Can an optometry virtual medical assistant handle refractions?

No, refraction and clinical eye care stay with your in-office optometry team. A remote assistant books the visit, verifies benefits, tracks the frame allowance, works recall and handles contact lens reorders. The exam itself, the diagnosis and any prescription belong to the licensed provider on site.

Does verifying a VSP benefit differ from checking medical insurance?

Yes, they run down two different lanes. Vision plans such as VSP, EyeMed and Davis Vision cover routine exams, frame allowances and lens benefits, while medical carriers cover complaints like dry eye, glaucoma or a diabetic eye exam. A good assistant checks the right one for the visit type and confirms both when a routine visit might turn medical.

How far ahead should an optometry assistant verify benefits and frame allowances?

About 48 hours before the visit. That leaves time to catch an exhausted frame allowance, a lapsed plan or a copay surprise while the patient can still be called, and it keeps the front desk from working eligibility at the counter with a room full of people waiting.

What happens if an assistant codes a medical eye visit as a routine vision exam?

The claim goes to the wrong payer, the practice loses the higher medical reimbursement, and the patient's once-a-year vision benefit gets spent for nothing. Fixing it means a corrected claim, a possible refund and a confused patient, which is why the vision-versus-medical judgment is the first thing to test in hiring.

What does a virtual medical assistant do for optometry practices?

The work is administrative: booking routine eye exams and contact lens fittings against the recall cycle; verifying vision plan and medical benefits separately; since most patients carry both; coordinating frame and contact lens orders and calling patients when they arrive. Clinical judgement, assessment and anything requiring a license stay with your own clinicians.

How much does a virtual medical assistant for optometry practices cost?

Four firms publish rates: Care VMA Health starts at $9 an hour, Hello Rache is $9.50, Honest Taskers is $10.00 to $12.65, and HelpSquad Health is $8 to $10 for back-office work or $10 to $13 for patient-facing. Staffingly is $399 a week for 45 hours. A US medical secretary earned a median $22.08 an hour in May 2025 by comparison.

Do these companies sign a HIPAA Business Associate Agreement?

Some do and some state only HIPAA training, which is not the same. My Mountain Mover states a signed BAA is part of every healthcare contract, Virtual Nurse Rx provides one to every client, HelpSquad Health includes it in the rate, Staffingly reports a signed BAA alongside SOC 2 Type II and ISO 27001, and Honest Taskers signs one before PHI access.

How quickly can an assistant start?

Virtual Nurse Rx reports an average 48-hour deployment and Care VMA Health advertises 48-hour matching. My Mountain Mover states hiring within 7 to 14 days and Rockstar Global reports a 7 to 14 day implementation. Most of the elapsed time is your own onboarding, so preparing system access and a task list shortens it.

Can I try one without a long commitment?

Yes, Hello Rache states cancel anytime with no long-term commitment, Care VMA Health offers no long-term contracts and a Flexi Plan with no minimum hours, DocVA states a contract with no lock-in period, Virtual Nurse Rx is month-to-month, and Honest Taskers provides a two-week working trial on the first hire.

Will the assistant know optometry practice workflows?

Ask rather than assume. My Mountain Mover states pre-trained healthcare talent experienced in widely used electronic health records across 50-plus specialties, MEDVA names its practice-type breakdown, and DocVA states its assistants are experienced healthcare professionals. Request the specific assistant's background in optometry practices and who trains them on your systems.

Why is benefit verification harder in optometry?

Because most patients carry both a vision plan and medical insurance, and which one applies depends on why they are being seen. A routine refraction and a diabetic eye exam bill differently. Verifying both, and recording which applies is the highest-value administrative task in the practice.

Can an assistant manage optical dispensing follow-up?

Yes, placing frame and lens orders, tracking arrival and calling patients to collect is administrative and it is where optical revenue leaks. Hello Rache names a virtual optometry assistant as a specific role, which is unusual in this market.

