Q: What is the highest-value task to delegate in a referral practice?

Records chasing before the consult. A specialist appointment with an incomplete history either runs over, gets repeated, or produces a decision made on partial information, and all three are expensive. Report turnaround to the referring vet comes second, because it protects the referral pipeline.

Are virtual assistants for specialty veterinary hospitals HIPAA compliant?

No, HIPAA doesn't apply to veterinary practices, because animal records aren't protected health information. Your state's veterinary recordkeeping rules on retention and release get exercised constantly in referral work, so those plus a signed confidentiality agreement and controlled record access are what govern it.

Can a virtual assistant work in my practice-management system?

Yes, virtual assistants routinely work inside a hospital's existing practice-management system, though experience with any specific platform varies by candidate. In referral work also test written English, because a report going to another veterinarian reads as a reflection of your hospital.

Can a virtual assistant do credentialed technician work?

No, technician tasks, anesthesia monitoring, and clinical decisions all stay in the building with credentialed staff. A remote assistant handles the paperwork around the case. Where the gap is out-of-hours clinical judgement, a teletriage service staffed by credentialed technicians is the right answer instead.

Can a remote assistant handle referral correspondence?

Yes, provided the written English is strong enough, which needs testing rather than assuming. Have a candidate draft a referral letter from notes you supply before hiring. Persistence matters too, since a lot of records work is ringing another practice's front desk twice.

How much does support cost a specialty veterinary hospital?

Published rates run from $9.50 an hour up to $12.65, and Staffingly's weekly pricing drops from $399 to $349 at five assistants and $299 at ten, which is the cheapest route to multiple seats. Specialty work usually divides into referral coordination, records, billing, and client follow-up.

Honest Taskers, Chronos Vet, and Hello Rache lead this year's shortlist of virtual medical assistant companies for specialty veterinary hospitals, seven firms ranked on how they manage referral traffic, chase records before a consult, keep long case files coherent, and get reports back to the primary vet while the case is still current, under a signed confidentiality agreement. Every company here staffs people, because referral work is correspondence and judgement rather than script-following.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best companies for specialty veterinary hospitals

A referral hospital's administrative problem is different in kind, not just in size. Almost every case arrives with paperwork attached and leaves with paperwork owed. Records have to be requested from the primary vet before the consult is useful, imaging and lab results arrive from several sources, the case file runs long, and the referring practice needs a report while the case still matters to them. Get that wrong and referrals quietly stop coming. So we compared five things across every firm, which are veterinary focus, talent location, published pricing, the referral and records work each company says it covers, and how each one handles client data, and we weighted written correspondence quality heavily.

Two capabilities separate firms for this setting. The first is written English strong enough for professional correspondence, because a referral report goes to another veterinarian and reads as a reflection of your hospital. The second is the discipline to chase, since a specialist consult booked without the prior bloodwork wastes an expensive appointment slot. Neither shows up in a rate card, so both need testing in the interview.

HIPAA doesn't apply to veterinary practices, since animal records aren't protected health information and hospitals aren't covered entities. What matters is a signed confidentiality agreement, controlled practice-management access, and your state's veterinary recordkeeping rules on retention and release, which get exercised constantly in referral work. Some firms below advertise HIPAA anyway as a human-healthcare carryover. The American Veterinary Medical Association is the reference on records ownership and release between practices, and the U.S. Bureau of Labor Statistics profile gives a local-hire reference point. The figure to hold against these quotes is the May 2025 Occupational Employment and Wage Statistics release, which puts veterinary assistants and laboratory animal caretakers at $18.34 an hour, about $38,150 a year.

1. Honest Taskers

Best for: hospitals that want referral correspondence and records chasing owned by one person who works your hours.

Pricing: $10.00–$12.65/hrLocation: US clients; PH, LatAm, India and Pakistan recruitingModel: Managed staffingFirst hire: Two-week working trial

Honest Taskers places healthcare-trained remote staff with US practices and staffs veterinary clinics alongside its medical and dental clients. For a referral hospital the work sits mostly around the consult rather than in it, which is requesting histories and diagnostics from the primary vet before the appointment, assembling the case file, routing imaging and lab results as they arrive, getting the report back out to the referring practice, and handling the client follow-up and invoice questions afterwards, inside Cornerstone, AVImark, or ezyVet. Assistants work your hours, which is what allows them to telephone a referring practice that hasn't sent records. They train under a dedicated compliance officer with confidentiality terms in the client agreement, rates run $10.00 to $12.65 an hour, the first hire includes a two-week working trial, and the company reports 99.6% average monthly retention, which counts when the role involves ongoing relationships with referring vets. Our guide to how virtual assistants support veterinary practices maps the tasks worth delegating first.

