Are virtual medical assistants for oral surgery practices HIPAA compliant?

Yes, a virtual medical assistant can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards behind that are documented HIPAA and data privacy training, signed confidentiality agreements, remote-work security screening and controlled system permissions. Oral surgery raises the stakes because clearance letters and medical histories move through the office alongside dental records. More detail sits in our piece on whether a virtual assistant can be HIPAA compliant.

Can a virtual assistant work in my practice management system?

Yes, virtual assistants for oral surgery practices routinely work inside a practice's existing practice management system, though experience with any specific system varies by candidate. Systems that come up most are Dentrix, Open Dental, Eaglesoft, Curve Dental, CareStack and Weave, and Edge is the only company on this list that publishes which ones its talent trains on. Your practice grants and controls the access, so confirm your stack during the interview.

Can a virtual assistant handle post-operative patient questions?

No, a virtual assistant can't answer a clinical post-operative question, and the post-operative calls a remote assistant makes are administrative check-ins on a script. Anything about bleeding, pain, swelling, medication or the surgical site routes immediately to your surgical team. Radiographs, clinical charting and any clinical judgment stay with the licensed people in the operatory. The remote job is confirming the patient was reached, logging the answers and escalating fast.

Why does oral surgery billing cost more than general dental billing?

Oral surgery billing costs more because a surgical case can bill to medical coverage as well as dental, which doubles the verification, pre-authorization and appeals work behind one claim. DCS is the one company here that puts a number on the difference, charging $1,875 a month up to $40,000 in collections for oral surgery against $1,400 for general dental, with higher percentage bands above that. Extractions, implants, pathology and trauma all sit in that crossover.

What does a virtual assistant for an oral surgery practice do?

A virtual assistant for an oral surgery practice takes referral intake, chases records and imaging from the referring office, requests pre-operative medical clearance, verifies dental and medical benefits, files pre-authorizations, books consults and surgical days around the anesthesia schedule, and works the post-operative call list. Many also handle payment posting, claim follow-up, appeals and the report back to the referring dentist. The load is referral-driven rather than recall-driven, since almost every patient arrives from a general dentist or physician and expects to be seen fast.

How does Honest Taskers staff virtual assistants for oral surgery practices?

Honest Taskers screens candidates on healthcare experience, communication, education, technical ability, schedule and its five core values, then trains them on HIPAA and data privacy before placement. Its dental role line covers dental receptionist, dental biller, dental coder, treatment coordinator, insurance verification specialist and patient recall specialist, and clients can ask for candidates with surgical-office and medical-claim experience. The company signs a Business Associate Agreement when the professional will access PHI, schedules staff in the client's time zone, and assigns a Customer Success Advocate to every account. Learn how a healthcare-focused virtual professional can support your practice.

Honest Taskers, DCS, and Edge lead this year's shortlist of virtual medical assistant companies for oral surgery, eleven healthcare-focused staffing firms ranked on how they carry the referral-driven side of a surgical practice, and chasing records and imaging out of the referring dentist's office before the consult, all in your time zone and under a signed BAA. The companies here staff your front office with remote people, not AI phone bots, and none of them answers a clinical question.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best virtual medical assistant companies for oral surgery

We ranked these companies on five facts checked on each provider's website on August 12, 2026. Those facts are dental specialization, talent location, published pricing, the oral surgery work they say they cover, and HIPAA posture. Oral surgery support means referral intake, records and imaging before the consult, pre-operative medical clearance requests, dental and medical benefit verification with two sets of pre-authorization rules, anesthesia scheduling, post-operative check-in calls and the report to the referring dentist, so we weighted firms naming that work. DCS alone publishes an oral surgery specific fact, so every other claim is marked "(as stated)" or flagged to confirm in the interview. Blank facts read "not publicly listed" rather than a guess, and we never treat HIPAA wording as a certification, since none exists.

Best virtual medical assistant companies for oral surgery compared

The table ranks all 11 on the same columns, Honest Taskers first because we publish the list. Rates were checked August 12, 2026, so treat them as a starting point.

