on-site team responds to the inspector in person.

What does an in-house compliance officer cost compared with a remote coordinator?

An in-house administrative hire at the $45,930 national median runs about $68,252 a year once the 48.7% employer load is added, and a dedicated compliance officer role sits above that median. A remote compliance coordinator through Honest Taskers is billed at $10.00 to $12.65 an hour with no employer load. Run the math on your own local wage for the role before deciding.

Are compliance coordinators HIPAA compliant?

Yes, a compliance coordinator can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The practice still controls which systems and records the coordinator can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a compliance coordinator work in my existing systems?

Yes, compliance coordinators routinely work inside a practice's existing systems, though experience with any specific system varies by candidate. Many bring prior time in document management, training platforms, and EHRs such as Epic, eClinicalWorks, and athenahealth. Access is granted and controlled by your practice, so confirm your stack during the interview and read more on whether a virtual assistant can work in your EHR.

Does a compliance coordinator make compliance decisions?

No, a compliance coordinator documents, tracks, and reports on the compliance program, but the final compliance determinations, regulatory interpretations, and sign-off stay with your compliance officer, privacy officer, or legal counsel. The coordinator keeps the policies, logs, and audit records current and surfaces gaps. Your compliance owner acts on them, which keeps accountability with the licensed staff who own the program.

What tasks does a compliance coordinator handle?

A compliance coordinator maintains policy and procedure documentation, tracks compliance training, supports audit preparation, keeps compliance logs and attestations current, tracks incidents and corrective actions, and prepares reporting. Many also manage renewal reminders and document version control. They follow your program requirements and route decisions to your compliance owner.

How does Honest Taskers staff compliance coordinators?

Honest Taskers screens candidates on US healthcare experience, documentation and compliance background, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and its coordinators handle policy documentation, training tracking, audit prep, logs, and reporting while final determinations stay with your compliance officer. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how a healthcare-focused virtual professional can support your practice.

How fast can you hire a compliance coordinator?

Most companies place a compliance coordinator within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the compliance experience you need, the screening depth, and your interview process.

Choosing between a virtual compliance coordinator and in-house staff is a work-allocation decision before it's a budget one. A virtual compliance coordinator differs from an in-house officer by presence rather than authority, so the honest starting point is which compliance duties still need a person on the premises, which is every task tied to a physical inspection or walk-through. Once that column is fixed, it matters what policy upkeep and audit preparation a remote coordinator can own, how it maintains access logs and training records from a distance, and how it readies a practice for an on-site inspection. Cost follows scope. A full-time in-house compliance officer costs far more than the salary line suggests once the employer load is added, while an hourly remote coordinator bills only the hours an audit takes, which changes the answer when a documentation gap has to close before a deadline. From there the questions turn practical, starting with what a failed compliance audit costs, moving to whether you should hire remote or in-house, and ending with when a practice keeps an in-house officer and adds remote coordination on top. Which wage and penalty sources back the comparison rounds it out at the end.

How does a virtual compliance coordinator differ from an in-house officer?

A virtual compliance coordinator differs from an in-house officer by presence, not by authority over the work. Working inside your existing systems, this remote professional is a healthcare-trained person who keeps a practice's compliance documentation current. An in-house officer is an on-site employee who can also stand in the room when a surveyor arrives, walk the floor, and answer a physical inspection. Both handle the same policies and records, so the difference is where the person sits, not how much they know.

One boundary decides everything that follows. A compliance coordinator supports and documents compliance; it does not make the practice compliant. HIPAA compliance rests with the covered entity and its business associates, and what protects patient health information is a signed Business Associate Agreement plus access that stays under practice control. Honest Taskers coordinators are HIPAA-trained and work under a BAA when they touch protected data, and Honest Taskers has its HIPAA compliance verified by Accountable. That framework is what the coordinator operates inside, and it stays yours.

Which compliance duties still require a person on the premises?

Any duty tied to the physical building stays with in-house staff, and this is the honest limit of the remote model, so it belongs before any cost table. A virtual compliance coordinator can't cover the following on-site tasks.