Limitation: the dedicated veterinary page is still in development, so confirm referral-workflow specifics in the interview.

2. Chronos Vet

Best for: hospitals that want US-based staff who already understand a referral caseload.

Pricing: Not publicly listedLocation: United StatesModel: Overflow hourly or dedicated monthlyTrial: Not publicly listed

Chronos Vet was created by veterinarians and names specialty centers directly among the settings it supports, alongside general clinics and emergency hospitals, working with practices across 34 states. Its staff are US-based with years of veterinary-specific experience, which matters more in referral work than anywhere else, because the correspondence goes to other veterinarians and the vocabulary has to be right. Both an hourly overflow package and a dedicated monthly seat are available, so a hospital can start with cover for the busiest service line before committing across the whole building.

Limitation: no figures are published for either package, and no data-handling posture is stated.

3. Hello Rache

Best for: hospitals that want records and insurance documentation handled by veterinary-background staff at a flat rate.

Pricing: $9.50/hr flatLocation: PhilippinesModel: Dedicated assistantTrial: Not publicly listed

Hello Rache names medical records management and pet insurance coordination among the tasks its Veterinary Healthcare Virtual Assistant program covers, and both are heavy work in a specialty hospital where claims are larger and documentation requests routine. The program is overseen by an in-house Doctor of Veterinary Medicine and assistants come with veterinary-field backgrounds plus training in veterinary terminology, documentation, and clinical workflows, which is what lets someone recognize which results a specialist needs in front of them. Terms are simple, at a flat $9.50 an hour with no contracts, no setup fees, and cancellation any time.

Limitation: it leans on HIPAA training in its materials, which doesn't apply to animal records, so ask what confidentiality terms cover.

4. MedStar BTR

Best for: hospitals that want administration and billing hired as separate, formally trained roles.

Pricing: Not publicly listedLocation: PhilippinesModel: Trained placementTrial: Not publicly listed

MedStar BTR splits its veterinary offering into named roles, which suits a specialty hospital better than a general clinic because the volumes justify dedicated seats. Administration and billing can be staffed separately rather than one person switching between referral paperwork and chasing a large unpaid estimate. Its staff are Filipino graduates of allied and non-allied healthcare programs trained toward US administrative standards, with certifications including medical office administration and billing and coding, and privacy training is required before placement.

Limitation: no rate is published, so pricing takes a quote.

5. Teem

Best for: hospitals that want human documentation on complex cases and bilingual client contact.

Pricing: $11.50/hrLocation: Latin AmericaModel: Full-time placementTrial: Not publicly listed

Teem staffs veterinary hospitals from Latin America at a published $11.50 an hour, from a $1,995 monthly fee at 174 working hours, and argues directly that AI scribes miss context while human scribes understand nuance. That argument lands hardest in specialty medicine, where a case record spans multiple visits, several diagnostics, and a treatment plan that changes, and where a note that loses the thread is worse than no note. Bilingual capability also helps in the longer client conversations a referral case involves, and Teem absorbs the legal, compliance, and payroll administration for the assistant.

Limitation: the highest published hourly rate on this list.

6. GuardianVets

Best for: hospitals that want credentialed technicians handling out-of-hours calls from referring vets and owners.

Pricing: Not publicly listedLocation: Not publicly listedModel: After-hours answering and teletriageTrial: Live in as little as 7 days

GuardianVets is a different purchase from the staffing firms around it, and worth understanding as such. Calls are answered by Credentialed Veterinary Technicians with a stated minimum of three to five years of clinical experience, under a veterinarian chief medical officer, so the people on the phone can perform actual teletriage rather than following a script. For a specialty hospital that takes urgent referrals, that means an out-of-hours caller gets a competent read on whether the case needs to move tonight. It integrates with practice-management systems to book appointments, reports more than 2.5 million after-hours cases triaged over nearly ten years, and can be live in as little as seven days.

Limitation: it covers calls rather than referral correspondence or records, so it complements an administrative hire rather than replacing one.

7. Staffingly

Best for: hospitals that want documented security certifications and per-seat pricing that falls with scale.

