Q: How does an executive virtual assistant protect confidential information?

An executive virtual assistant works inside your own systems with only the permissions you grant, and access stays under the practice's control. Honest Taskers professionals are HIPAA trained and sign a Business Associate Agreement when they handle protected health information, so board memos and patient escalations stay confidential.

Does an executive virtual assistant need to be on site?

No, the calendar, inbox and travel work runs through the same software an on-site assistant would use, so it moves off site cleanly. What stays on site is the in-person piece, such as greeting visitors, handling physical mail, and being in the room with the owner.

Can one executive virtual assistant support a busy practice owner full time?

Yes, a single executive virtual assistant can hold an owner's whole administrative day, from calendar control and inbox triage to travel booking and meeting prep. Most owners need fewer than forty hours a week of it, so the hours get sized to the real workload rather than a full seat.

What does an executive virtual assistant cost against an in-house hire?

An executive virtual assistant bills $10.00 to $12.65 an hour with no employer load, while a full-time in-house executive assistant at the $45,930 administrative median runs about $68,252 once benefits and payroll taxes are added. The gap applies only to the hours that move off site.

Are executive virtual assistants HIPAA compliant?

Yes, an executive virtual assistant can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The organization still controls which systems and patient data the assistant can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can an executive virtual assistant work in my existing systems?

Yes, executive virtual assistants routinely work inside a healthcare organization's existing systems, though experience with any specific system varies by candidate. Many bring prior time in tools such as Microsoft Outlook, Google Workspace, Microsoft Teams, Slack, and Asana. Access is granted and controlled by your organization, so confirm your stack during the interview.

What tasks does an executive virtual assistant handle?

An executive virtual assistant manages calendars and inboxes, schedules and coordinates meetings, arranges travel, prepares documents and presentations, and tracks projects and follow-ups. Many also handle routine communication on the leader's behalf. They follow your preferences and route clinical questions to your licensed staff.

Can an executive virtual assistant save a healthcare leader time?

Yes, an executive virtual assistant saves time by taking calendar, inbox, and travel logistics off a leader's plate so the leader can focus on clinical and planning work. Consistent daily ownership of the schedule and correspondence is the main lever, which is easier with a dedicated assistant than with tasks squeezed between meetings.

How does Honest Taskers staff executive virtual assistants?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and assistants manage calendars, inboxes, scheduling, travel, and follow-ups while routing clinical questions to your staff. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how a healthcare-focused virtual professional can support your organization.

How fast can you hire an executive virtual assistant?

Most companies place an executive virtual assistant within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the role, the screening depth, and your interview process.

Choosing between an executive virtual assistant and in-house staff comes down to which slice of the owner's day needs a person in the room. This guide opens with how a remote executive virtual assistant stacks up against an in-house executive assistant, then names the executive tasks that stay with on-site staff. From there it walks the remote scope, meaning the calendar control, inbox triage and travel booking a remote assistant owns, how the assistant runs a practice owner's schedule and meeting prep, and how confidential communication gets handled under a Business Associate Agreement. Cost comes next in two parts, the all-in yearly figure an in-house executive assistant runs against what a remote assistant bills by the hour per week of support. Then come the practical calls, which route clears an inbox and calendar backlog sooner, what thin executive support costs a practice owner in lost hours, which option fits your practice, and when a practice needs both a remote assistant and an in-house hire together. Which wage and cost sources back the figures closes the page, so you can run the comparison on your own numbers.

How does a virtual executive virtual assistant stack up against an in-house executive assistant?

An executive virtual assistant is a remote professional who runs a practice owner's administrative day, whereas an in-house executive assistant is an on-site employee doing the same work from a desk down the hall. Reach against presence is the real split. Working the owner's calendar, inbox and travel every day, a dedicated executive virtual assistant keeps the schedule clean and the inbox triaged instead of letting either slide. In-house staff bring physical presence and can walk a document straight into the owner's office, yet that presence carries the full salary load whether the desk work fills the week or not. An executive virtual assistant is a virtual medical assistant who supports a practice's leadership, so the compliance training and healthcare fluency come with the role. Honest Taskers places that professional inside your own calendar, email and phone tools rather than running anything for you, and you can outsource the recurring admin, such as calendar control and inbox triage, without giving up control. You'll gain steady coverage and give up the in-room convenience.

