Q: How does patient privacy apply to an operations coordinator?

Operations work touches systems that hold protected health information, such as scheduling and vendor portals tied to the record. Honest Taskers professionals are HIPAA trained and work under a Business Associate Agreement when they access that data, so the coordinator handles it under the same rules as your on-site team.

Does an operations coordinator need to be on site?

No, the coordination work itself runs through the practice's software and inboxes, so it moves off site cleanly. What stays on site is the physical piece, such as receiving and stocking supplies, walking the floor, and supervising staff in person.

Can one operations coordinator own several workflows at once?

Yes, owning many recurring workflows is where a dedicated operations coordinator earns the seat, because SOPs, vendor renewals, supply orders and schedules all follow the same weekly rhythm. One person running a documented process across them keeps details matched in a way scattered ownership rarely does.

What does an operations coordinator cost against an in-house hire?

An operations coordinator bills $10.00 to $12.65 an hour with no employer load, while a full-time in-house office manager at the $45,930 administrative median runs about $68,252 once benefits and payroll taxes are added. The gap applies only to the hours that move off site.

Are healthcare operations coordinators HIPAA compliant?

Yes, an operations coordinator can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The practice still controls which systems and data the coordinator can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a healthcare operations coordinator work in my practice systems?

Yes, operations coordinators routinely work inside a practice's existing systems, though experience with any specific system varies by candidate. Many bring prior time in tools such as athenahealth, eClinicalWorks, Slack, and Microsoft Teams. Access is granted and controlled by your practice, so confirm your stack during the interview.

What tasks does a healthcare operations coordinator handle?

A healthcare operations coordinator coordinates daily workflows, handles staff scheduling, manages vendor and supply coordination, tracks tasks and KPIs, documents processes, and runs cross-team communication. Many also keep reporting current and flag blockers early. They follow your processes and route clinical questions to your licensed staff.

Can an operations coordinator improve practice efficiency?

Yes, an operations coordinator improves efficiency by keeping schedules, vendors, and tasks moving so clinical staff aren't pulled into back-office work. Consistent daily follow-up and clear process documentation are the main levers. That steady coordination is easier with a dedicated hire than with tasks spread across busy staff.

How does Honest Taskers staff operations coordinators?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and coordinators handle workflow coordination, scheduling, vendor coordination, KPI tracking, and process documentation while routing clinical questions to your staff. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how a healthcare-focused virtual professional can support your practice.

How fast can you hire a healthcare operations coordinator?

Most companies place an operations coordinator within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the role, the screening depth, and your interview process.

Choosing between an operations coordinator and in-house staff is a work-allocation question before it's a budget one. This guide opens with the real gap between a virtual operations coordinator and an in-house office manager, then names the operations work that still calls for a physical presence. From there the page walks the remote scope, meaning the SOP upkeep, vendor coordination and supply ordering that fills a coordinator's week, how one keeps daily workflows and staffing schedules on track, and how the same person manages recurring supply orders and vendor renewals. Cost comes next in two parts, what an in-house office manager runs after wages and load against what an hourly coordinator costs per workflow it owns. Then come the practical calls: how soon a remote hire can document a broken workflow, what breaks down when no one owns the daily process, whether to pick remote or in-house, and when running both together is worth it. Which overhead and pay sources, wage figures included, ground the comparison closes the page.

What is the real gap between a virtual operations coordinator and an in-house office manager?

A virtual operations coordinator is a remote professional whose whole focus is your recurring workflows, while an in-house office manager is an on-site employee who runs the office and treats process work as one duty among many. Depth against presence is the honest difference. Working the same SOPs, vendors and schedules every week, a dedicated coordinator keeps them documented and current instead of letting them drift between busier fires. An office manager brings physical presence and can walk the floor, yet the workflow upkeep competes with front-desk coverage, patient issues and whatever lands that morning. Owned by everyone, it's owned by no one. Honest Taskers places a virtual medical assistant who runs the operations work inside your own tools, rather than an agency that delivers campaigns on your behalf, and that's what decides scope. Either way the trade is real. You'll gain steady process ownership and give up the in-room convenience, and for many practices the recurring operations are work you can outsource, needing a consistent owner more than a chair in the building.