Hiring an optometry virtual medical assistant starts with what a practice should get straight first, from billing lanes to what an in-house seat costs. From there this guide walks what the role covers across the exam-to-optical journey, then why the split between vision plans and medical insurance decides the hire more than any other factor. It shows how an assistant confirms VSP, EyeMed and Davis Vision benefits ahead of a visit, and how they keep annual recall and contact lens reorders moving week to week. You'll see which optometry platforms a candidate should already have touched, the one screening question that exposes whether they understand frame allowances, and how to test them on a real vision-versus-medical billing case. The last stretch covers how long before a new hire works your recall list unsupervised, what goes wrong when a medical eye visit gets miscoded as routine vision, what optical and clinical tasks stay with your in-office team, and where these optometry hiring facts come from.

What should an optometry practice get straight before hiring a virtual medical assistant?

An optometry practice should settle two things before hiring: which billing lane each visit runs down, and what an in-house alternative costs. Both shape the role and the pay. A remote hire bills hourly at $10.00 to $12.65 with no payroll taxes, benefits, paid leave or workspace stacked on top.

Compare that with a local seat. Source: the Bureau of Labor Statistics "Occupational Employment and Wage Statistics" program put the May 2025 median for medical secretaries and administrative assistants at $45,930 a year. Overhead pushes that higher. Layer on the load and the Bureau of Labor Statistics "Employer Costs for Employee Compensation" series for March 2026 adds 48.7% in employer load, so a loaded in-clinic admin seat lands near $68,252 a year. That gap is why practices outsource the administrative tasks a front desk carries.

One more thing to settle is scope. An optometry front desk touches vision plans, medical carriers, recall and optical all day, and a remote hire can run every administrative piece of that while none of the clinical work moves off site.

What does an optometry virtual medical assistant cover across the exam-to-optical journey?

An optometry virtual medical assistant covers the administrative flow from the first appointment request through the optical dispense and the contact lens reorder, and nothing clinical in between. Think of it as the paperwork spine of a visit rather than any part of the exam.

These queues are steady and repeatable, which is what makes them a good fit for a remote hire.

Booking exams and optical pickups, plus reminder calls to patients
Verifying vision-plan and medical benefits for patients ahead of each visit
Prior authorization and referral tracking for patients with medical eye complaints
Annual recall outreach so patients don't quietly drop off the schedule
Optical order status and frame allowance tracking, plus pickup follow-up with patients
Contact lens reorders and renewal reminders for patients on expiring prescriptions

What ties these together is that every one of them is a communication or a record task, not a clinical decision. Each assistant moves information, confirms coverage and chases what's outstanding. When a task needs a licensed judgment, they hand it back to the practice rather than guessing at it, and that boundary is the whole reason the arrangement stays safe.

Why does the split between vision plans and medical insurance decide an optometry hire?

The split between vision plans and medical insurance decides an optometry hire because it changes who pays, what's covered and how the visit must be coded, and a candidate who can't tell the two apart will cost you claims. No other specialty runs two parallel benefit systems for one appointment the way optometry does.

Here's the line. A routine exam for glasses or contacts, plus the frame and lens benefit, runs through a vision plan such as VSP, EyeMed, Davis Vision or Spectera. Medical complaints, such as dry eye, a red eye, glaucoma monitoring or a diabetic eye exam, run through the patient's medical carrier instead. Same chair, same doctor, different payer and different rules.

A strong hire treats that fork as the first question of every visit rather than an afterthought at checkout. They read why the patient booked, flag when a routine visit is drifting medical, and verify the right coverage before the day of service. Get that judgment wrong and the fix is a corrected claim and an annoyed patient.

How does an optometry assistant confirm VSP, EyeMed and Davis Vision benefits ahead of a visit?

An optometry assistant confirms VSP, EyeMed and Davis Vision benefits by pulling each patient's eligibility, frame allowance and copay from the payer portal about 48 hours before the appointment. That window is the point of the whole exercise, since it leaves time to call a patient whose benefit is exhausted or whose plan lapsed while they can still adjust plans.

