Are healthcare human resources coordinators HIPAA compliant?

Yes, a human resources coordinator can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The employer still controls which systems and employee data the coordinator can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a human resources coordinator work in my HRIS and systems?

Yes, human resources coordinators routinely work inside an employer's existing HRIS and systems, though experience with any specific system varies by candidate. Many bring prior time in systems such as BambooHR, Rippling, Gusto, ADP, and Workday. Access is granted and controlled by your organization, so confirm your stack during the interview.

What tasks does a healthcare HR coordinator handle?

A healthcare HR coordinator handles new-hire onboarding paperwork, HRIS data entry, benefits administration support, PTO and scheduling coordination, employee-records upkeep, and compliance-document tracking. Many also help with credential and license expiration tracking. They follow your policies and route decisions that need judgment to your HR lead.

Can an HR coordinator help with new-hire onboarding?

Yes, an HR coordinator speeds new-hire onboarding by preparing paperwork, entering records into the HRIS, and tracking outstanding forms and signatures. Consistent daily follow-up is the main lever, which is easier with a dedicated coordinator than with an overloaded practice manager.

How does Honest Taskers staff human resources coordinators?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and coordinators handle onboarding, HRIS data entry, benefits support, records upkeep, and compliance tracking while routing decisions to your HR lead. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how to manage remote healthcare staff.

How fast can you hire a human resources coordinator?

Most companies place a human resources coordinator within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the role, the screening depth, and your interview process.

Honest Taskers, Neolytix, and MyOutDesk lead this year's shortlist of human resources coordinator companies, seven firms ranked on how they handle onboarding paperwork, keep license and training records current, run payroll and benefits administration, and hold employee files properly. Healthcare HR carries record-keeping duties other sectors don't, because a lapsed license or a missed competency renewal is a compliance problem rather than an admin annoyance. Below we set out which expiring document to track first, what happens when one is missed, what a part-time coordinator costs, whether a company names expirables tracking explicitly, and what to hand a new coordinator first.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best human resources coordinator companies

An HR coordinator in a healthcare setting does ordinary HR administration plus a set of healthcare-specific record duties, so we assessed both. The ordinary part is onboarding and offboarding paperwork, payroll and benefits administration support, time and attendance, policy acknowledgements, and employee file maintenance. The healthcare part is tracking professional licenses, certifications such as basic and advanced life support, immunisation and tuberculosis screening records, annual compliance and privacy training, and background check renewals.

From there we compared five things, which are whether HR or administrative support is a named capability, the model, employer size served, published pricing, and data handling posture. Employee records are sensitive in their own right, and in healthcare they sit alongside patient data, so a firm's willingness to sign a business associate agreement is a reasonable proxy for how seriously it treats information generally. Three firms here state a clear position and four do not.

For the underlying requirements, the Department of Labor publishes the wage, hour, and employee record obligations that apply to every practice, and the U.S. Bureau of Labor Statistics publishes pay data for human resources assistants for comparison against hiring locally. The figure to hold against these quotes is the May 2025 Occupational Employment and Wage Statistics release, which puts human resources assistants at $24.33 an hour, about $50,610 a year.

Which expiring document should an HR coordinator track first?

Whichever one stops somebody working legally, which is why the single highest-value thing an HR coordinator does in a clinical setting is keep a calendar of things that expire. Professional licenses, DEA registrations, life support certifications, malpractice coverage, immunisation status, and annual training all lapse on their own schedules, and each lapse has a consequence ranging from an insurance problem to a member of staff who legally cannot work that shift.

Most small practices track this in somebody's memory and a spreadsheet that was last updated when someone had time. The failure mode is predictable: a nurse's certification lapsed three weeks ago, nobody noticed, and the practice has been non-compliant since without knowing. It surfaces during a survey or an insurance query, at which point it's expensive.

This is also why HR coordination and credentialing overlap in healthcare in a way they don't elsewhere. The same expiry dates that determine whether a clinician can work also determine whether they stay on payer panels. A coordinator holding both calendars catches problems once rather than twice, which is a genuine argument for keeping the two functions with one person rather than splitting them between an HR provider and a credentialing vendor.

1. Honest Taskers

Best for: practices that need HR administration done reliably by one person who also watches the expiry calendar.