What operations work still calls for a physical presence?

A short list of operations tasks still needs a person on site, and naming them plainly matters before any cost table. Receiving, stocking and physical supervision stay in the building.

Receive deliveries and stock physical supplies as they arrive at the practice.
Walk the floor to catch what a schedule or dashboard won't show.
Supervise on-site staff in person and handle the issues that need a face.
Sign for equipment and confirm a vendor's on-premise work in the room.

Everything else in the role lives in software and inboxes, so the on-site column stays short. Keeping it explicit is the point here. A practice that assumes the whole job must sit in the building ends up paying a loaded salary for work that never needed the desk, and that misread is what the cost sections below are built to correct.

What SOP upkeep, vendor coordination and supply ordering fills a operations coordinator's week?

Nearly everything that lives in the practice's systems can move to a remote operations coordinator, which is most of the role. Recurring work such as writing and updating SOPs, coordinating vendors and service renewals, placing supply orders before stock runs low, and tracking the small repeating tasks that fall through the cracks all sit in the coordinator's queue. So does the schedule building and the follow-up that keeps a workflow from stalling mid-week.

Running that cadence week after week is where a dedicated owner beats an office manager who keeps dropping it when the floor gets loud. A written SOP that one person maintains beats institutional memory that leaves with whoever wrote it. For a fuller picture of who does this work well, see our roundup of the best operations coordinator companies. Scope stays broad here because the tooling is remote by nature, and the only real limit is the on-site column above.

How does an operations coordinator keep daily workflows and staffing schedules on track?

An operations coordinator keeps daily workflows and staffing schedules on track by holding a written cadence and checking it every day, not by remembering when things are quiet. Each morning the coordinator confirms coverage, flags a gap before a shift opens short, and moves recurring tasks along so nothing waits for a reminder. Staffing schedules get built against the week's demand, swaps get logged, and the provider sees a clean plan instead of a scramble. Because operations work touches systems that hold protected health information, such as the scheduling platform and the record it connects to, Honest Taskers professionals are HIPAA trained and work under a Business Associate Agreement when they access that data. The same discipline defines the wider job, so for the full role see our explainer on what a virtual medical assistant is. Run the cadence on a steady pattern and the day holds together rather than lurching from one gap to the next.

How does an operations coordinator manage vendors and recurring supply orders?

An operations coordinator manages vendors and recurring supply orders from one calendar of renewals, contracts and reorder points, rather than reacting whenever something lapses. Each service agreement carries a date. The coordinator tracks every one of them, so a renewal gets reviewed before it quietly auto-charges at a worse rate than the practice agreed to. Supply orders run on par levels, meaning a reorder goes out the moment a count hits its floor. A room never has to run empty first. Vendor trouble, such as a missed delivery or a billing error, gets chased and written down so the same issue doesn't repeat next quarter. What the on-site team still owns is the physical end, receiving the boxes and putting stock on the shelf. Hand the ordering, tracking and vendor back-and-forth to a remote coordinator, and the practice stops bleeding money into lapsed contracts and the rush shipping it never planned for.

What does an in-house office manager cost after wages and load?

An in-house office manager costs far more than the salary line, because employer load lands on top of every wage dollar. Anchored to the administrative median, here's how the recurring cost stacks up.

Fully loaded annual cost of an in-house office manager, administrative median anchor
Cost component	What it covers	Percent on top of wages	Amount
Base salary	The advertised pay for the role	n/a	$45,930
Insurance	Health and related coverage	17.5%	$8,038
Paid leave	Vacation, sick days and holidays	11.9%	$5,466
Legally required	Employer FICA, unemployment, workers' compensation	10.2%	$4,685
Supplemental pay	Overtime, bonuses and shift differentials	4.5%	$2,067
Retirement and savings	Employer contributions and match	4.5%	$2,067
All-in recurring	What the seat costs before equipment or space	48.7%	about $68,252

Because an office manager often sits above the administrative median on the local market, treat $45,930 as a conservative floor and run your own wage through the same load. Filling the seat adds an average $5,475 per hire, and that cost returns on every departure. Add the churn of refilling that seat to the recurring load, and the true number climbs higher than the table alone shows.