Outsource Strategies International	Dental and medical outsourcing	Not publicly listed	Not publicly listed; full-time equivalent, fixed cost or per transaction	Dental billing, insurance verification, AR management	HIPAA and SOC 2 (company-reported); no BAA described publicly
Reach	Yes, dental only	Latin America	$11/hr, from a $1,995 monthly fee at 174 working hours	Inbound and outbound calls, insurance verification, revenue cycle, admin support	Says a virtual assistant isn't HIPAA compliant on its own; no BAA described publicly
DentVia	Yes, dental only	Not publicly listed	$11.00/hr English; $14.00/hr bilingual English and Spanish	Scheduling, call handling, verification, billing and claims, recall	HIPAA compliance (company-reported); no BAA described publicly
Next Level Consultants	Yes, remote dental billing	United States, Tacoma, Washington	Not publicly listed	Claim submission and follow-up, appeals, eligibility, payment posting	HIPAA compliance (company-reported); no BAA described publicly

Two patterns jump out. Most of this list is billing and revenue cycle rather than a full remote front office, and only three companies put a BAA on the record publicly, which matters more in oral surgery because a clearance request pulls a patient's medical history into your office.

1. Honest Taskers

Best for: surgical practices wanting one trained remote person on referral intake, dual verification and post-operative calls, not just claims.

Pricing: $10.00–$12.65/hrLocation: US clients; PH, LatAm, India and Pakistan recruitingModel: Managed staffingFirst hire: Two-week working trial

Honest Taskers is a healthcare-focused virtual staffing company whose virtual dental assistant line spans reception, billing, coding, treatment coordination, insurance verification and recall. One person can own referral intake, dual verification, pre-authorizations, consult booking around the anesthesia schedule and post-operative calls. Candidates train on HIPAA and data privacy quarterly and sign a Business Associate Agreement when they'll access PHI, with compliance verified by Accountable.

Limitation: not the lowest hourly rate on this list.

2. DCS

Best for: practices wanting billing priced for surgical claims, not folded into a general dental rate.

Pricing: Oral surgery billing $1,875/mo up to $40K, then 5.25%, 4.5%, 3.75%Location: Not publicly listedModel: Outsourced billing and verificationTrial: Not publicly listed

DCS, formerly Dental Claim Support, is the only company here pricing oral surgery separately, at $1,875 a month up to $40,000 in collections, then 5.25%, 4.5% and 3.75% through the higher bands, against $1,400 a month with bands of 3.5%, 3% and 2.5% for general dental. It ranks second on that gap, since charging more for surgical claims says they're more work than a filling.

Limitation: no HIPAA posture and no talent location are published.

3. Edge

Best for: practices wanting a signed BAA before day one and staff trained on their software.

Pricing: Flat monthly fee, figure not publishedLocation: Not publicly listedModel: Dedicated placementTrial: No trial published; free replacement

Edge, marketed as Edge for Dental, is the only company here naming its software training list, covering Dentrix, Eaglesoft, Open Dental, Curve Dental, Weave, RevenueWell, DentalXChange and Dental Intel, with talent trained on the main three before starting. Its roles are dental scheduling coordinator, dental insurance coordinator and dental billing coordinator, none described as oral surgery specific, so confirm surgical experience in the interview.

Limitation: neither the talent location nor the monthly fee is published.

4. eAssist Dental Solutions

Best for: surgical practices whose bottleneck is claims and appeals, staffed onshore.

Pricing: Not publicly listedLocation: United StatesModel: Outsourced billing and revenue cycleTrial: Not publicly listed

eAssist Dental Solutions is dental billing and revenue cycle only, run through more than 1,600 US-based specialists with offices in Utah, California, Texas and Virginia. It handles insurance billing, patient billing, insurance verification, coding, accounting and reconciliation, credentialing and appeals, and appeals are where surgical claims tend to die.

Limitation: billing and revenue cycle only, so it won't cover front-desk phones, scheduling or treatment coordination.

5. SupportDDS

Best for: practices that want a dedicated full-time person at a published flat rate with fast onboarding.

Pricing: $13/hr; RCM Core $2,680/mo; RCM Advantage $2,980/moLocation: Zimbabwe, Zambia, Costa Rica; Texas HQModel: Dedicated staffing plus RCM plansTrial: Not publicly listed

SupportDDS staffs dental practices and DSOs offshore, with a Texas headquarters holding the client relationship, on no long-term contract with cancel-anytime terms. Onboarding takes five days or less (company-reported), though the scope it publishes is general dental rather than surgical, so test that in the interview.