Pricing: $10.00–$12.65/hrModel: Staffing, per hourLocation: US clients; PH, LatAm, India and Pakistan recruitingFirst hire: Two-week working trial

Honest Taskers places healthcare-trained coordinators who can own HR administration, running onboarding and offboarding paperwork, maintaining employee files, supporting payroll and benefits administration, chasing policy acknowledgements, and keeping the license, certification, immunisation, and training calendar current. That last item is the one that pays for the role, because catching a lapsing certification before it lapses avoids a compliance problem entirely. Candidates train on HIPAA and data privacy under a dedicated compliance officer and sign a Business Associate Agreement when they'll access PHI, with compliance verified by Accountable, which matters because employee health records sit close to patient data. Rates run $10.00 to $12.65 an hour with a two-week working trial on the first hire, and reported retention of 99.6% average monthly keeps institutional knowledge in place.

Limitation: HR isn't published as a named service, so confirm scope in the interview, and a coordinator handles administration rather than providing employment law advice.

2. Neolytix

Best for: practices wanting HR support from a firm that already tracks licensing and credentialing.

Pricing: Not publicly listedModel: Outsourced serviceScope: Team augmentation, licensing, credentialing, enrollmentSecurity: ISO 27001

Neolytix offers internal team augmentation alongside medical licensing, credentialing, and provider enrollment, which is the overlap that matters in healthcare HR, because the license expiry that affects employment is the same one that affects payer participation. Having one provider hold both calendars removes the gap where each assumes the other is watching. It holds ISO 27001 certification for information security, publishes explicit small-practice and mid-market tiers, and reports 13-plus years in healthcare with 270-plus organizations across 31 specialties and 40 states.

Limitation: general HR administration such as payroll and benefits isn't named as a service, so confirm what falls inside scope.

3. MyOutDesk

Best for: practices wanting a placed HR assistant from a firm that is BAA-ready.

Pricing: Not publicly listedModel: StaffingLocation: Philippines, Peru, MoroccoCompliance: HIPAA compliant, BAA-ready

MyOutDesk places virtual assistants including administrative and HR support who can process onboarding paperwork, maintain records, and track renewals, and it states it's HIPAA compliant and BAA-ready, which is the right commitment when employee health and training records are involved. It runs a healthcare line alongside with medical receptionist and billing placements, so its recruiting screens for healthcare settings, and its talent across the Philippines, Peru, and Morocco with a US headquarters gives coverage options.

Limitation: HR tasks aren't detailed publicly, and it's a generalist staffing firm rather than a healthcare HR specialist.

4. Staffingly

Best for: practices wanting the lowest per-hour administrative staffing with documented security.

Pricing: $399/wk per full-time equivalentModel: Staffing, per weekCompliance: SOC 2 Type II, ISO 27001, GDPR, BAAScale: 800+ providers reported

Staffingly staffs administrative roles at $399 a week per full-time equivalent for 45 hours, near $8.90 an hour and the cheapest rate here, including credentialing specialists whose work overlaps directly with the expirables tracking HR owns. Its compliance documentation is the most extensive of any firm in this group, reporting SOC 2 Type II, ISO/IEC 27001:2022, HIPAA, GDPR, a signed BAA before work starts, and a $5 million errors-and-omissions and cyber liability policy, all company-reported, which is a meaningful position when the role holds employee files.

Limitation: HR coordination isn't named as a role, so scope needs defining, and its workflow is AI-assisted with a person verifying output.

5. Kinetix

Best for: health systems wanting HR support tied to workforce planning.

Pricing: Not publicly listed, outcomes-basedModel: RPOScope: Talent consulting, workforce planning, RPO, analyticsEvidence: 535 roles in four months

Kinetix names talent consulting and workforce planning support alongside its RPO and recruiting analytics work, which is the planning layer above HR administration rather than the administration itself. For a system whose HR problem is turnover and structure rather than paperwork, that framing is the useful one, and its published figures include 535 roles filled in four months and a claim that hospitals save an average of $79,000 a year for every travel nurse replaced with a permanent hire.

Limitation: it addresses hiring and planning rather than HR administration, and states no data handling posture.

6. AMN Healthcare

Best for: larger organizations wanting compliance support built into a recruiting partnership.

Pricing: Not publicly listedModel: RPOBuilt for: Large systems and small rural hospitalsEvidence: 700 positions over three years

AMN Healthcare describes RPO covering workforce planning, sourcing, screening, interview coordination, compliance support, and hiring analytics as an extension of an organization's recruiting and human resources department. The compliance support element is the HR-adjacent part, and it states the service suits both large healthcare organizations and small independent rural hospitals, which is a wider range than most RPO providers claim. Its published example reports tracking toward 700 positions over a three-year partnership.