Which executive tasks stay with on-site staff?

A short list of executive tasks still belongs to someone inside the practice, and naming them before any cost table keeps the comparison honest. In-person logistics, physical mail and being in the room with the owner stay on site.

Greet and route the visitors the owner is meeting in person that day.
Open, sort and hand over physical mail, checks and signed documents.
Set up the room, materials and refreshments for on-site meetings.
Handle anything the owner needs physically carried, signed or witnessed.

Everything past that column lives in software, so the on-site list stays short. Keeping it explicit is the point. A practice that assumes the whole role must sit in the building pays a loaded salary for work that never needed a desk, and that misread is what the cost sections below correct. The honest read is simpler than it sounds. When the on-site column holds only a handful of physical tasks, the rest of the executive role was always remote work waiting for the right owner.

What calendar control, inbox triage and travel booking moves to a remote executive virtual assistant?

Nearly everything on the owner's administrative desk moves to a remote executive virtual assistant, which is most of the role. Calendar control is the anchor task, meaning the assistant books, moves and defends meetings so the owner's day holds together instead of fragmenting. Inbox triage runs alongside it, with the assistant sorting what needs the owner, drafting the routine replies, and flagging the few messages that genuinely can't wait. Travel booking sits there too, covering flights, hotels, itineraries and the expense capture that closes out a trip. For a fuller read on who does this work well, see our roundup of the best executive virtual assistant companies. Scope stays wide here because the tooling is remote by its nature, and the only real limit on the role is the on-site column named above.

How does an executive virtual assistant manage a practice owner's schedule and meeting prep?

An executive virtual assistant manages the owner's schedule by holding one authoritative calendar and working a set rhythm around it. Every request routes through the assistant, so double-bookings, missing buffers and back-to-back marathons get caught before they land on the owner's day. Meeting prep is the other half of the job. Ahead of each meeting the assistant pulls the agenda, the prior notes and the documents the owner needs, then circulates a short brief so nobody walks in cold. During and after, the assistant captures decisions and action items and routes the follow-ups to the right people, which is where most calendars quietly fall apart. A practice owner who runs the clinic and the business can't hold all of that in their head. It's the piece an in-house assistant does well too, in the room. The remote version keeps the same discipline through shared tools and a fixed daily check-in. Done well, the owner stops being their own scheduler and starts trusting that the calendar reflects reality.

How does an executive virtual assistant handle confidential communication under a BAA?

An executive virtual assistant handles confidential communication on a controlled footing, because executive email and documents often touch patient details and internal business matters at once. That constraint shapes the whole task in healthcare. Honest Taskers professionals are HIPAA trained and work under a Business Associate Agreement when they access protected health information, so board memos, payroll notes and patient escalations stay handled rather than exposed. The assistant works inside your own systems with the permissions you grant, and access sits under the client's control rather than the assistant's. Because the role sits so close to the owner, the same discipline that defines what a virtual medical assistant is carries straight into executive support. Confidential handling isn't a bolt-on here. It's the baseline the role is built on, and it's why sensitive communication moves off site without moving out of your control. Get that footing right and the owner delegates the sensitive queue with the same confidence they'd give a trusted employee down the hall.

What is the all-in yearly cost of an in-house executive assistant?

A full-time in-house executive assistant costs well beyond the salary line, because employer load lands on every wage dollar. Anchored to the administrative median, here's how the recurring cost stacks up.