What does an hourly operations coordinator run per workflow it owns?

An hourly operations coordinator costs $10.00 to $12.65 an hour depending on role, background, schedule and location, billed by the hour with no weekly minimum and none of the employer load in the table above. Priced against the workflows it owns, the math gets clear fast. At full time that's about $20,800 to $26,312 a year, and at twenty hours a week about $10,400 to $13,156, for a person whose whole week goes to your SOPs, vendors and schedules. A practice that needs a few owned workflows rather than a full desk pays for the hours those workflows take and nothing more. For the pricing detail, our guide to how much a virtual medical assistant costs covers the rate. Work your own figure rather than trusting either number, using local wages for the in-house side and your own hours for the remote one.

How soon can a remote operations coordinator document a broken workflow?

A remote operations coordinator can start documenting a broken workflow in the first week, because mapping a process is the first thing a good coordinator does. Watching how a task moves through the office, the coordinator writes down each step, marks where it stalls, and drafts the fix as a repeatable SOP the team can follow. Standing the role up is quick as well. Most Honest Taskers placements complete within one to three weeks of a signed agreement, and the first hire comes with a two-week working trial, so fit gets tested on real workflow documentation before anything further is committed. Honest Taskers also reports 99.6% average monthly retention, so the person who learns your processes stays on them. That continuity matters, because a documented workflow is only as good as the memory of the person who keeps updating it. Recruiting an in-house office manager in most markets takes longer before onboarding even begins, and the mapping work waits the whole time.

What breaks down in operations when no one owns the daily workflow?

Operations break down quietly when no one owns the daily workflow, because the work carries no deadline until it turns into a problem. SOPs go stale. New staff then learn the job by asking whoever's nearest, and the process drifts a little further with each retelling. Vendor renewals get dropped. A contract auto-renews at a worse rate, or a service lapses at the wrong moment and nobody catches it until a patient does. Supplies run short because no one is watching par levels, and a treatment room hits a shortage in the middle of a clinic day. None of this shows up as a line item, which is why it's ignored until something visible finally breaks. Handling the daily process is one of the tasks to outsource to a virtual medical assistant, rather than a thing someone patches once they notice it slipping. Give it a steady owner, and the slow erosion never gets going.

Remote or in-house, which operations coordinator should a practice pick?

Pick a remote operations coordinator when the recurring workflows are the job, and keep it in-house only when process work is a small slice of a broader on-site role you already need in the building. Sort the work into two columns before pricing anything, because the split decides the answer more than any rate does. A practice that prices first and sorts second almost always talks itself into the salary, since a full-time seat feels like the safe default even when the workload never fills it. On-site tasks go in the first column and software-and-inbox tasks in the second, and then a few questions settle it.

Is the on-site column short? For most practices the operations work is almost entirely remote, which points to an hourly coordinator.
Does the work fill a full week? A single owned workflow rarely does, and hourly billing fits a load no salary can be sized to.
How many workflows need an owner? More recurring processes favor a dedicated coordinator running one documented system.
Do you already need an office manager on site anyway? Where you do, the process work can ride along, though it slips first when the floor gets busy.

When is running an in-house office manager alongside a remote operations coordinator worth it?

Running both is worth it when the roles cover different ground, which is the pattern many larger practices land on. The setup that works keeps an in-house office manager for the floor, the front desk and anything needing a physical presence, then hands the recurring operations to a remote coordinator who owns the SOPs, vendors and schedules. That's augmentation rather than replacement, and it shows up first as the office manager getting hours back for the work that genuinely needs a person in the room. Watch for a manager spending real time on process upkeep between everything else, doing it unevenly because it keeps losing to whatever's on fire. That's the signal to hand the workflows to a dedicated owner. To size whether the workload justifies either seat, our checklist of the signs your practice needs a virtual assistant helps frame the call. A single site with a light workload usually doesn't need more than the coordinator.