Limitation: HR administration isn't a named service and no data handling posture is stated.

7. HealthCare Recruiters International

Best for: large employers wanting a team embedded alongside internal HR.

Pricing: Not publicly listedModel: RPOScope: 20 to 200+ positions per engagementOperating since: 1984

HealthCare Recruiters International has operated since 1984 and describes a dedicated team acting as a true extension of an internal HR department across engagements of 20 to 200-plus positions. For an employer whose HR team is stretched by hiring volume rather than by administration, adding embedded recruiting capacity relieves the pressure at its actual source. Role coverage spans advanced practice providers, behavioral health, clinical settings from hospital to hospice, pharmacy, diagnostics, medical device, and executive leadership.

Limitation: it provides recruiting rather than HR coordination, engagement sizes start high, and no data handling posture is stated.

What happens when the coordinator misses a lapsing license?

Somebody who cannot legally work that shift is on the rota, which is the first and worst of the risks here.

Lapsed expirables. A license or certification that expires unnoticed can stop someone working legally.
Employee records handling. Personnel files carry retention and confidentiality obligations of their own.
Employee health information, which sits close to patient data and needs the same care.
Employment law advice from a coordinator, which is administration rather than counsel.
Payroll errors, which damage trust faster than almost any other administrative failure.
Offboarding gaps, in particular system access that stays live after someone leaves.
Single-point knowledge. If one coordinator holds every process undocumented, their departure hurts.

How much does a part-time HR coordinator cost?

Near $650 to $1,100 a month for the fifteen to twenty hours a week most practices need. Two firms publish rates. Honest Taskers charges $10.00 to $12.65 an hour for a placed coordinator, and Staffingly charges $399 a week per full-time equivalent at 45 hours, near $8.90 an hour. Neolytix, MyOutDesk, Kinetix, AMN Healthcare, and HealthCare Recruiters International all quote on request.

Most practices need part-time rather than full-time coverage. Fifteen to twenty hours a week handles onboarding, records, expirables tracking, and payroll administration support for a practice of twenty to forty staff, landing near $650 to $1,100 a month at published staffing rates. Compare that against a local HR assistant, where Bureau of Labor Statistics data will show a considerably higher fully loaded cost, and against the specific downside of a missed renewal. Note that HR coordination is administration, so if you need employment law advice or policy drafting you're buying a different service and should price it separately. Rates change, so treat these as dated readings.

Does the coordinator company name expirables tracking explicitly?

It has to, covering licenses, certifications, immunisations and training by name rather than as general HR support, and that heads this list.

Expirables tracking named explicitly, covering licenses, certifications, immunisations, and training.
A signed BAA where employee health information is handled.
Employee record retention practices described concretely.
Payroll and benefits administration support, or a clear statement that it's out of scope.
Onboarding and offboarding checklists, including system access removal.
Written procedures so the process survives turnover.
A clear boundary between administration and employment law advice.
Coverage arrangements for absence.

What should you hand a new coordinator first?

The expiry calendar, because it is the highest-value task and the one most likely to be already out of date.

Build one list of every license, certification, immunisation record, and training requirement with its expiry date.
Check that list against reality today, because something has probably already lapsed.
Write down your onboarding and offboarding steps, including system access.
Decide what stays in house, starting with anything touching employment decisions.
Sign a BAA covering employee health information.
Give the coordinator the expiry calendar first, since that's the highest-value task.
Review at 90 days on renewals caught in advance and onboarding completed on time.

Because employment expirables and payer credentialing run on the same dates, our multi-purpose virtual assistant service page explains how one placement can hold both calendars.

Methodology and sources

We verified each company at its own website on August 21, 2026, recording whether HR or administrative support is a named capability, the model, employer size served, published pricing, and any stated data handling posture. Wage, hour, and employee record obligations come from the Department of Labor, and occupational pay context from the U.S. Bureau of Labor Statistics human resources assistant profile. Honest Taskers provides HR coordination as confirmed by the company, though it isn't published as a named service, so its entry carries that limitation. Where a firm provides recruiting rather than HR administration we say so rather than treating them as the same purchase. Rates are volatile and were captured as dated points. Unpublished facts are marked "not publicly listed" and self-stated claims are labeled company-reported.

Employment expirables and payer credentialing share the same dates, so our multi-purpose virtual assistant service page sets out how one placement can carry HR administration alongside credentialing paperwork.

Because a clinician's license status affects billing as well as employment, the virtual medical billing service page covers the revenue side that depends on those records staying current.