Fully loaded annual cost of an in-house executive assistant, administrative median anchor
Cost component	What it covers	Percent on top of wages	Amount
Base salary	The advertised pay for the role	n/a	$45,930
Insurance	Health and related coverage	17.5%	$8,038
Paid leave	Vacation, sick days and holidays	11.9%	$5,466
Legally required	Employer FICA, unemployment, workers' compensation	10.2%	$4,685
Supplemental pay	Overtime, bonuses and shift differentials	4.5%	$2,067
Retirement and savings	Employer contributions and match	4.5%	$2,067
All-in recurring	What the seat costs before equipment or space	48.7%	about $68,252

Because a seasoned executive assistant commonly sits above the administrative median in a local market, treat $45,930 as a conservative floor and run your own wage through the same load. Filling the seat adds an average $5,475 per hire, and that cost returns on every departure. Turnover in the seat quietly resets onboarding, and the owner absorbs the gap while a replacement gets up to speed.

What does a executive virtual assistant bill by the hour per week of support?

An executive virtual assistant bills $10.00 to $12.65 an hour depending on role, background, schedule and location, charged by the hour with no weekly minimum and none of the employer load in the table above. Priced per week of support, the math is quick to run. Twenty hours a week of calendar and inbox coverage runs about $200 to $253, and a full forty hours runs about $400 to $506, which annualizes near $20,800 to $26,312 against the loaded in-house figure. Most owners don't need forty hours of executive admin, so you buy the weekly hours the work takes rather than a whole salary. For the pricing detail, our guide to how much a virtual medical assistant costs covers the rate. Work your own figure rather than trusting either number, using local wages for the in-house side and your real weekly hours for the remote one.

Which route clears an executive inbox and calendar backlog sooner?

A dedicated executive virtual assistant clears a backlog sooner, because a cluttered inbox and a tangled calendar need worked hours, not good intentions. That backlog builds when the owner is the only one touching it between patients, and it compounds fast. Speed here is about focused attention. Handling the queue every day, a remote assistant works the inbox down, rebuilds the calendar around the owner's real priorities, and keeps both current once they're clean. Standing the role up is quick too. Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial, so fit gets tested on real inbox and calendar work before anything further is committed. Honest Taskers also reports 99.6% average monthly retention, so the person who learns your world stays in it. Recruiting an in-house assistant in most markets takes longer before onboarding even starts. The backlog that took months to build clears in weeks once one person owns it.

What does thin executive support cost a practice owner in lost hours?

Thin executive support costs a practice owner their most expensive hours, because the admin doesn't disappear when nobody's assigned to it. It lands back on the owner. A 2016 time-and-motion study found physicians spent 49.2% of the office day on EHR and desk work versus 27.0% on direct clinical face time (Sinsky et al., Annals of Internal Medicine, 2016), and executive admin piles on top of that load. Every hour an owner spends rebooking a meeting or chasing a document is an hour not spent seeing patients or steering the business. None of it shows up as a line item, which is why it gets tolerated until the owner is answering email at midnight. Treating executive admin as one of the tasks to outsource to a virtual medical assistant, rather than a thing the owner squeezes in, is what stops that erosion. The lost hours are real even when the invoice never names them.

Which fits your practice, a remote or in-house executive virtual assistant?

Hire a remote executive virtual assistant when the work is mostly calendar, inbox and travel, and keep it in-house only when in-person logistics fill a real part of the day. Sort the work into two columns before pricing anything, because the split decides the answer more than any rate does. On-site work goes in the first column and software work in the second, then a few questions settle it.

Is the on-site column small? For most owners the executive admin is nearly all remote, which points to an hourly assistant.
Does the work fill a full week? Executive support rarely does, and hourly billing fits a load no salary can be sized to.
How sensitive is the in-person piece? Where visitors, mail and signatures matter daily, keep a seat in the building.
Do you already need someone on site anyway? Where you do, the admin can ride along, though it slips first once they get busy.

When does a practice need both an in-house hire and a remote executive virtual assistant?

Plenty of practices that get this right run both, because the two roles cover different ground. The pattern that works keeps an in-house person for visitors, mail and the in-room logistics, then hands the calendar, inbox and travel to a remote executive virtual assistant who holds them every day. That's augmentation, not replacement, and it shows up first as the on-site person getting hours back for work that genuinely needs them in the building. Watch for one person doing executive admin unevenly between everything else, dropping it whenever a walk-in or a deadline hits. That's the signal to hand the recurring desk work to a dedicated owner. To size whether the workload justifies either seat, our checklist of the signs your practice needs a virtual assistant frames the decision well. A solo owner with a light calendar rarely needs more than the remote assistant.