The routine is the same across payers even though the portals differ. Confirm the plan is active, note the exam and materials copay, check whether the frame allowance has already been used this benefit year, and record contact lens coverage separately because it often sits under its own limit. For a medical eye visit, the assistant verifies the medical carrier instead and captures any prior authorization the plan wants.

This is exactly the kind of front-desk load that runs well from a remote seat, and our list of tasks to outsource to a virtual medical assistant shows the same verification work mapped across other specialties.

How does an optometry assistant keep annual recall and contact lens reorders moving?

An optometry assistant keeps annual recall and contact lens reorders moving by working a dated list every week rather than waiting for patients to call back on their own. Recall is where an optometry practice quietly leaks revenue, because a patient who misses their yearly exam usually doesn't reschedule until something goes wrong with their eyes.

Running the recall rhythm is simple, and neglecting it is just as easy. The assistant pulls everyone due or overdue for an annual exam, reaches out by the channel each patient prefers, books what they can, and logs the rest for a second attempt. Contact lens reorders ride alongside it, since a patient running low on lenses is a patient due back for a renewal exam anyway.

Explaining the boundary matters even here. The assistant can tell a patient their prescription is expiring and book the exam, but they can't authorize a reorder against a lapsed prescription. That split gets obvious once you know what a virtual medical assistant is: they move the schedule, the doctor makes the call.

Which optometry platforms should a candidate already have touched?

A candidate should already have touched at least one optometry-specific system, because these platforms handle the exam record, the optical order and the vision-plan claim in ways general medical software doesn't. Experience with the exact system you run is a bonus, not a requirement, since a candidate who knows one optometry platform learns the next one quickly.

Common optometry platforms a candidate may have used
Platform	What it handles
RevolutionEHR	Cloud EHR and practice management built for optometry
Crystal PM	Practice management with EHR and optical tracking
Eyefinity	EHR and revenue cycle tools, VSP-connected
Compulink	EHR and practice management for eye care
OfficeMate	Practice management and optical inventory

Ask which system a candidate used and what they did inside it day to day. Someone who can describe pulling a recall list or checking a frame allowance in one of these has done the real work, not just watched a demo.

What screening question exposes whether an optometry candidate understands frame allowances?

The screening question that exposes whether a candidate understands frame allowances is a math-and-coverage puzzle they answer out loud: a patient's plan gives a $150 frame allowance, they choose a $220 frame, so what does the patient owe and how does the rest get handled? A candidate who knows the work answers without stalling.

The right answer walks through the allowance applying first, the patient owing the difference above it, any plan discount on that overage, and the materials copay landing on top. A weaker candidate either guesses a single number or assumes the plan simply covers the frame, which tells you they've never processed a vision-plan order.

Push one step further and ask what changes if the frame allowance was already used earlier in the benefit year. Now the patient is paying out of pocket with a possible plan discount, and the assistant has to explain that clearly before the patient commits. Somebody who handles both versions has sat at a real optical counter, and that's the person you want on the phones.

How do you test an optometry candidate on a vision-versus-medical billing case?

You test an optometry candidate on a vision-versus-medical billing case by handing them one visit and asking which lane it bills down and why. Keep it concrete, because the judgment you're checking is fast pattern recognition, not textbook recall.

Use a case that starts routine and turns. A patient books an annual exam for new glasses, then during check-in mentions sudden flashes and floaters. Strong candidates spot that the flashes and floaters push this toward a medical complaint, say the medical carrier now matters alongside or instead of the vision plan, and flag it for the doctor to confirm the diagnosis and coding. They don't try to decide the medical necessity themselves, and they don't quietly bill it as a plain vision exam to avoid the hassle.

Listen for two things: whether they catch the switch, and whether they know where their authority stops. The candidate you want names the payer question and hands the clinical call back. That instinct is hard to coach in, which is why it belongs in the interview rather than onboarding.

How long before an optometry virtual medical assistant works your recall list unsupervised?

An optometry virtual medical assistant usually works your recall list unsupervised after a short ramp, once they've seen your payer mix, learned your EHR and shadowed a week of real calls. Pace depends on how organized your recall data already is and how many vision plans you take, not on the person alone.