Limitation: no BAA is described publicly, so get one in writing before any patient data moves.

6. Swiss Monkey

Best for: single-surgeon practices needing part-week coverage from a US-based professional rather than a full-time hire.

Pricing: Hourly not published, plus a 13.5%–17.5% platform feeLocation: US-based professionals, plus global talentModel: Marketplace of pre-vetted professionalsTrial: Not publicly listed

Swiss Monkey sells fractional coverage from 5 to 20-plus hours a week with no long-term contract, mostly from US-based professionals. Its published scope is dental front office rather than oral surgery, so ask who has run a consult-to-surgery calendar.

Limitation: the hourly rate isn't published, and a 13.5% to 17.5% platform fee sits on top.

7. Capline Dental Services

Best for: practices that need credentialing sorted alongside billing and verification.

Pricing: Not publicly listedLocation: Not publicly listedModel: Outsourced revenue cycleTrial: Advertised, terms not published

Capline Dental Services covers dental billing and collections, dental credentialing and dental insurance verification, useful for a surgical group adding associates who need credentialing with dental and medical payers, though none is described as oral surgery work, so confirm that in the interview. Ask what the advertised trial includes and costs.

Limitation: neither pricing nor talent location is published, and the advertised trial has no stated terms.

8. Outsource Strategies International

Best for: practices that want verification or AR work by transaction instead of hiring a person.

Pricing: Not publicly listedLocation: Not publicly listedModel: Outsourcing vendor, three pricing modelsTrial: Free consultation, terms not published

Outsource Strategies International handles both dental and medical outsourcing, with published lines for dental billing, dental insurance verification and dental AR management. That dual footing matters, since a case billed to a medical plan and one billed to a dental plan are two different jobs, so ask how one team handles each.

Limitation: it's an outsourcing vendor rather than a dedicated hire, and no rate is published.

9. Reach

Best for: practices that need Spanish-language phone coverage on a US clock at a published hourly rate.

Pricing: $11/hr, from $1,995/mo at 174 hoursLocation: Latin AmericaModel: Dedicated staffing with AI toolingTrial: Not publicly listed

Reach staffs from Latin America for US time-zone overlap and Spanish-language need, which matters when a patient in pain calls after surgery. The named work covers inbound and outbound calls, revenue cycle management, insurance verification and administrative support, all general dental as stated.

Limitation: it says itself a virtual assistant isn't HIPAA compliant on its own, and no BAA is described.

10. DentVia

Best for: practices that want a published bilingual rate on month-to-month terms.

Pricing: $11.00/hr English; $14.00/hr bilingualLocation: Not publicly listedModel: Dedicated dental assistantTrial: Not publicly listed

DentVia publishes two clean numbers, one for an English-speaking assistant and one for bilingual English and Spanish, month to month with no long-term commitment. The tasks it names are appointment scheduling, call handling, insurance verification, billing and claims, lead follow-up, revenue cycle management and hygiene reminders, general dentistry framing rather than surgical, so ask whether anyone has run a consult-to-surgery calendar or a clearance request.

Limitation: the talent location isn't published and no BAA is described, so both need confirming.

11. Next Level Consultants

Best for: practices that want a small US billing team that also trains the in-house staff who stay.

Pricing: Not publicly listedLocation: United States, Tacoma, WashingtonModel: Remote dental billingTrial: Not publicly listed

Next Level Consultants covers claim submission, claims follow-up, claims appeals, insurance eligibility verification and payment posting. It also trains practice staff on billing, worth something where the front desk has to understand why a claim went to a medical plan.

Limitation: remote dental billing only, and no rate is published.

Do you need a virtual assistant company, an in-house surgical coordinator, or a dental billing service?

Hire a virtual assistant company when the work is administrative and continuous, like referral intake, dual verification, pre-authorization follow-up and post-operative calls. An in-house surgical coordinator still wins when the job is in-person, walking a nervous patient through consent and payment. A billing service like eAssist, DCS or Next Level Consultants fits when claims and appeals are the only bottleneck, not when your phones ring out. The American Dental Association's Health Policy Institute reports 91% of dentists recruiting dental hygienists called it "very or extremely challenging" and only 60% have enough on staff, with staffing tied with dental insurance issues their top 2026 concern. A remote assistant can't fill a clinical chair, but it takes phone and payer work off licensed staff. Our dental staffing shortage guide covers the split.