Where do the executive virtual assistant cost figures in this comparison come from?

Wages here come from the Bureau of Labor Statistics (Source: Bureau of Labor Statistics, "Occupational Employment and Wage Statistics", May 2025, occupation code 43-6013), medical secretaries and administrative assistants, used as a conservative anchor because no single code covers a practice executive assistant. Employer load percentages come from the same agency (Source: Bureau of Labor Statistics, "Employer Costs for Employee Compensation", March 2026), office and administrative support in private industry, applied as separate components so paid leave and legally required benefits aren't counted twice. Cost per hire comes from SHRM (Source: SHRM, "2025 Benchmarking Report"). Honest Taskers rates come from the company's own published rate card. Every wage here is a national median, so all of them move with your local band, which is why the honest comparison is the one you run on your own numbers.

For the wider view of remote support against an in-house team, see our roundup of the best executive virtual assistant companies, which sizes the same trade across the front office.

Honest Taskers, Athena, and Prialto lead this year's shortlist of executive virtual assistant companies, seven firms ranked on how they support a practice owner or executive, from calendar defence and inbox triage to travel, meeting preparation, follow-up, and the standing processes that make delegation stick. This is the one role where the published prices span a factor of five, from $270 a week to $3,000 a month, and the difference is not hours. It is training, process design, and how much of the thinking the assistant does.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best executive virtual assistant companies

We ranked these firms on five facts, each read at the provider's own website in August 2026. Those facts are the executive support scope, the stated HIPAA and Business Associate Agreement position, published pricing, the purchase model, and the notable verified detail each firm publishes. The criterion that separates this category from ordinary administrative staffing is what happens after the match. An executive assistant who needs instructions for every task has not saved you time, they have moved it. So we weighted the training and management wrapper heavily: who trains the assistant, who fixes the process when it is not working, and who covers when they are away. Two firms answer all three. Blank facts read "not publicly listed" instead of a guess.

Best executive virtual assistant companies compared

The table ranks all 7 on the same columns, Honest Taskers first because we publish the list. Facts were read August 2026 and change often, so treat them as a starting point, not a quote.

Executive virtual assistant companies compared on the criteria stated below, read at each provider's own site.
Company	Executive support scope	HIPAA / BAA position	Published pricing	Purchase model	Notable facts
Honest Taskers	Calendar and inbox, meeting preparation, follow-up, document preparation, travel, task tracking inside your systems	HIPAA compliance verified by Accountable; BAA when PHI is accessed; compliance officer	$10.00–$12.65/hr	Hourly staffing, your direction	Healthcare-specialized; two-week first-hire trial; 99.6% average monthly retention
Athena	One dedicated full-time executive assistant, vetted, trained, device-equipped and employed by Athena	Nothing stated	$3,000/month	Dedicated EA, 90-day commitment	1% acceptance from 30 to 60k monthly applications; 3,000+ leaders
Prialto	Managed executive support with an Engagement Manager for process design plus backup assistant cover	Nothing stated	$1,600/mo per unit (55 hrs); $3,600/mo full time (165+ hrs)	Managed service, 90-day minimum	Engagement Manager, month-long training, backup assistant; 9am to 6pm US and UK hours
BELAY	Executive assistants, plus operations, personal, sales and marketing assistants and an accounting bench	Nothing stated	Not publicly listed	Matched US-based staffing	93% first-match success rate; top 3% of US applicants; industries include Private Healthcare
MyOutDesk	Administrative and executive support, customer service, bookkeeping, marketing, inside sales	"HIPAA Verified"; HIPAA and PCI-DSS compliance ready	$1,988/mo managed; $2,500/mo specialized	Full time only, 8h x 5d	SOC 2 certified and audited (company-reported); 17+ years; 8,500+ businesses served
Magic	Executive assistant, admin, customer support, ecommerce assistants, 24/7 option on full time	Nothing stated	$270/wk part time; $540/wk full time	No contract, cancel anytime	Top 0.5% of talent claimed; billed every 4 weeks
Wing Assistant	Executive assistant, administrative assistant, VA, customer service rep, digital marketing assistant	Nothing stated beyond a healthcare VA product	Not publicly listed	Placed assistants	10,000+ active assistants; 2M+ applicants screened annually