On timing and terms, Honest Taskers reports that most placements complete within one to three weeks of a signed agreement, and recruits in the Philippines, Latin America, India and Pakistan, with professionals working your US time zone. Rates run $10.00 to $12.65 an hour depending on background, schedule, scope and location, billed hourly with no weekly minimum. The company also reports 99.6% average monthly retention, which matters for recall specifically because a patient answers a familiar voice more readily than a new one.

A two-week working trial with your first selected professional lets you watch the ramp before you commit. Practices still weighing whether the workload justifies a hire can size it first with our guide to the signs your practice needs a virtual assistant.

What goes wrong when an optometry assistant miscodes a medical eye visit as routine vision?

When an optometry assistant miscodes a medical eye visit as routine vision, the claim goes to the wrong payer, the practice loses the higher medical reimbursement, and the patient's once-a-year vision benefit gets spent for nothing. One mistake creates three separate problems, and they all land after the patient has gone home.

Cleanup is worse than the original error. Someone has to void or correct the claim, rebill the right carrier, possibly refund a copay collected under the wrong plan, and explain to a patient why their vision benefit now shows as used when they came in for their dry eye. Multiply that across a busy schedule and a pattern of miscoding quietly drags down both revenue and patient trust.

This is why the vision-versus-medical judgment sits at the center of the hire rather than the edge of it. An assistant who verifies the correct coverage before the visit and flags the borderline cases for the doctor prevents nearly all of it. The fix is a good process at the front, not a scramble at the back.

What optical and clinical tasks stay with the in-office optometry team?

Refraction and clinical eye care stay with the in-office optometry team, full stop. A remote assistant never touches the exam or any decision that flows from it, and that limit is the fixed edge of the whole role. Honest Taskers staff do administrative and clinically adjacent work only, never clinical advice and never clinical decisions.

Several tasks belong on site by their nature.

Refraction, tonometry, dilation and the imaging that supports the exam
Diagnosis, treatment decisions and any prescription written during the exam
Contact lens fitting and evaluation, a clinical judgment made in the exam room
Physical dispensing, frame adjustments and in-person optical fitting after the exam

Pool composition matters less than the boundary. Honest Taskers recruits healthcare-trained staff and its talent pool includes licensed nurses and physicians, though that describes who the company can recruit rather than the scope of the hire you place. Whoever you bring on runs the schedule, the coverage checks and the recall, which are the tasks to outsource to a virtual medical assistant, and hands every clinical question to your licensed team.

Where do these optometry hiring facts come from?

Honest Taskers rates, placement timelines, trial terms, recruiting geography and compliance posture come from the company's own published rate card and service terms. The vision-plan and medical-carrier names, such as VSP, EyeMed, Davis Vision and Spectera, and the optometry platforms named here reflect the systems these practices run rather than any endorsement. Wage context for the in-house comparison comes from the Bureau of Labor Statistics "Occupational Employment and Wage Statistics" program for May 2025, with employer load percentages from its "Employer Costs for Employee Compensation" series for March 2026. No recall rate, reorder volume, claim-denial figure or savings percentage appears here, because your own scheduling and billing data decide all of those. Where a claim isn't publicly listed, this page leaves it out rather than filling the gap with a guess.

Once the role is settled and you'd rather compare providers than candidates, see our ranking of optometry virtual medical assistant companies, which lines up published pricing, commitment terms and how each firm states its HIPAA and Business Associate Agreement position so you can shortlist on facts rather than marketing.

Request optometry candidates who already know the vision-plan and medical split.