Meet an unannounced regulator or surveyor at the door and escort them through the site.
Walk the floor to check that screens face away from patients and paper charts are locked.
Physically inspect a server room, a records storage room, or a shredding bin.
Secure or move physical protected health information, paper faxes, or signed consent forms.
Verify badge access, door locks, and device inventory that only exist in the building.

Where most of your compliance work sits on that list, the comparison is already settled and you're keeping the role in-house. Read on where a meaningful share of the work is documentation, which in most practices it is. Policies drift out of date, training logs fall behind, and audit evidence gets scattered across drives, and none of that needed the building to happen. Naming the split on paper is the first time many practices see how much of the compliance load never required a person standing in the office at all.

What policy upkeep and audit preparation can a remote compliance coordinator own?

A remote compliance coordinator can own the documentation half of compliance in full. That covers keeping written policies and procedures current, tracking version history and annual review dates, and flagging a policy that hasn't been reviewed on schedule. It covers assembling the risk-assessment documentation, maintaining the Business Associate Agreement register so every vendor with data access has a signed agreement on file, and building the audit-prep package a surveyor asks for.

One line holds throughout. The coordinator prepares, drafts, and maintains the documents, and your privacy officer or practice leadership approves and owns them. Write that into the role description rather than settling it during onboarding, because it's the difference between a coordinator who keeps you audit-ready and one who's mistaken for the person accountable for the program. Accountability stays inside the covered entity.

How does a compliance coordinator maintain access logs and training records remotely?

A compliance coordinator maintains these records by working inside the access you grant, not by holding the keys. For access logs, the coordinator pulls the EHR and system access reports on a set cadence, reviews them for patterns that don't fit, such as a login at an odd hour or a record opened outside a care relationship, and routes anything unusual to your privacy officer to decide on. The practice controls which systems the coordinator can see, and that access is logged in your own systems and revocable the day the engagement ends.

Training records run the same way. The coordinator tracks who has completed HIPAA and data-privacy training, which certificates are current, and whose renewal is due, then sends the reminders and updates the log. Honest Taskers coordinators are HIPAA-trained themselves, so they understand what the records need to show. Reviewing and reminding move off your staff's plate, while the authority to grant access and act on a finding stays with you.

How does a compliance coordinator prepare a practice for an on-site inspection?

A compliance coordinator prepares a practice by having the evidence assembled before the inspector ever calls. That means a single audit-ready package holding current policies, the risk assessment, the BAA register, training completion logs, and access-review records, organized the way a surveyor works through them rather than scattered across folders. When a request for documentation lands, the answer is a file that already exists, not a scramble.

The coordinator can also run the paperwork side of a mock audit, checking each required document against a standard checklist and listing what's missing while there's still time to fix it. What the coordinator can't do is stand in the room on inspection day. Building the package and keeping it current is the remote job, and your on-site team walks the surveyor through it in person. That division is the whole model in one task.

What does a full-time in-house compliance officer cost a practice each year?

Salary is roughly two thirds of what an in-house seat costs. As a general healthcare-administrative proxy, US medical secretaries and administrative assistants earned a median $45,930 a year (Source: Bureau of Labor Statistics, "Occupational Employment and Wage Statistics", May 2025, occupation code 43-6013). The employer load on top is broken out separately below so nothing gets counted twice (Source: Bureau of Labor Statistics, "Employer Costs for Employee Compensation", March 2026).

What one in-house administrative hire costs a US practice per year at the national median wage, used here as a proxy for a compliance role.
Cost line	What it covers	On top of wages	Per year
Base salary	The advertised pay for the role	n/a	$45,930
Insurance	Health and related coverage	17.5%	$8,038
Paid leave	Vacation, sick days and holidays	11.9%	$5,466
Legally required	Employer FICA, unemployment, workers' compensation	10.2%	$4,685
Supplemental pay	Overtime, bonuses and shift differentials	4.5%	$2,067
Retirement and savings	Employer contributions and match	4.5%	$2,067
All-in recurring	What the seat costs before equipment or space	48.7%	about $68,252

Read that as a floor rather than the real number for this role. The 43-6013 wage is a general healthcare-administrative proxy, and a dedicated compliance role aligns with Compliance Officers, occupation code 13-1041, which typically pays above the administrative median. Look up 13-1041 on the BLS "Occupational Employment and Wage Statistics" tables and rerun the same load against it for a figure that fits a compliance seat. Two costs sit outside the table either way. Filling the seat runs an average $5,475 per hire for non-executive roles (Source: SHRM, "2025 Benchmarking Report"), and it lands again on every turnover, with replacement running roughly six to nine months of salary once lost productivity is counted.