What are the risks of hiring a virtual medical assistant for an oral surgery practice?

These risks bite harder in surgery.

Undocumented HIPAA posture. DCS publishes no HIPAA posture and no talent location, so get both plus a BAA in writing.
No BAA on record. Only Edge, Swiss Monkey and Honest Taskers describe one, and Reach says a virtual assistant isn't HIPAA compliant alone.
Clinical questions on a remote line. Post-operative calls are administrative check-ins on a script, so pain, bleeding, swelling and medication go to the surgical team.
Two payer worlds as one. Extractions, implants, pathology and trauma bill medically as well as dentally, so verification, pre-authorization and appeals double.
Billing bought instead of a front office. Six of the eleven here are billing or revenue cycle firms, which won't fix slipping consults.
Referring-office continuity. Ask how one person stays on your account, since new voices erode referrals.

How do these companies price oral surgery support?

These companies price four ways, hourly, a retainer plus a percentage of collections, per transaction, or by quote. The clearest signal is DCS, at $1,875 a month for oral surgery billing against $1,400 for general dental, plus higher bands. On staffing, DentVia is $11.00 an hour for English and $14.00 for bilingual, Reach about $11 an hour from a $1,995 monthly fee across 174 hours, SupportDDS $13 an hour or $2,680 to $2,980 a month for RCM plans, and Honest Taskers $10.00 to $12.65 an hour. Swiss Monkey adds a 13.5% to 17.5% fee on an unpublished rate, while Edge, eAssist, Capline, Outsource Strategies International and Next Level Consultants publish none. Rates were captured on August 12, 2026, so re-check, and read how virtual assistants help with dental billing when choosing between a biller and a front-office hire.

What should an oral surgery practice look for in a virtual medical assistant company?

What matters is dual-payer capability, HIPAA in writing, referral coverage and a dated price.

Dual payer work. Ask how one case gets verified and pre-authorized on both plans, since Outsource Strategies International alone runs both.
Coding depth. The American Dental Association publishes the CDT Code, which it says assures consistency in documenting dental treatment, now CDT 2027.
Referral pipeline, not just claims. Look for named intake, records requests, clearance follow-up and the report to the referring dentist.
HIPAA safeguards in writing. Documented training plus a signed BAA, since "HIPAA compliance" on a marketing page is a claim, not a credential.
Practice management software. Edge alone publishes a training list, so ask the rest about your system.
A dated, published price. A rate with a date beats a promise.

How do you start with a virtual medical assistant for an oral surgery practice?

Start by listing the surgical admin tasks you want off your team's hands.

List the tasks to delegate, such as referral intake, records requests, dental and medical benefit verification, pre-authorization follow-up and post-operative calls.
Decide whether you're buying a person or a service, since a billing vendor only covers claims.
Shortlist firms whose dental depth, talent location, published price and HIPAA posture fit, and ask what each has done in surgery.
Interview candidates, listen to how they'd handle a patient calling in pain, and confirm experience with your software.
Sign a Business Associate Agreement and set system permissions before anyone touches a chart.
Write the post-operative call script and the escalation rule, run a trial, then review referral turnaround and claim aging.

Methodology and sources

We verified each company at its own website on August 12, 2026, recording dental focus, talent location, published pricing, stated oral surgery support and HIPAA posture. Staffing context comes from the American Dental Association's Health Policy Institute, and dental coding context from the ADA's CDT Code page. Where a company didn't publish a fact we wrote "not publicly listed", self-stated claims are labeled company-reported, and no marketing savings claim is repeated. Prices were captured as dated points rather than quotes, so re-check before you buy.

Our guide to how dental practices use virtual assistants walks through the phone, verification, billing and recall work practices hand over first, a useful check before you scope a surgical role.

Our breakdown of what a virtual dental assistant does covers the duties, the skills to test for and the line between administrative support and anything clinical, so you can write a job scope your surgeon signs off on.