Honest Taskers, Ditto Transcripts, and Hello Rache lead this year's shortlist of optometry virtual medical assistant companies, seven firms ranked on published pricing, the Business Associate Agreement position each states in its own words, commitment terms, and what each publishes about itself. For optometry practices the work that matters is booking routine eye exams and contact lens fittings against the recall cycle. Below we set out which recall work a remote assistant can run, how a vision plan claim is told from a medical one, what the work costs, whether a provider knows both benefit types, and what to fix before the next cycle. Of the seven here, three publish a rate and three state a signed BAA, and those two columns narrow the list faster than any claim about quality.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best optometry virtual medical assistant companies

We ranked these firms on five facts, each read at the provider's own website on August 24, 2026: the scope each offers optometry practices, the HIPAA and Business Associate Agreement position in the firm's exact wording, published pricing, commitment terms, and the verified detail each publishes. We ignored claims about screening quality and talent percentiles, because every firm in this market makes them and none is checkable from outside. What's checkable is what a firm will commit to. For optometry practices the additional question is whether the assistant can handle verifying vision plan and medical benefits separately without being taught the basics first.

Best optometry virtual medical assistant companies compared

The table ranks all 7 on the same columns, Honest Taskers first because we publish the list. Facts were read on August 24, 2026 and change often, so treat them as a starting point, not a quote.

Optometry virtual medical assistant companies compared on the criteria stated below, read at each provider's own site.

Read the compliance and pricing columns together. The firms that publish a rate aren't the ones with the weakest compliance position, which is the usual assumption, and several firms publish neither a price nor commitment terms nor a Business Associate Agreement, which means three separate negotiations before you can compare them to anything. For optometry practices the scope column matters too, because since most patients carry both isn't work every provider has done before.

1. Honest Taskers

Best for: optometry practices that want a published hourly rate, a signed BAA and third-party verified compliance with no minimum.

Pricing: $10.00–$12.65/hrCompliance: HIPAA verified by Accountable; BAACommitment: Hourly, no minimumFirst hire: Two-week working trial

Honest Taskers is where this list starts because the compliance and pricing questions are answered in public rather than in a quote. For optometry practices the placed assistant works your time zone inside your own systems on booking routine eye exams and contact lens fittings against the recall cycle, verifying vision plan and medical benefits separately, since most patients carry both, and coordinating frame and contact lens orders and calling patients when they arrive. Staff are trained on HIPAA and data privacy under a dedicated compliance officer, a Business Associate Agreement is signed before anyone touches protected health information, and HIPAA compliance is verified by Accountable rather than asserted internally. The talent pool includes licensed nurses and physicians. Rates run $10.00 to $12.65 an hour depending on role, background, schedule and location, billed hourly with no weekly minimum, and the first hire comes with a two-week working trial. Honest Taskers reports 99.6% average monthly retention. See the multi-purpose virtual medical assistant service for role detail.

Limitation: staff work remotely and administratively, so clinical assessment, treatment decisions and every clinical conversation in optometry practices stays with your own clinicians, and Honest Taskers describes its security environment as SOC 2 audit ready rather than holding a SOC 2 or ISO 27001 certification of the kind Staffingly and MyOutDesk publish.

2. Ditto Transcripts

Best for: Optometry practices weighing a documentation option alongside placed assistants.

Pricing: $0.10–$0.16/lineCompliance: HIPAA-compliantModel: Documentation serviceCategory: Documentation

Ditto Transcripts is a documentation and transcription specialist, so it targets the charting load rather than the schedule. On its own site: Services: Medical transcription with EHR, LIS and PACS interfaces; People or AI: Category A AI-assisted with human editing; Category B 100% human, US-based; Published pricing: $0.10–$0.16/line.

Limitation: scribing isn't offered, so it covers transcription only

3. Hello Rache

Best for: optometry practices testing a remote hire on the lowest published rate with no commitment.

Pricing: $9.50/hrCompliance: HIPAA-trained and certifiedCommitment: Cancel anytimeBase: US offices in Arizona

Hello Rache is the lowest published rate among the firms listed here. It publishes $9.50 an hour on a cancel-anytime basis with no long-term commitment, which makes it a low-risk way to find out whether a remote hire works here at all. Roles cover virtual medical scribe, receptionist, administrative assistant and optometry assistant, with dental and veterinary lines alongside, and it operates US offices in Arizona.

Limitation: it names no Business Associate Agreement anywhere on its pricing page, which is the gap to close in writing first, and its own placement counters render as placeholder zeros.

