Are virtual medical assistants HIPAA compliant?

Yes, a virtual medical assistant can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The practice still controls which systems and patient data the assistant can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a virtual medical assistant work in my therapy EHR?

Yes, virtual medical assistants routinely work inside a practice's existing EHR, though experience with any specific system varies by candidate. Many bring prior time in therapy platforms such as WebPT, Prompt, Raintree, and Net Health. Access is granted and controlled by your practice, so confirm your stack during the interview.

What hand therapy tasks does a virtual medical assistant handle?

A virtual medical assistant schedules recurring therapy sessions, tracks insurance authorizations and visit caps, runs new-patient intake, supports plan-of-care documentation, coordinates referrals, and recalls patients who miss visits. Many also manage the patient portal. Therapy evaluation and treatment stay with your licensed hand therapist, and the assistant coordinates only.

Can a virtual assistant reduce missed therapy visits?

Yes, a virtual assistant reduces missed visits by confirming appointments, sending reminders, and recalling patients who fall off a recurring plan of care. Consistent daily follow-up is the main lever, which is easier with a dedicated assistant than with overflow handled by therapy staff. See how to reduce patient no-shows for the approach.

How does Honest Taskers staff virtual assistants for hand therapy?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and assistants handle scheduling, authorization tracking, intake, and recall while routing clinical questions to your therapists. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Learn how a healthcare-focused virtual professional can support your practice.

How fast can you hire a virtual medical assistant?

Most companies place a virtual medical assistant within a few days to two weeks, and some advertise faster. CareVMA Health reports a 48-hour match (company-reported, checked August 2026). Timelines depend on the role, the screening depth, and your interview process.

Honest Taskers, Hello Rache, and MedVA lead this year's shortlist of virtual medical assistant companies for hand therapy, thirteen healthcare-focused staffing firms ranked on how they carry a hand therapy clinic's administrative load, and from scheduling recurring therapy sessions and tracking insurance authorizations and visit caps to new-patient intake, all in your time zone and under a signed BAA. The companies here staff your clinic with remote people, not scheduling software or AI phone bots. Below we set out which work gets covered all day, what a denied visit costs, how these companies price, whether a provider has done therapy authorizations in your system, and which authorization to take on first.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best virtual medical assistant companies for hand therapy

We ranked these companies on five facts, each checked at the provider's own website on August 12, 2026. Those facts are healthcare specialization, talent location, published hourly pricing, the hand therapy tasks they say they cover, and HIPAA posture. Hand therapy admin means scheduling recurring therapy sessions and plans of care, insurance authorization and visit-cap tracking, new-patient intake, plan-of-care documentation support, referral coordination, recall for missed visits, and patient portal work, so we weighted firms that name those tasks. Therapy evaluation, treatment, and any clinical judgment stay with the licensed hand therapist, and the assistant schedules and coordinates only. Blank facts read "not publicly listed" instead of a guess.

Best virtual medical assistant companies for hand therapy compared

The table ranks all 13 on the same columns, Honest Taskers first because we publish the list. Rates were checked August 12, 2026 and change often, so treat them as a starting point, not a quote.

Virtual medical assistant companies for hand therapy compared on the criteria stated below, read at each provider's own site.
Company	Healthcare focus	Talent location	Published hourly rate	Hand therapy support (as stated)	HIPAA posture (as stated)
Honest Taskers	Yes	US clients; recruiting in the Philippines, Latin America, India and Pakistan	$10.00–$12.65/hr	Session scheduling, authorization and visit-cap tracking, intake, plan-of-care documentation support, recall	HIPAA-trained; compliance verified by Accountable; BAA when PHI; SOC 2 audit-ready
Hello Rache	Yes	Philippines	$9.50/hr flat	Scheduling, patient calls, intake support	HIPAA-trained
MedVA	Yes	Philippines	Not publicly listed	Scheduling, authorization support, patient communication	HIPAA-trained; SOC 2-monitored systems
HelpSquad Health	Yes (plus general)	Philippines and India; US-managed	$8–$13/hr by role	Scheduling, intake, prior authorization follow-up	Company-level BAA; HIPAA virtual desktop
Portiva	Yes	Philippines	$10/hr	Scheduling, insurance verification, front-desk support	HIPAA-trained
Pearl Talent	Yes (plus general)	Latin America and Philippines	$9.95/hr, or from $3,000/mo	Patient intake and coordination	Compliance managed