Read the purchase model column beside the price. Athena at $3,000 a month and Prialto at $3,600 for full time are selling a managed relationship with training and performance management attached; Magic at $540 a week for full time is selling a capable person and leaving the rest to you. Both are defensible. What is not defensible is paying managed-service prices and receiving neither training nor process design, so ask what the wrapper contains. Only three firms here state any HIPAA position.

1. Honest Taskers

Best for: practice owners and clinical leaders whose calendar and inbox contain patient information.

Pricing: $10.00–$12.65/hrLocation: US clients; PH, LatAm, India and Pakistan recruitingModel: Hourly staffingFirst hire: Two-week working trial

A physician owner's inbox is not a normal executive inbox. It contains referral letters, results, patient messages, and prior authorization correspondence, which means an executive assistant with access to it is handling protected health information from day one. That reframes the decision: the mainstream executive assistant firms are strong at the work and mostly silent on this. Honest Taskers places staff trained on HIPAA and data privacy under a dedicated compliance officer, working your time zone inside your own systems, with a Business Associate Agreement signed before access and HIPAA compliance verified by Accountable. Scope is standard executive support: calendar management and defence, inbox triage and drafting for your review, meeting preparation and follow-up, document and letter preparation, travel, and keeping commitments tracked. Rates run about $10 to $12.65 an hour depending on role, background, schedule, and location, billed hourly rather than as a monthly minimum, with a two-week working trial on the first hire and 99.6% average monthly retention reported. See the multi-purpose virtual medical assistant service for role detail.

Limitation: Honest Taskers is built for healthcare, so a business outside healthcare is not the target buyer and BELAY or Athena will fit better; the firm describes its security environment as SOC 2 audit ready rather than holding a SOC 2 or ISO 27001 certification of the kind MyOutDesk and Staffingly publish.

2. Athena

Best for: executives who want one dedicated, heavily vetted assistant and are willing to pay the premium for it.

Pricing: $3,000/monthLocation: Not publicly listedModel: Dedicated full-time EAMinimum: 90-day commitment

Athena is the most focused firm on this list, selling exactly one thing: a dedicated full-time executive assistant at $3,000 a month, billed monthly after an initial 90-day commitment. What the price buys is selection and management. It reports 30,000 to 60,000 monthly applications with a 1% acceptance rate, and the assistant is vetted, trained, device-equipped, and employed by Athena rather than contracted, with algorithmic matching, onboarding shaped to the role, and ongoing executive assistant performance management. More than 3,000 leaders are named as clients, with logos including Stripe, Goldman Sachs, Shopify, and Uber. The company reports clients increasing time spent on revenue-generating work by 40% to 50%.

Limitation: it states no HIPAA position and no Business Associate Agreement, publishes no staff location, requires a 90-day commitment, and does nothing except executive assistants, so it cannot flex into other administrative work.

3. Prialto

Best for: executives who have tried delegating before and found the process fell apart.

Pricing: $1,600/mo per unit; $3,600/mo full timeLocation: Not publicly listedModel: Managed service, 55 hrs per unitMinimum: 90 days per unit

Prialto is the answer for anyone whose previous assistant experience failed on process rather than person. Each unit is $1,600 a month for 55 hours plus free episodic overflow, with full time from $3,600 for 165 or more hours, and the wrapper is what you are buying: an Engagement Manager whose job is process design and optimisation, a month-long training program before the assistant starts on your work, backup assistant support so a holiday does not stop your week, and tool training. Most assistants hold a bachelor's degree or extensive business support experience. Coverage is 9am to 6pm Monday to Friday across US and UK time zones, onboarding runs three to five days, and the firm reports 16 or more years of experience. Setup is $250, waived on a one-year agreement.

Limitation: no HIPAA or Business Associate Agreement position is stated, the 90-day minimum per unit prevents a short trial, and at roughly $29 an hour it is the most expensive option here.