4. HelpSquad Health

Best for: optometry practices wanting a full published rate card with the BAA and secure desktop built into it.

Pricing: $8–10/hr digital; $10–13/hr voiceCompliance: BAA and virtual desktop includedCommitment: 20 hrs/wk, 3-month termSetup: $0 upfront

HelpSquad Health publishes the only full rate card in this market. It is the only firm in this pool publishing a full rate card, separating back-office digital work at $8 to $10 an hour from patient-facing voice work at $10 to $13, with shared live chat from $185 to $600 a month. The rate includes a HIPAA BAA and a virtual desktop, and it states individual HIPAA certification for every assistant. It is US-based and US-managed with $0 upfront, implementation and replacement costs.

Limitation: the 20 hours a week minimum on a 3-month rolling term is the least flexible published commitment here, so it suits a settled need rather than a trial.

5. MEDVA

Best for: optometry practices wanting the largest verified practice base and certified scribes.

Pricing: Not publicly listedCompliance: Training validated by Compliancy GroupCommitment: None to beginScale: 1,000+ practices

MEDVA brings the largest verified practice base here. Its scale is the strongest verified claim in the pool: 1,000 or more practices, comprising 400 or more medicine clinics, 200 or more surgical practices, 290 or more dental and orthodontic offices and 75 or more physical therapy and chiropractic clinics. Staff include licensed medical assistants and certified medical scribes, screening is multi-stage with competency assessments, HIPAA and cybersecurity training is validated through third-party partner Compliancy Group, and a replacement is placed at no additional cost.

Limitation: no pricing is published, and its compliance position is third-party validated training rather than a stated Business Associate Agreement, so ask for the BAA explicitly.

6. My Mountain Mover

Best for: optometry practices that want a signed BAA as standard contract terms and breadth across specialties.

Pricing: Not publicly listedCompliance: Signed BAA in every healthcare contractCommitment: Not publicly listedSpeed: Hired in 7–14 days

My Mountain Mover settles the compliance question in the contract rather than in negotiation. It gives the clearest contractual answer here, stating that a signed HIPAA Business Associate Agreement is part of the contract provided to all healthcare clients rather than something you negotiate. Talent is described as pre-trained healthcare staff experienced in major EHR systems such as Epic and athenahealth, and it reports 1000 or more practices served, 1600 or more pre-trained assistants and coverage of 50 or more specialties, with hiring completed in 7 to 14 days.

Limitation: it publishes no pricing at all, and its claim that practices save up to 70% on overhead carries no published methodology.

7. DocVA

Best for: optometry practices whose work runs into clinical or medication questions and want no lock-in.

Pricing: Not publicly listedCompliance: HIPAA training (company-reported)Commitment: Contract, no lock-inStaff: RNs, pharmacists, certified billers

DocVA hires from a different pool than most, which shows on anything clinically adjacent. What's different is who it hires: it states every assistant is an experienced healthcare professional, naming registered nurses, pharmacists, certified billers and experienced medical scribes. Commercially it's unusually clear, stating there's a contract but no lock-in period and you can cancel at any time. Delivery is from the Philippines, assistants are described as HIPAA-certified handling protected health information to in-office standard, and it reports 1,000-plus assistants placed across 150 or more practices.

Limitation: no pricing is published, and while assistants are described as HIPAA-certified there is no Business Associate Agreement wording, which is the document that allocates liability.

Which optometry recall work can a virtual medical assistant run?

Booking routine eye exams and contact lens fittings against the recall cycle, and verifying vision plan and medical benefits separately. The cost gap is large: a medical secretary or administrative assistant earned a median $22.08 an hour, about $45,930 a year, according to the U.S. Bureau of Labor Statistics May 2025 wage data for secretaries and administrative assistants, before benefits, payroll tax and a desk, against published remote rates from $9 an hour. Keep in the building whatever genuinely needs a person there: greeting patients, physical specimens and mail, and anything requiring a wet signature. The practical route is to start with the single task costing you the most rather than defining a whole role upfront, because the job's easier to scope once somebody's doing it. Hourly and cancel-anytime arrangements suit that far better than a quarterly minimum. For the task-level breakdown, see virtual medical assistant duties.