What does an hourly remote compliance coordinator cost per audit instead?

A remote compliance coordinator is billed for the hours the work takes, priced the same hourly way as any virtual medical assistant role. Honest Taskers charges $10.00 to $12.65 an hour depending on role, background, schedule and location, billed hourly with no weekly minimum. Compliance work is episodic, so a quarterly review or an audit cycle bills only its own hours rather than a full-time salary sitting idle between them. None of the employer load applies, because you're buying hours, not employing a person, so there's no payroll tax, no benefits, no paid leave, and no workspace on top.

At a steady 40 hours a week that's about $20,800 to $26,312 a year, and at 20 hours a week about $10,400 to $13,156. Work out your own figure rather than taking either number on trust. Total your real fully loaded in-house cost from the table above using local wages and the compliance occupation code, then price the same hours at $10.00 to $12.65. For the pricing detail behind the hourly model, see our guide to how much a virtual medical assistant costs. The difference applies only to the hours that move, not to your whole payroll.

Which compliance setup closes a documentation gap before a deadline?

Whichever setup you can staff fastest closes the gap, and that's the remote one. Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial, so the fit is tested against real audit-prep work before anything further is committed. Recruiting an in-house compliance hire in most US markets takes longer than that before onboarding even starts, and the deadline doesn't move to wait for it.

Deadlines in compliance are fixed by someone else, such as a payer credentialing cycle, an accreditation renewal, or a scheduled audit. When the documentation isn't ready and the date is close, an hourly remote coordinator can start on the backlog inside weeks and bill only the hours the catch-up takes. For a shortlist of outside providers that will sign a BAA and train staff on HIPAA, weigh our roundup of compliance coordinator companies. That's a different way to close a gap than opening a full-time recruitment cycle you can't finish in time.

What does a failed compliance audit cost a practice?

A failed compliance audit costs more than any single line a practice can budget for in advance. Enforcement penalties vary and are set by the regulator, so for a HIPAA matter the amount is determined by the HHS Office for Civil Rights case by case, and there's no fixed figure to print here. Framing it qualitatively is the honest treatment, because a made-up penalty number would be worse than none.

Costs that reliably follow a finding are broader than a fine. There's the corrective action plan and the staff time to work through it, the outside legal and consulting help, and the documentation rebuild that a coordinator could have kept current all along. Then there's the reputational cost, which is harder to price and larger in most cases, because a breach notice or a public finding erodes patient trust and can put referral relationships and payer contracts at risk. Keeping the evidence audit-ready is cheap against any of that.

Should your practice hire a remote or in-house compliance coordinator?

Sort your compliance work into two columns before you price anything, because the split decides the answer more than any rate card does. In the first column put every task needing someone physically present, such as meeting a surveyor or inspecting the building. The rest, meaning policy upkeep, records, access-log review, and audit-prep documentation, goes in the second. Then apply a few tests to the columns in order.

How big is the on-site column? Where it holds most of the role, hire in-house and stop.
Does the documentation column fill a full week? Where it doesn't, an hourly hire fits a workload no employee can be sized to.
How urgent is the deadline the work has to meet? Weeks against months changes the answer on its own.
Who is the accountable person when a finding lands? That role stays inside the covered entity either way.

Where you're still unsure a part-time virtual assistant is worth it, our guide to the signs your practice needs a virtual assistant helps size the workload first.

When do practices keep an in-house officer and add remote compliance coordination?

Most practices getting this right keep an in-house officer and add remote coordination on top, because the question was never either-or. The pattern that works keeps the accountable privacy or compliance officer on-site, where they can answer an inspector and own the program, then moves the documentation load to a remote coordinator, such as policy upkeep, training-record tracking, access-log review, and audit-prep packages. That's augmentation rather than replacement, and it shows up first as your officer getting time back for the judgment calls only they can make.