Which overhead and pay sources ground this operations coordinator comparison?

Wages here come from the Bureau of Labor Statistics (Source: Bureau of Labor Statistics, "Occupational Employment and Wage Statistics", May 2025, occupation code 43-6013), medical secretaries and administrative assistants, used as a conservative anchor because no single code covers a practice operations coordinator. Employer load percentages come from the same agency (Source: Bureau of Labor Statistics, "Employer Costs for Employee Compensation", March 2026), office and administrative support in private industry, applied as separate components so paid leave and legally required benefits aren't counted twice. Cost per hire comes from SHRM (Source: SHRM, "2025 Benchmarking Report"). Honest Taskers rates come from the company's own published rate card. Every wage here is a national median, so all of them move with your local band, which is why the honest comparison is the one you run on your own numbers.

Honest Taskers, BELAY, and Prialto lead this year's shortlist of operations coordinator companies, seven firms ranked on how they place remote support for the work that keeps an organization running, from vendor and supply coordination to scheduling, reporting, policy and process upkeep, onboarding logistics, and the recurring administrative cycles that quietly consume a manager's week. Operations coordination is where a remote hire pays for itself fastest, because most of what an operations manager does is not decision-making. Below we set out whether a coordinator can take the judgement half, what happens when inbox access meets patient data, what an hour costs across these models, which commitment term the contract carries, and which of your weekly tasks are coordination.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best operations coordinator companies

We ranked these firms on five facts, each read at the provider's own website in August 2026. Those facts are the operations scope, the stated HIPAA and Business Associate Agreement position, published pricing, the purchase model, and the notable verified detail each firm publishes. The criterion we weighted most heavily is breadth, because operations coordination is the least tidy role on this list. It absorbs vendor calls, rota gaps, supply ordering, reporting, policy updates, and whatever broke this week, and a provider whose people only do one thing will not cover it. Firms offering several role types under one contract have a real advantage here. Blank facts read "not publicly listed" instead of a guess.

Best operations coordinator companies compared

The table ranks all 7 on the same columns, Honest Taskers first because we publish the list. Facts were read August 2026 and change often, so treat them as a starting point, not a quote.

Operations coordinator companies compared on the criteria stated below, read at each provider's own site.
Company	Operations scope	HIPAA / BAA position	Published pricing	Purchase model	Notable facts
Honest Taskers	Vendor and supply coordination, scheduling and rota support, reporting, policy and process upkeep, onboarding logistics, recurring administrative cycles	HIPAA compliance verified by Accountable; BAA when PHI is accessed; compliance officer	$10.00–$12.65/hr	Hourly staffing, your direction	Healthcare-specialized; two-week first-hire trial; 99.6% average monthly retention
BELAY	Operations assistants plus executive, personal, sales and marketing support, bookkeeping and accounting	Nothing stated	Not publicly listed	Matched US-based staffing	93% first-match success rate; top 3% of US applicants; industries include Private Healthcare
Prialto	Managed operations support with process design and documentation by an Engagement Manager	Nothing stated	$1,600/mo per unit (55 hrs); $3,600/mo full time (165+ hrs)	Managed service, 90-day minimum	Engagement Manager, month-long training, backup assistant; 9am to 6pm US and UK hours
MyOutDesk	Administrative tasks, customer service, bookkeeping, marketing, inside sales, transaction coordination	"HIPAA Verified"; HIPAA and PCI-DSS compliance ready	$1,988/mo managed; $2,500/mo specialized	Full time only, 8h x 5d	SOC 2 certified and audited (company-reported); 17+ years; 8,500+ businesses served
Wing Assistant	Administrative and executive assistants, customer service reps, digital marketing and sales support	Nothing stated beyond a healthcare VA product	Not publicly listed	Placed assistants	10,000+ active assistants; 2M+ applicants screened annually
Magic	Admin, executive, customer support and ecommerce assistants, plus a 24/7 option	Nothing stated	$270/wk part time; $540/wk full time	No contract, cancel anytime	Top 0.5% of talent claimed; billed every 4 weeks
Neolytix	Healthcare virtual assistants alongside RCM, credentialing, enrollment and licensing	ISO 27001 certified; HIPAA stated	Not publicly listed	Outsourced service plus staffing	270+ organizations, 31 specialties, 40 states; small-practice tiers