How does an optometry virtual medical assistant tell a vision plan claim from a medical one?

By checking both at booking, because optometry is where two benefit types collide daily, and four contractual points are settled alongside it.

BAA versus HIPAA training. A Business Associate Agreement puts breach liability in writing. "HIPAA-trained" describes a person who sat a course. Five firms in this market state a BAA; the rest state training. Ask which you are getting, in writing.
Vision plan billed as medical, or the reverse. Optometry is the specialty where two separate benefit types collide daily. Agree the verification script that establishes which applies before the visit, because getting it wrong means a rejected claim and an annoyed patient.
Commitment before certainty. Terms run from a Flexi Plan with no minimum hours to a 3-month minimum at 20 hours a week. Match the term to how sure you are.
Access scope. Grant the minimum systems access each task needs and review it quarterly and on every staff change.
Time zone against your day. Ask for the shift pattern rather than the delivery country, which matters most where staff are offshore.

How much does an optometry virtual medical assistant cost?

Three firms publish a rate here. Honest Taskers is $10.00 to $12.65 an hour with no weekly minimum. Hello Rache is $9.50 an hour, cancel anytime. HelpSquad Health is $8 to $10 for back-office work and $10 to $13 for patient-facing, with a BAA and virtual desktop included but a 20 hours a week minimum on a rolling 3-month term. The other four on this list, Ditto Transcripts, MEDVA, My Mountain Mover and DocVA, quote on request. For optometry practices the unit worth computing is cost per exam booked with the correct benefit verified, which you can work out from a two-week sample rather than from a quote. Rates were checked on August 24, 2026 and change often. For rate context, see how much a virtual medical assistant costs in 2026.

Does the optometry virtual medical assistant company know both benefit types?

Ask how it decides which applies, plus a signed BAA, a published rate and an exit you can use.

A signed Business Associate Agreement. Five firms in this market state one. Get the document before access, not after the first shift.
A published rate. An undisclosed rate means you negotiate compliance terms alongside the money.
An exit you can use. Cancel-anytime, no lock-in, month-to-month and a no-minimum Flexi Plan all exist here.
Dual benefit verification. Ask how the assistant establishes whether a visit is vision-plan or medical before it happens.
Named systems experience. Ask which practice management and EHR systems the specific assistant has worked in, and who trains them on yours.

What should an optometry virtual medical assistant fix before the next recall cycle?

The claims going out under the wrong benefit type, because they are countable now and avoidable next cycle.

Measure one month of recall completion rate and claims rejected for wrong benefit type so you have a baseline to judge against.
List the five tasks you would hand over in week one, with the system each requires.
Mark which touch protected health information, which decides whether a BAA is mandatory.
Shortlist on stated BAA, published pricing and exit terms before reading any quality claims.
Review at four weeks against the baseline rather than against an impression, then widen scope.

Methodology and sources

We read each company's own website on August 24, 2026, recording the scope offered, the HIPAA and Business Associate Agreement position in each firm's exact wording, published pricing, commitment terms and the verified facts each publishes. We set aside claims about screening quality and talent percentiles, because every firm makes them and none is checkable from outside; where such figures appear above they are labelled as the company's own claim. Wage context is from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics. Business Associate Agreement obligations are set by the HIPAA Privacy and Security Rules. Where a company published no figure we marked it "not publicly listed" rather than guessing; practice counts, retention rates and savings claims are company-reported and we did not audit them. Portiva, Pearl Talent and Wishup were excluded because their sites refuse automated requests, and Phoenix Virtual Solutions was excluded because its domain now returns an expiration notice.

The fastest way to narrow this market is to decide which tasks touch patient data, because that single question removes several firms. Our explainer on what a virtual medical assistant is covers the scope a remote hire can own for optometry practices, and where the compliance obligation begins.