CareVMA Health	Yes	Not publicly listed	From $9/hr	Scheduling and front-desk support	HIPAA-trained (company-reported)
Wishup	General, with a healthcare option	India-primary; US option	$1,299–$1,999/mo	Scheduling and general admin	HIPAA and PHI-trained
Neolytix	Yes	Not publicly listed (headquarters Chicago)	Not publicly listed	Virtual assistants alongside billing and authorization work (as stated)	ISO 27001 certified; HIPAA compliance stated
Virtual Nurse Rx	Yes (RN-staffed)	US-served	~$12–$15/hr	RN-staffed patient calls and coordination	HIPAA-trained
VMeDx	Yes	Philippines	$10/hr	Scheduling and records coordination (as stated)	HIPAA-trained
Global Medical Virtual Assistants	Yes	Philippines	Not publicly listed (flat weekly rate)	Full-time scheduling and admin support (as stated)	Company-reported HIPAA training program; BAAs referenced

A pattern shows up fast. Most staff therapy admin from the Philippines at $9 to $13 an hour, a few add Latin America for daytime US overlap on authorization calls, and only a handful put a signed BAA on the record for the staff who touch patient records and visit histories.

Hello Rache staffs dedicated healthcare virtual assistants from the Philippines, many of them licensed nurses, for administrative work like patient calls, appointment scheduling, and intake support. Pricing is a flat $9.50 an hour with no contracts and cancel-anytime terms, and assistants complete HIPAA training and stay paired with the same practice rather than rotating, which helps continuity on recurring therapy schedules.

Limitation: the Business Associate Agreement isn't described publicly, so confirm it in writing.

Pricing: $10/hrLocation: PhilippinesModel: Managed/offshoreTrial: 7-day (company-reported)

Portiva places HIPAA-trained remote staff from the Philippines for scheduling, insurance verification, and front-desk support at $10 an hour, work that maps well to a hand therapy clinic's authorization and rebooking load. It's one of the few here to advertise a short trial, a company-reported 7 days with no long-term contract, and its assistants are background-checked with HIPAA training certificates.

Limitation: offshore-only staffing from a single country.

6. Pearl Talent

8. CareVMA Health

Best for: practices that want a fast admin match at a low entry rate.

CareVMA Health provides fully managed virtual assistants from $9 an hour for scheduling and front-desk support, and advertises a match in about 48 hours. Its assistants are described as trained on common EHR platforms, which the company says shortens ramp time on a therapy schedule.

Limitation: talent location isn't stated publicly.

Pricing: $1,299–$1,999/moLocation: India-primary; US optionModel: ManagedTrial: Not publicly listed

Pricing: Not publicly listedLocation: Chicago headquartersModel: Outsourced functionTrial: Not publicly listed

Neolytix states RCM, billing, coding audit, credentialing, provider enrollment and virtual assistants as one service line, with explicit small-practice and mid-market tiers across 31 specialties and 40 states. Hand therapy runs on visit authorizations, so buying the authorization work and the scheduling together is a defensible shape.

Limitation: no published pricing, so comparing on cost takes a quote

11. Virtual Nurse Rx

Best for: hand therapy practices that want registered nurses fielding patient calls between sessions.

Pricing: ~$12–$15/hrLocation: US-servedModel: Managed staffingTrial: Not publicly listed

Virtual Nurse Rx staffs assistants who are registered nurses, which helps when a patient calls about swelling or a splint before the next session and the question needs to reach a therapist quickly. Assistants complete HIPAA training and work directly in the practice's systems in real time, and they don't answer clinical questions themselves, they route them to your licensed hand therapist.

Limitation: the highest hourly rate here, at roughly $12 to $15.

12. VMeDx

Best for: therapy practices that want a flat $10 hourly rate from a healthcare-only firm.

Pricing: $10/hrLocation: PhilippinesModel: Managed/offshoreTrial: Not publicly listed

VMeDx places HIPAA-trained medical virtual assistants from the Philippines at a flat $10 an hour, so a full-time admin seat costs the same every week and you don't have to re-run the math each month. It's a healthcare-only firm, and its assistants handle front-office coordination such as scheduling and records (as stated), which maps onto a hand therapy clinic's recurring session calendar and recall list.

Limitation: offshore-only staffing from a single country.

13. Global Medical Virtual Assistants

Best for: hand therapy clinics that want a dedicated healthcare assistant and can fill a full 40-hour week.

Pricing: Not publicly listedLocation: PhilippinesModel: Full-time dedicatedTrial: Not publicly listed

Global Medical Virtual Assistants is a healthcare-only firm staffing from the Philippines, and it places each specialist on a flat weekly rate that isn't published, so the figure comes from a quote. Every professional goes through a company-reported HIPAA training program, and the company's compliance materials reference Business Associate Agreements, which is worth confirming in writing before anyone opens a plan of care.

Limitation: full-time only at 40 hours a week, with no part-time option.

Which hand therapy work can a virtual medical assistant cover all day?