4. BELAY

Best for: executives who want an American assistant and value a fast, reliable match.

Pricing: Not publicly listedLocation: US-based partnersModel: Matched staffingMatch: As little as one week

BELAY is the strongest US-based executive assistant option, stating that it accepts only the top 3% of US-based applicants and describing its people as US-based partners. For an executive whose assistant will be on the phone with patients, referring physicians, vendors, and boards, that removes a set of concerns some practice owners hold firmly. Matching is done by people rather than an algorithm, with a reported 93% first-match success rate and a match in as little as one week. Beyond executive assistants it offers operations, personal, sales and marketing assistants, social media managers, and a full accounting bench up to fractional controller and chief financial officer, which is useful if the role grows. Named industries include Private Healthcare and Health & Wellness, and it reports a tenth consecutive year on the Inc. 5000.

Limitation: no pricing whatsoever is published, and despite naming Private Healthcare as an industry it states no HIPAA position or Business Associate Agreement, which must be settled before inbox access.

5. MyOutDesk

Best for: executives who want offshore economics with a named audit behind the provider.

Pricing: $1,988/mo managed; $2,500/mo specializedLocation: Not publicly listedModel: Full time only, 8h x 5dCompliance: SOC 2; HIPAA Verified

MyOutDesk is the value option with real documentation, publishing $1,988 a month for managed outsourcing and $2,500 for specialized, both full time at eight hours a day, five days a week. Its compliance position is the strongest among the offshore firms here: SOC 2 certified and SOC 2 audited, described as HIPAA Verified, and HIPAA and PCI-DSS compliance ready. Scope covers administrative and executive support, customer service, bookkeeping, marketing, inside sales, and transaction coordination, so the role can broaden without changing vendors. It reports 17 or more years in business, 8,500 or more businesses served, screening to the top 0.7% of talent, and hiring in as little as one week.

Limitation: full time only, so a half-time executive assistant is not available, and HIPAA Verified is the firm's own description rather than an independent certification, so establish exactly what it covers.

6. Magic

Best for: executives who want to test delegation this month without signing anything.

Pricing: $270/wk part time; $540/wk full timeLocation: Not publicly listedModel: No contract, cancel anytimeTalent: Top 0.5% claimed

Magic is the lowest-risk entry point to executive support that exists on this list. Part time is $270 a week for 20 hours and full time is $540 for 40, billed every four weeks, with no contracts, cancel anytime, and payment beginning only when you start working with your assistant. For an executive who has never delegated and is not sure they will like it, that structure removes the reason not to try. Roles include executive assistant alongside admin, customer support and ecommerce assistants, with Magic 24/7 included on full-time and team plans, and the firm claims curation from the top 0.5% of talent. Teams start at three assistants if the need grows.

Limitation: it states no HIPAA position, no compliance certification, and no delivery location, and its named industries are ecommerce, transportation, warehousing, media, non-profit, construction and professional services rather than healthcare.

7. Wing Assistant

Best for: executives who want replacement speed and out-of-hours coverage from a large pool.

Pricing: Not publicly listedLocation: Not publicly listedModel: Placed assistantsScale: 10,000+ active assistants

Wing Assistant brings the deepest bench, reporting more than 10,000 active assistants and more than two million applicants screened annually, with 24/7 specialist availability and a 4.8 out of 5 average rating. For an executive assistant specifically, pool depth matters most at the moment a match fails, because the cost of a bad executive assistant is measured in your own hours rather than theirs. Its roles are explicitly segmented, naming executive assistant, administrative assistant, virtual assistant, customer service representative, digital marketing assistant, sales development representative, and a healthcare virtual assistant product.

Limitation: it publishes no pricing, no delivery location, no minimum commitment, and no HIPAA detail, which leaves an executive buyer unable to compare it on any of the four things that decide the purchase.

Should an executive assistant be in-house, remote, or a managed service?