Watch for a compliance officer or practice manager spending hours a day updating logs and chasing training certificates. When that's happening, you're paying a loaded employee rate for output an hourly remote coordinator could deliver, and your accountable person is unavailable for the work that genuinely needs them on-site. To size the wider set of administrative work a practice can outsource, read our guide to tasks to outsource to a virtual medical assistant. Moving the queue, not the role, is what keeps the on-site half covered.

Which wage and penalty sources back this compliance coordinator comparison?

Wages come from the Bureau of Labor Statistics "Occupational Employment and Wage Statistics" program for May 2025, occupation code 43-6013, medical secretaries and administrative assistants, used here as a general healthcare-administrative proxy. A dedicated compliance role aligns with Compliance Officers, occupation code 13-1041, which typically pays above the administrative median; look that code up on the same OEWS tables and rerun the load rather than reading a figure off this page. The broad secretaries group is described on the agency's Occupational Outlook Handbook page. Employer load percentages come from the same agency's "Employer Costs for Employee Compensation" series for March 2026, office and administrative support occupations in private industry, applied as separate components so paid leave and legally required benefits aren't counted twice. Cost per hire and replacement cost come from SHRM's "2025 Benchmarking Report". Enforcement penalty amounts are not printed here because they're set by the regulator case by case and vary; check the HHS Office for Civil Rights for current figures. Honest Taskers rates come from the company's own published rate card. Every wage figure is a national median, so all of them move with your local wage band.

Honest Taskers, Neolytix, and Staffingly lead this year's shortlist of compliance coordinator companies, seven firms ranked on how they support a compliance program administratively, from policy version control and training tracking to incident logging, audit evidence assembly, vendor agreement records, and the calendar of recurring obligations nobody remembers until it is late. This is the one role on the list where you should refuse to hire any provider that cannot show you its own compliance credentials, and three of these seven cannot. Below we set out what part of compliance a coordinator can hold, what happens when they hold your incident log, what the role costs and who is certified, which audited standard their own firm holds, and which obligations belong on the calendar.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best compliance coordinator companies

We ranked these firms on five facts, each read at the provider's own website in August 2026. Those facts are the compliance support scope, the stated HIPAA and Business Associate Agreement position, published pricing, the purchase model, and the notable verified detail each firm publishes. Here the compliance column is not a filter, it is the qualification. A firm that cannot state its own security posture is a strange choice to help administer yours, and the reasoning is not symbolic: a compliance coordinator handles incident records, audit findings, and policy documents, which is among the most sensitive material in the organization. Four firms name an audited standard. Three name nothing. Blank facts read "not publicly listed" instead of a guess.

Best compliance coordinator companies compared

The table ranks all 7 on the same columns, Honest Taskers first because we publish the list. Facts were read August 2026 and change often, so treat them as a starting point, not a quote.

Compliance coordinator companies compared on the criteria stated below, read at each provider's own site.
Company	Compliance support scope	HIPAA / BAA position	Published pricing	Purchase model	Notable facts
Honest Taskers	Policy version control, training and attestation tracking, incident logging, audit evidence assembly, BAA and vendor records, obligation calendar	HIPAA compliance verified by Accountable; BAA when PHI is accessed; compliance officer	$10.00–$12.65/hr	Hourly staffing, your direction	Healthcare-specialized; two-week first-hire trial; 99.6% average monthly retention
Neolytix	Healthcare compliance-adjacent work: credentialing, licensing, provider enrollment, coding audit support	ISO 27001 certified; HIPAA stated	Not publicly listed	Outsourced service plus staffing	270+ organizations, 31 specialties, 40 states; small-practice tiers
Staffingly	Documentation and front office staffing under SOC 2 Type II and ISO/IEC 27001:2022	Signed BAA; SOC 2 Type II; ISO/IEC 27001:2022; $5M E&O and cyber policy (company-reported)	$399/wk at 45 hrs; $349 at 5+; $299 at 10+	Flat weekly staffing	India, Pakistan, Bangladesh; AI-assisted with human verification
MyOutDesk	Administrative support under SOC 2 certification, described as HIPAA Verified	"HIPAA Verified"; HIPAA and PCI-DSS compliance ready	$1,988/mo managed; $2,500/mo specialized	Full time only, 8h x 5d	SOC 2 certified and audited (company-reported); 17+ years; 8,500+ businesses served
BELAY	Operations and executive assistants covering tracking, scheduling and reporting	Nothing stated	Not publicly listed	Matched US-based staffing	93% first-match success rate; top 3% of US applicants; industries include Private Healthcare
Prialto	Managed support with documented process design and backup cover	Nothing stated	$1,600/mo per unit (55 hrs); $3,600/mo full time (165+ hrs)	Managed service, 90-day minimum	Engagement Manager, month-long training, backup assistant; 9am to 6pm US and UK hours
Wing Assistant	Administrative and executive assistants with 24/7 availability	Nothing stated beyond a healthcare VA product	Not publicly listed	Placed assistants	10,000+ active assistants; 2M+ applicants screened annually