Breadth is the column to read here, and BELAY is unusual in it: the same firm places operations assistants and bookkeepers and can go up to a fractional chief financial officer, which suits an operations role that keeps colliding with finance. MyOutDesk covers a similar span offshore at a published rate. The narrower firms are cheaper or more specialized but will not absorb the whole job. As always in this cluster, only three firms state any HIPAA position, and operations work in a practice touches patient data more often than people expect.

1. Honest Taskers

Best for: practices and clinics where operations work runs into patient scheduling, records, and clinical logistics.

Pricing: $10.00–$12.65/hrLocation: US clients; PH, LatAm, India and Pakistan recruitingModel: Hourly staffingFirst hire: Two-week working trial

Operations in a healthcare setting is not separable from patient operations. The rota gap is a clinic that cannot run, the supply order is for a treatment room, the reporting is on patient throughput, and the policy update is a clinical protocol. Honest Taskers places staff trained on HIPAA and data privacy under a dedicated compliance officer, working your time zone inside your own systems, with a Business Associate Agreement signed before access and HIPAA compliance verified by Accountable. The work covers vendor and supplier coordination, scheduling and rota support, recurring reporting, policy and process documentation upkeep, onboarding logistics for new staff, credentialing and license renewal tracking, and the monthly administrative cycles that always land on the same overloaded person. Rates run about $10 to $12.65 an hour depending on role, background, schedule, and location, with a two-week working trial on the first hire and 99.6% average monthly retention reported. See the multi-purpose virtual medical assistant service for role detail.

Limitation: Honest Taskers is built for healthcare, so a business outside healthcare is not the target buyer and BELAY or Prialto will fit better; the firm describes its security environment as SOC 2 audit ready rather than holding a SOC 2 or ISO 27001 certification of the kind MyOutDesk and Staffingly publish.

2. BELAY

Best for: organizations that want a US-based coordinator and a fast, human-matched placement.

Pricing: Not publicly listedLocation: US-based partnersModel: Matched staffingMatch: As little as one week

BELAY commits to US-based staff, stating it accepts only the top 3% of US-based applicants and describing its people as US-based partners, which matters for coordination work that involves live calls with vendors, staff, and outside organizations. Matching is done by people with a reported 93% first-match success rate and a match in as little as one week. Its roles span operations, executive, personal, sales and marketing assistants, social media managers, and an accounting bench up to fractional controller and chief financial officer, so a coordinator role can broaden as it settles. Named industries include Private Healthcare and Health & Wellness, and it reports a tenth consecutive year on the Inc. 5000.

Limitation: no pricing is published at all, and despite naming Private Healthcare it states no HIPAA position and no Business Associate Agreement, which has to be settled before any access to patient information.

3. Prialto

Best for: organizations that want the coordination process designed and documented rather than improvised.

Pricing: $1,600/mo per unit; $3,600/mo full timeLocation: Not publicly listedModel: Managed service, 55 hrs per unitMinimum: 90 days per unit

Prialto sells a managed service with a wrapper that suits coordination work well. Each unit is $1,600 a month for 55 hours plus free episodic overflow, with full time from $3,600 for 165 or more hours, and it includes an Engagement Manager whose explicit job is process design and optimisation, a month-long training program, backup assistant support, and tool training. For a coordinator role, having somebody responsible for how the work runs rather than only who does it is the difference between a functioning process and a person improvising. Coverage is 9am to 6pm Monday to Friday across US and UK time zones, onboarding is three to five days, and the firm reports 16 or more years of experience.