Go remote unless the role genuinely requires presence, which for a clinical executive usually means only a few tasks. The cost difference is substantial: a medical records specialist earned about $51,140 a year, roughly $24.59 an hour before benefits, according to the U.S. Bureau of Labor Statistics May 2025 wage data for medical records specialists, before benefits and overhead, against published remote options from $13.50 an hour at Magic full time to roughly $29 at Prialto. Choose a managed service over a placed assistant if your previous attempt at delegation failed, because what fails is almost never the person. It is the absence of a process: nobody documented how you want your calendar defended, so every week you re-explain it. Prialto's Engagement Manager and Athena's performance management are both aimed at that problem, and they cost to match. Choose a straightforward placement if you already know how to delegate and just need hours. And settle the compliance question first if your inbox contains patient correspondence, because it eliminates most of the mainstream market. For the scope of what can move, see tasks to outsource to a virtual medical assistant.

What are the risks of a remote executive assistant?

An executive assistant sees more than almost anyone in the organization, which makes access and continuity the whole risk picture.

Inbox access means PHI access. A clinical executive's inbox contains patient correspondence. Without a Business Associate Agreement, that is an exposure you created.
Delegation without process. Write down how you want the calendar and inbox handled, or you will re-explain it weekly regardless of who you hire.
Continuity when they are away. Ask who covers. Prialto names backup assistant support; most firms do not address it.
Financial and credential access. Executive assistants often end up with payment and login access. Set boundaries explicitly and review them.
Commitment against uncertainty. Athena and Prialto require 90 days, MyOutDesk is full time only, Magic has no contract. Match the term to your confidence.

How much does an executive virtual assistant cost?

Five of these seven publish a rate and the spread is wide. Athena is $3,000 a month for a dedicated full-time executive assistant after a 90-day commitment. Prialto is $1,600 a month per unit for 55 hours, or $3,600 for full time at 165 or more hours, plus a $250 setup fee waived on an annual agreement. MyOutDesk is $1,988 or $2,500 a month, full time only. Magic is $270 a week part time or $540 full time with no contract. Honest Taskers is $10.00 to $12.65 an hour. BELAY and Wing Assistant publish nothing. On a cost-per-hour basis that runs from about $10 to about $29, and the top of the range is buying training, process design, performance management, and backup cover rather than more hours. The question to settle before comparing is whether you need those things, because if you do not, you are paying three times over for hours you could buy elsewhere. Rates were checked August 2026 and change often. For rate context, see how much a virtual medical assistant costs in 2026.

What should you look for in an executive assistant provider?

The wrapper around the person, compliance, coverage, and what happens when the match fails.

Who trains the assistant. Prialto runs a month-long program; Athena trains and employs directly. Ask what training exists before your work starts.
Who fixes the process. A named person responsible for how the work runs, not just who does it.
A BAA if your inbox holds patient data. Only three firms here state any HIPAA position.
Backup cover. Ask what happens during holiday and sickness, in writing.
Rematch terms. Establish how a failed match is handled and whether the commitment period restarts.

How do you hire an executive virtual assistant?

Start by writing down how you want your calendar and inbox handled, because that document is what makes the hire work.

Write your delegation rules: what gets declined, what gets forwarded, what needs you, what does not.
Note which of those touch patient information, since that decides whether a BAA is required.
Decide whether you need a managed service or a placed assistant, and be honest about why the last attempt failed.
Shortlist on the wrapper and compliance, then compare cost per hour.
Review at four weeks against the delegation rules rather than against a feeling, and adjust the rules before blaming the person.

Methodology and sources

We read each company's own website in August 2026, recording executive support scope, stated HIPAA and Business Associate Agreement position, published pricing, purchase model, and the notable facts each firm publishes. Wage context is from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics for medical records specialists. Business Associate Agreement requirements are set by the HIPAA Privacy and Security Rules. Where a company didn't publish a fact, we marked it "not publicly listed"; match rates, talent-acceptance percentages, and client counts are labeled company-reported and were not independently audited.

If delegation has failed before, the fix is usually documenting your own preferences rather than finding a better assistant. Our explainer on what a virtual medical assistant is covers the scope a remote hire can own for a practice owner, and where patient correspondence makes a Business Associate Agreement mandatory.