Four firms name an audited security standard: Staffingly with SOC 2 Type II and ISO/IEC 27001:2022, MyOutDesk with SOC 2 certified and audited (company-reported), Neolytix with ISO 27001, and Honest Taskers with HIPAA compliance verified by an external firm and a signed BAA. BELAY, Prialto, and Wing Assistant name nothing. For most roles on this site that is a manageable gap. For a compliance coordinator handling incident logs and audit findings, it is the reason not to shortlist them.

1. Honest Taskers

Best for: practices running a HIPAA compliance program that needs administering rather than designing.

Pricing: $10.00–$12.65/hrLocation: US clients; PH, LatAm, India and Pakistan recruitingModel: Hourly staffingFirst hire: Two-week working trial

A compliance program fails on maintenance rather than on design. The policies exist but three are two versions out of date. The risk assessment was done and never revisited. Training was delivered and the attestations were never filed. Business Associate Agreements exist for some vendors and nobody is sure which. The incident log has two entries and there were definitely more. Honest Taskers places staff trained on HIPAA and data privacy under a dedicated compliance officer, working your time zone inside your own systems, with a Business Associate Agreement signed before access and HIPAA compliance verified by Accountable. The work covers policy version control and distribution, training and attestation tracking, incident and complaint logging with escalation to your compliance officer, assembling evidence for audits and surveys, maintaining the vendor and BAA register, and running the calendar of recurring obligations so the annual items happen annually. Rates run about $10 to $12.65 an hour depending on role, background, schedule, and location, with a two-week working trial on the first hire. See the multi-purpose virtual medical assistant service for role detail.

Limitation: Honest Taskers is built for healthcare, so a business outside healthcare is not the target buyer and BELAY or Prialto will fit better; the firm also describes its security environment as SOC 2 audit ready rather than holding a SOC 2 or ISO certification of the kind MyOutDesk and Staffingly publish.

2. Neolytix

Best for: healthcare organizations wanting a coordinator inside a broader outsourced arrangement.

Pricing: Not publicly listedLocation: HQ ChicagoModel: Outsourced service plus staffingCompliance: ISO 27001 certified

Neolytix offers virtual assistants alongside revenue cycle management, coding audit, credentials verification organization credentialing, provider enrollment, and licensing, with explicit small-practice and mid-market tiers that most firms in this market do not bother with. For a coordination role in a practice, that adjacency is useful: the same firm can absorb the billing or credentialing work the coordinator would otherwise be chasing. It reports more than 270 organizations across 31 specialties in 40 states from a Chicago base, and is ISO 27001 certified with HIPAA compliance stated.

Limitation: no pricing is published, and it is healthcare-only, so it is not a general business coordination provider.

3. Staffingly

Best for: organizations wanting the lowest published hourly cost with a signed Business Associate Agreement.

Pricing: $399/wk at 45 hours, $349 at 5+, $299 at 10+Location: India, Pakistan, BangladeshModel: Flat weekly staffingCompliance: SOC 2 Type II, ISO 27001

Staffingly is the cheapest published capacity on this list with a compliance position attached, at $399 a week per person for 45 hours, falling to $349 at five or more people and $299 at ten or more, which is under $9 an hour at the top tier. It reports SOC 2 Type II, ISO/IEC 27001:2022, a signed Business Associate Agreement, and a $5 million errors and omissions and cyber policy, all company-reported, and delivers from company-stated secured facilities in India, Pakistan, and Bangladesh. Its scope leans toward healthcare back office work, front office, documentation, prior authorization, and billing, so staff arrive with sector familiarity.