Limitation: no HIPAA or Business Associate Agreement position is stated, the 90-day minimum per unit rules out a short trial, and at roughly $29 an hour it is the most expensive option here.

4. MyOutDesk

Best for: organizations wanting offshore economics with a named security audit and a healthcare claim.

Pricing: $1,988/mo managed; $2,500/mo specializedLocation: Not publicly listedModel: Full time only, 8h x 5dCompliance: SOC 2; HIPAA Verified

MyOutDesk publishes $1,988 a month for managed outsourcing and $2,500 for specialized, both full time at eight hours a day, five days a week, which works out around $12 an hour at the lower tier. Its compliance documentation is the strongest among the offshore firms here: SOC 2 certified and SOC 2 audited, described as HIPAA Verified, and HIPAA and PCI-DSS compliance ready. Scope runs from administrative tasks, customer service, and bookkeeping through marketing, inside sales, and transaction coordination, and it reports 17 or more years in business, 8,500 or more businesses served, screening to the top 0.7% of talent, and hiring in as little as one week.

Limitation: full time only, so a part-time coordinator is not available, and HIPAA Verified is the firm's own description rather than an independent certification, so establish what it covers.

5. Wing Assistant

Best for: organizations that need coverage outside office hours or fast replacement from a deep pool.

Pricing: Not publicly listedLocation: Not publicly listedModel: Placed assistantsScale: 10,000+ active assistants

Wing Assistant reports the largest bench here, more than 10,000 active assistants and more than two million applicants screened annually, with 24/7 specialist availability and a 4.8 out of 5 average rating. For coordination roles that span time zones or need cover in the evening, that availability is a genuine differentiator, and pool depth shortens the gap when a placement does not work out. Its roles are explicitly segmented, naming administrative assistant, executive assistant, virtual assistant, customer service representative, digital marketing assistant, sales development representative, and a healthcare virtual assistant product.

Limitation: it publishes no pricing, no delivery location, no minimum commitment, and no HIPAA detail, leaving the four questions a buyer most needs answered all unanswered.

6. Magic

Best for: organizations that want to test the role for a month without signing anything.

Pricing: $270/wk part time; $540/wk full timeLocation: Not publicly listedModel: No contract, cancel anytimeTalent: Top 0.5% claimed

Magic removes the commitment problem entirely: $270 a week for 20 hours or $540 for 40, billed every four weeks, no contracts, cancel anytime, and payment starting only when you begin working with your assistant. For a coordinator role that has never existed in your organization, that structure lets you find out whether it earns its keep before committing to a quarter. Roles cover admin, executive, customer support and ecommerce assistants, with Magic 24/7 included on full-time and team plans and teams starting at three assistants. It claims curation from the top 0.5% of talent.

Limitation: it states no HIPAA position, no compliance certification, and no delivery location, and its named industries are ecommerce, transportation, warehousing, media, non-profit, construction and professional services rather than healthcare.

7. Neolytix

Best for: healthcare organizations wanting a coordinator inside a broader outsourced arrangement.

Pricing: Not publicly listedLocation: HQ ChicagoModel: Outsourced service plus staffingCompliance: ISO 27001 certified

Neolytix offers virtual assistants alongside revenue cycle management, coding audit, credentials verification organization credentialing, provider enrollment, and licensing, with explicit small-practice and mid-market tiers that most firms in this market do not bother with. For a coordination role in a practice, that adjacency is useful: the same firm can absorb the billing or credentialing work the coordinator would otherwise be chasing. It reports more than 270 organizations across 31 specialties in 40 states from a Chicago base, and is ISO 27001 certified with HIPAA compliance stated.

Limitation: no pricing is published, and it is healthcare-only, so it is not a general business coordination provider.

Can a coordinator take the judgement half of operations?