Scheduling, authorizations and intake, which is most of a hand therapy front office and none of the therapy itself. An in-house administrative assistant earned about $45,690 a year, roughly $21.97 an hour before benefits, according to the U.S. Bureau of Labor Statistics May 2025 wage data for medical assistants, while the offshore-focused firms here run $9 to $15 an hour. A medical answering service only takes messages after hours and doesn't work in your therapy EHR, and an AI phone bot can't chase a workers' comp authorization or explain a visit cap to a patient. Don't hire a virtual assistant company if you only need overnight message-taking, since a dedicated answering service is cheaper for that narrow job. The reason clinics delegate this work is the same reason they delegate charting, since the American Medical Association's work on administrative burden ties excessive front-office and EHR tasks to clinician burnout, and moving authorization tracking and scheduling off your therapy team hands time back. For a fuller comparison, see how administrative burden builds up in a practice.

What does a denied hand therapy visit cost when a virtual medical assistant missed the authorization?

The visit and the plan behind it, which is why denied visits sit alongside PHI exposure, turnover and scope creep as the four to settle.

PHI in records and calls. Ask for the signed BAA and the device and network controls, since an assistant handling intake and plans of care sees protected health information all day.
Denied visits and lapsed authorizations. Ask how the company tracks visit caps and authorization expirations, because a missed re-authorization means unpaid sessions.
Turnover and continuity. Ask about retention, since a new assistant every few months resets rapport with recurring therapy patients and your training.
EHR fit. Ask which candidates have used your therapy platform, such as WebPT, Prompt, Raintree, or Net Health.
Clinical scope. Ask how the company keeps the assistant in an administrative lane, since therapy evaluation and treatment must stay with your licensed hand therapist.

How do virtual medical assistant companies price their services?

Virtual medical assistant companies price their services three main ways, by a flat hourly rate, a managed monthly plan, or a custom quote. Hourly staffing on this list runs from Hello Rache at $9.50 and CareVMA from $9, up to Virtual Nurse Rx at roughly $12 to $15 for registered nurses, with managed monthly plans like Wishup's landing near $1,300 to $2,000 for full-time hours (rates checked August 2026). Honest Taskers sits mid-range, beginning around $10 per hour and reaching about $12.65 depending on role, background, schedule, and location. Compared with an in-house administrative salary near $45,690 a year plus benefits, a remote assistant is the lower-overhead option, and price tracks talent location, hours of coverage, and the level of managed oversight. For the full breakdown, see how much a virtual medical assistant costs in 2026.

Has the hand therapy virtual medical assistant company done therapy authorizations in your system?

Ask which systems by name, then weigh healthcare specialization, HIPAA posture and pricing you can budget against.

Therapy admin experience. A firm that names session scheduling, authorization and visit-cap tracking, intake, and recall ramps faster than a general agency. See the full virtual medical assistant duties to scope the role.
Authorization workflow. Confirm the assistant can chase prior authorizations and re-authorizations before visit caps run out. Our guide to how a virtual assistant handles prior authorization shows the workflow.
HIPAA posture in writing. Look for HIPAA training plus a signed Business Associate Agreement when the assistant handles patient records, and ask each company to put its safeguards in writing.
Your therapy EHR. Confirm experience with your practice management and documentation platform, such as WebPT, Prompt, Raintree, or Net Health.
Clinical scope in the contract. The assistant schedules and coordinates only, so the plan of care and every treatment decision stay with your certified hand therapist.

Which hand therapy authorization should a virtual medical assistant take on first?

The one closest to running out, because a lapsed authorization stops a course of therapy mid-way.

List the tasks to delegate first, such as session scheduling, authorization tracking, intake, and recall for missed visits.
Shortlist firms whose therapy admin experience, talent location, and HIPAA posture fit your practice.
Interview one or two candidates and confirm therapy EHR and authorization experience.
Sign a Business Associate Agreement before anyone touches patient data.
Run a trial, then onboard with clear scheduling rules, authorization checklists, and escalation paths to your therapists.

Methodology and sources

We verified each company at its own website on August 12, 2026, recording healthcare focus, talent location, published pricing, stated hand therapy support, and HIPAA posture. Wage context is from the U.S. Bureau of Labor Statistics May 2025 Occupational Employment and Wage Statistics. Hourly rates are volatile and were captured as dated points, not permanent quotes, so re-check before you buy. Where a company didn't publish a fact, we marked it "not publicly listed"; self-stated claims are labeled company-reported.

If you're still mapping the role to your clinic, start with the basics. Our guide to what a virtual medical assistant does covers the day-to-day administrative work a remote hire owns, from scheduling and intake to authorization follow-up, so you can decide which tasks to hand off first.

Want the full picture of the role first? Our virtual medical assistant guide walks through the scheduling, documentation, and practice management work a virtual assistant does daily, which helps you confirm a candidate can step into your WebPT, Prompt, or Raintree setup without a long ramp.