Limitation: its workflow is AI-assisted with a person verifying output rather than fully human, and offshore delivery means overlap with your working day needs arranging as a shift rather than assumed.

4. MyOutDesk

Best for: organizations wanting offshore economics with a named security audit and a healthcare claim.

Pricing: $1,988/mo managed; $2,500/mo specializedLocation: Not publicly listedModel: Full time only, 8h x 5dCompliance: SOC 2; HIPAA Verified

MyOutDesk publishes $1,988 a month for managed outsourcing and $2,500 for specialized, both full time at eight hours a day, five days a week, which works out around $12 an hour at the lower tier. Its compliance documentation is the strongest among the offshore firms here: SOC 2 certified and SOC 2 audited, described as HIPAA Verified, and HIPAA and PCI-DSS compliance ready. Scope runs from administrative tasks, customer service, and bookkeeping through marketing, inside sales, and transaction coordination, and it reports 17 or more years in business, 8,500 or more businesses served, screening to the top 0.7% of talent, and hiring in as little as one week.

Limitation: full time only, so a part-time coordinator is not available, and HIPAA Verified is the firm's own description rather than an independent certification, so establish what it covers.

5. BELAY

Best for: organizations that want a US-based coordinator and a fast, human-matched placement.

Pricing: Not publicly listedLocation: US-based partnersModel: Matched staffingMatch: As little as one week

BELAY commits to US-based staff, stating it accepts only the top 3% of US-based applicants and describing its people as US-based partners, which matters for coordination work that involves live calls with vendors, staff, and outside organizations. Matching is done by people with a reported 93% first-match success rate and a match in as little as one week. Its roles span operations, executive, personal, sales and marketing assistants, social media managers, and an accounting bench up to fractional controller and chief financial officer, so a coordinator role can broaden as it settles. Named industries include Private Healthcare and Health & Wellness, and it reports a tenth consecutive year on the Inc. 5000.

Limitation: no pricing is published at all, and despite naming Private Healthcare it states no HIPAA position and no Business Associate Agreement, which has to be settled before any access to patient information.

6. Prialto

Best for: organizations that want the coordination process designed and documented rather than improvised.

Pricing: $1,600/mo per unit; $3,600/mo full timeLocation: Not publicly listedModel: Managed service, 55 hrs per unitMinimum: 90 days per unit

Prialto sells a managed service with a wrapper that suits coordination work well. Each unit is $1,600 a month for 55 hours plus free episodic overflow, with full time from $3,600 for 165 or more hours, and it includes an Engagement Manager whose explicit job is process design and optimisation, a month-long training program, backup assistant support, and tool training. For a coordinator role, having somebody responsible for how the work runs rather than only who does it is the difference between a functioning process and a person improvising. Coverage is 9am to 6pm Monday to Friday across US and UK time zones, onboarding is three to five days, and the firm reports 16 or more years of experience.

Limitation: no HIPAA or Business Associate Agreement position is stated, the 90-day minimum per unit rules out a short trial, and at roughly $29 an hour it is the most expensive option here.

7. Wing Assistant

Best for: organizations that need coverage outside office hours or fast replacement from a deep pool.

Pricing: Not publicly listedLocation: Not publicly listedModel: Placed assistantsScale: 10,000+ active assistants

Wing Assistant reports the largest bench here, more than 10,000 active assistants and more than two million applicants screened annually, with 24/7 specialist availability and a 4.8 out of 5 average rating. For coordination roles that span time zones or need cover in the evening, that availability is a genuine differentiator, and pool depth shortens the gap when a placement does not work out. Its roles are explicitly segmented, naming administrative assistant, executive assistant, virtual assistant, customer service representative, digital marketing assistant, sales development representative, and a healthcare virtual assistant product.

Limitation: it publishes no pricing, no delivery location, no minimum commitment, and no HIPAA detail, leaving the four questions a buyer most needs answered all unanswered.

What part of compliance can a coordinator hold?