No, and that is the point. Operations is the clearest example of a role containing two jobs at sharply different price points, so split it. The judgement half, deciding what to prioritize when the rota breaks, choosing between vendors, signing off a policy change, has to sit with somebody accountable inside the organization. The coordination half, chasing the vendor, updating the rota, compiling the report, keeping the documentation current, chasing license renewals, is administrative and portable. A medical records specialist earned about $51,140 a year, roughly $24.59 an hour before benefits, according to the u.s. bureau of labor statistics may 2025 wage data for medical records specialists, against published remote options from $13.50 an hour at Magic full time to roughly $29 at Prialto. In practice a practice manager who offloads the coordination half usually recovers a day a week, which is worth more than the hourly saving. Choose a broad provider rather than a specialized one, because operations work will not stay inside a job description. For the scope of what can move, see tasks to outsource to a virtual medical assistant.

What happens when a coordinator's inbox access meets patient data?

Without a Business Associate Agreement it is an exposure you created, and a coordinator with inbox, calendar or system access will meet patient information sooner or later. Operations access is broad by nature, which makes scope and continuity the main exposures.

PHI exposure by accident. A coordinator with inbox, calendar, or system access will encounter patient information. Without a Business Associate Agreement that is an exposure you created.
Commitment terms vary more than price. Magic has no contract, Prialto and Athena require 90 days, MyOutDesk is full time only.
Coverage during absence. Ask who covers. Prialto names backup assistant support; most firms do not address it.
Access scope. Grant the minimum systems access the role needs and review it quarterly.
Replacement terms. Ask how a failed match is handled and whether the commitment period restarts.

What does an operations coordinator cost per hour across these models?

Roughly $10 at one end and more than twice that at the other, once the monthly and weekly packages are divided down. Four firms publish rates. Prialto is $1,600 a month per unit for 55 hours or $3,600 full time for 165 or more hours. MyOutDesk is $1,988 or $2,500 a month, full time only at eight hours a day. Magic is $270 a week for 20 hours or $540 for 40, no contract. Honest Taskers is $10.00 to $12.65 an hour. BELAY, Wing Assistant, and Neolytix publish nothing. On cost per hour that spans roughly $10 to $29. For operations specifically, the number worth calculating is not the rate but the manager hours it releases: if a practice manager on a mid-five-figure salary recovers six hours a week, almost any option on this list pays for itself, and the comparison becomes about breadth and reliability rather than price. Rates were checked August 2026 and change often. For rate context, see how much a virtual medical assistant costs in 2026.

Which commitment term does the coordinator's contract carry?

Terms vary more than price here, from no contract to ninety days to full-time only, so read that before the rate. It matters alongside breadth of scope, reliability, systems access discipline and compliance.

Breadth under one contract. Operations work spills across finance, HR, and scheduling. Ask what else the provider can place.
Reliability over brilliance. Recurring cycles need somebody who does not miss. Ask about backup cover explicitly.
A BAA if patient systems are involved. Only three firms here state any position.
Documentation habits. Ask whether the provider documents the processes it runs, since that is what protects you at handover.
Hours overlap for vendor calls. Confirm the shift pattern, since suppliers and vendors keep local hours.

Which of your weekly tasks are coordination, not decisions?

Log a week and mark each one, because the split between judgement and coordination is usually surprising.

Log one week of operations tasks and mark each as decision or coordination.
Hand over the coordination list in priority order, starting with the recurring cycles.
Confirm which tasks touch patient information, deciding the compliance requirement.
Choose breadth over specialism, since the role will widen within a month.
Review at four weeks on manager hours recovered rather than tasks completed.

Methodology and sources

We read each company's own website in August 2026, recording operations scope, stated HIPAA and Business Associate Agreement position, published pricing, purchase model, and the notable facts each firm publishes. Wage context is from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics for medical records specialists. Business Associate Agreement requirements are set by the HIPAA Privacy and Security Rules. Where a company didn't publish a fact, we marked it "not publicly listed"; match rates, talent-acceptance percentages, and client counts are labeled company-reported and were not independently audited.

If a practice manager is the bottleneck, the fix is offloading the recurring coordination rather than adding another manager. Our explainer on what a virtual medical assistant is covers the operational work a remote hire can own, and where accountability has to stay in the building.