Pricing: $399/wk at 45 hoursLocation: India, Pakistan, BangladeshModel: Fully managedTrial: Advertises a two-week trial (company-reported)

Staffingly prices at $399 a week per assistant for 45 hours, dropping to $349 at five or more and $299 at ten or more, which is the most favorable structure here for a hospital staffing several seats across service lines. It's also the most documented option on paperwork, reporting SOC 2 Type II and ISO/IEC 27001:2022, a signed agreement before work starts, and a $5M errors-and-omissions and cyber liability policy, all company-reported. Its veterinary line covers scribing, client communication, refills, and inventory, and staff work from stated secured facilities in India, Pakistan, and Bangladesh.

Limitation: its workflow is AI-assisted with a person verifying output, which needs checking against the correspondence standard a referral report requires.

Where does a remote assistant help a referral practice most?

The highest-return task in a specialty hospital is usually records chasing before the consult. A specialist appointment with incomplete history either runs over, gets repeated, or produces a decision made on partial information, and all three are expensive. One person whose job is making sure every case arrives complete pays for itself quickly.

Second is turnaround on referral reports. Referring vets choose where to send cases partly on how well they're kept informed, so a report that lands the same week protects the pipeline that keeps a specialty hospital full. That's correspondence work, well suited to a remote hire with strong written English.

What a remote assistant won't do is the credentialed work. Technician tasks, anesthesia monitoring, and clinical decisions all stay in the building. And where the gap is out-of-hours clinical judgement rather than paperwork, a teletriage service staffed by credentialed technicians is the right answer instead of an administrative assistant.

What are the risks of an assistant in a specialty setting?

Correspondence quality reflecting badly on the hospital. Referral reports go to other veterinarians, so test written English before hiring.
Incomplete records reaching a consult anyway, because nobody owned the chasing. Make it one person's measured responsibility.
Release of records to the wrong party. Define who authorizes, and require it in writing.
Clinical scope drift, which carries more weight here because cases are complex.
Large estimates and deposits handled loosely. Specialty invoices are big, so payment handling needs a defined process.
Client data without paperwork behind it, since HIPAA doesn't cover veterinary records.
Results routed but not flagged, so an abnormal finding sits unread in a long file.

What does an assistant cost a specialty hospital?

Published rates here run from $9.50 an hour to $12.65, with Hello Rache at a flat $9.50, Honest Taskers at $10.00 to $12.65, and Teem at $11.50. Staffingly prices weekly at $399 for 45 hours, falling to $349 per assistant at five and $299 at ten, which is the cheapest route to multiple seats. Chronos Vet, MedStar BTR, and GuardianVets quote on request.

Specialty hospitals are the setting where per-seat volume discounts matter, because the work divides naturally into referral coordination, records, billing, and client follow-up, and one generalist won't cover all four at referral volume. Set against that, the comparison is the cost of a specialist's time lost to an incomplete consult, plus referral revenue at risk when reports go out late. Rates move, so treat these as dated readings and confirm before you sign.

What should a specialty hospital look for in an assistant?

Written English tested on a real referral report, not claimed on a website.
Persistence in chasing records, tested with a scenario.
Named practice-management experience in your system.
Capacity to staff more than one seat as volume grows, with pricing that reflects it.
A release-authorization process you control.
An escalation rule for abnormal diagnostics.
Payment handling suited to large estimates and deposits.
A signed confidentiality agreement, because HIPAA doesn't apply here.

How do you get started with a virtual medical assistant company?

Audit last month's consults and count how many started without complete records.
Measure your average referral report turnaround, since that's the metric referring vets feel.
Decide whether you need one coordinator or separate records and billing seats.
Shortlist two or three firms and get rates plus multi-seat pricing in writing.
Test the candidate by having them draft a referral letter from notes you supply.
Sign the confidentiality agreement and set record permissions to the minimum.
Start with pre-consult records chasing, which shows a return fastest.
Review at 60 days on records completeness and report turnaround.

Methodology and sources

We verified each company at its own website on August 21, 2026, recording veterinary focus, talent location, published pricing, the referral and records work each company states it covers, and how each one describes client-data handling. Guidance on records ownership and release between practices comes from the American Veterinary Medical Association, and local-hire pay context comes from the U.S. Bureau of Labor Statistics occupational profile for veterinary assistants. Rates are volatile and were captured as dated points rather than quotes, so re-check before you buy. Facts a company didn't publish are marked "not publicly listed", and self-stated claims are labeled company-reported. AI scribes and voice agents were excluded from the ranking because they don't place a person.

If you also run an emergency service, our comparison of virtual staffing companies for emergency veterinary hospitals covers overnight call volume and urgent client contact, where the rules are stricter.

Comparing against a routine caseload? Our guide to virtual staffing companies for general veterinary practices shows how the same market looks when the work is broad rather than deep.