The administration, never the accountability. A compliance officer is a designated role with responsibility attached, and no vendor can hold it for you. What a coordinator does is keep the program's evidence current: versions, dates, attestations, logs, registers, and the calendar. That is administrative work and it is exactly what gets dropped when the person holding it has a clinical or managerial day job. A medical records specialist earned about $51,140 a year, roughly $24.59 an hour before benefits, according to the u.s. bureau of labor statistics may 2025 wage data for medical records specialists, against published remote options from under $9 an hour at Staffingly's top tier to roughly $29 at Prialto. The honest constraint is that judgement stays inside: whether an incident is reportable, whether a risk is acceptable, whether a policy change is needed. Delegate the record-keeping, keep the decisions, and require your provider to show its own compliance posture before it touches yours. Nothing here is legal advice. For the scope of what can move, see tasks to outsource to a virtual medical assistant.

What happens when your coordinator holds your incident log?

Their controls become part of yours, because you have handed the evidence of your compliance programme to a third party.

The vendor becomes part of your risk surface. A coordinator with access to incident logs and audit findings is handling your most sensitive material. Require an audited standard and a BAA.
Reportability is a judgement. Whether a breach is reportable is not a coordinator decision. Route every incident to your compliance officer.
Evidence that will not stand up. Ask what the audit file looks like before it is needed, not after a survey notice arrives.
Recurring obligations quietly missed. Annual items slip when nobody owns the calendar. Require the obligation register monthly.
Offshore data residency. If records leave the country, confirm the arrangement is documented and acceptable under your own policies.

How much does a compliance coordinator cost, and who is certified?

Four publish rates, and the two questions belong together here, because a cheap provider with no audited standard of its own is not cheaper. Staffingly is $399 a week per person for 45 hours, falling to $349 at five or more and $299 at ten or more, under $9 an hour at the top tier, and it names SOC 2 Type II and ISO/IEC 27001:2022. MyOutDesk is $1,988 or $2,500 a month full time, with SOC 2 certification. Prialto is $1,600 a month per unit for 55 hours or $3,600 full time. Honest Taskers is $10.00 to $12.65 an hour. BELAY, Neolytix, and Wing Assistant publish nothing. Like training coordination, this is rarely a full-time role in a single practice, so hourly and part-time options usually cost far less in practice than a full-time monthly seat. Size the hours from your obligation calendar, then filter hard on the compliance column before comparing price at all. Rates were checked August 2026 and change often. For rate context, see how much a virtual medical assistant costs in 2026.

Which audited standard does the coordinator's own firm hold?

SOC 2 Type II, ISO 27001, or externally verified HIPAA compliance, and three of these seven name none. Their own certifications come first, then record quality, escalation and part-time availability.

An audited standard they hold themselves. SOC 2 Type II, ISO 27001, or externally verified HIPAA compliance. Three firms here name none.
A signed BAA, without negotiation. If this is difficult, that answers the question.
An audit-ready evidence file. Ask to see the structure, not a description of it.
Escalation to your compliance officer. Every judgement call routes to a named internal person.
Part-time availability. Full-time-only providers are a poor fit for a role that is often a few hours a week.

Which obligations should the coordinator's calendar carry?

Every recurring one, with its frequency, owner and required evidence, because an unlisted obligation is one nobody is going to meet.

List every recurring compliance obligation with its frequency, owner, and evidence required.
Audit the current state of policies, training attestations, BAAs, and the incident log.
Filter providers on their own audited certifications before looking at rates.
Write down what escalates to your compliance officer and what the coordinator handles.
Review the obligation register and evidence file monthly for a quarter, then quarterly.

Methodology and sources

We read each company's own website in August 2026, recording compliance support scope, stated HIPAA and Business Associate Agreement position, published pricing, purchase model, and the notable facts each firm publishes. Wage context is from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics for medical records specialists. Business Associate Agreement requirements are set by the HIPAA Privacy and Security Rules. Where a company didn't publish a fact, we marked it "not publicly listed"; match rates, talent-acceptance percentages, and client counts are labeled company-reported and were not independently audited. Nothing here is legal advice.

If policies are current but the evidence is not, the gap is administrative rather than substantive. Our explainer on what a virtual medical assistant is covers the administrative work a remote hire can own in a compliance program, and why the designated compliance officer role stays internal.
