Are virtual medical assistants for ultrasound centers HIPAA compliant?

Yes, a virtual medical assistant can work within a HIPAA-compliant arrangement when a BAA is signed and system access stays practice-controlled. The safeguards that make that work include documented HIPAA and data-privacy training, signed confidentiality agreements, and remote-work security screening. The center still controls which systems and patient data the assistant can reach. You can read more on whether a virtual assistant can be HIPAA compliant.

Can a virtual medical assistant work in my ultrasound center's EHR and RIS?

Yes, virtual medical assistants routinely work inside a practice's existing EHR, though experience with any specific system varies by candidate. Many bring prior time in systems such as Epic, athenahealth, eClinicalWorks, and NextGen, plus scheduling and radiology information tools. Access is granted and controlled by your center, so confirm your stack during the interview.

Can a virtual medical assistant interpret ultrasound images or read results?

No, a virtual medical assistant does not interpret ultrasound images or read results, since interpretation and diagnosis stay with your radiologist or sonologist. The assistant schedules exams, verifies benefits, works prior authorizations, and routes the finished report to the ordering provider. That keeps clinical judgment with your licensed staff and administrative flow with the assistant.

What tasks does a virtual medical assistant for an ultrasound center handle?

A virtual medical assistant schedules ultrasound appointments, works prior authorizations where a payer requires them, verifies insurance and benefits, handles new-patient intake, coordinates referrals, and routes finished reports. Many also manage the patient portal and reminders. They follow your protocols and route clinical questions to your licensed staff.

Can a virtual medical assistant handle prior authorization for ultrasound exams?

Yes, a virtual medical assistant handles prior authorization for ultrasound exams by checking payer rules, submitting the request, and tracking it to approval before the scan. This matters most for advanced imaging that payers gate, where a missing authorization turns into a denied claim. The assistant flags anything that needs a provider's clinical input rather than deciding medical necessity.

How does Honest Taskers staff virtual medical assistants for ultrasound centers?

Honest Taskers screens candidates on US healthcare experience, communication, and its five core values, then trains them on HIPAA and data privacy before placement. The pool includes licensed nurses and physicians, and assistants handle scheduling, prior authorization, benefit verification, intake, and results routing while routing clinical questions to your staff. The company signs a Business Associate Agreement when the professional will access PHI and schedules staff in the client's time zone. Honest Taskers, Hello Rache, and MedVA lead this year's shortlist of virtual medical assistant companies for ultrasound centers, thirteen healthcare-focused staffing firms ranked on how they carry an imaging practice's administrative load, and from ultrasound appointment scheduling and prior authorization where a payer requires it to benefit verification, all in your time zone and under a signed BAA. The companies here staff your center with remote people, not scheduling software or AI phone bots. Below we set out what gets verified before a scan is booked, which claim gets denied without it, how these companies price, whether a provider has scheduled against benefit checks, and which booking to verify first.

Disclosure: Honest Taskers publishes this list and appears at position 1. We're judged on the same five published criteria as every other company here.

How we chose the best virtual medical assistant companies for ultrasound centers

We ranked these companies on five facts, each checked at the provider's own website on August 12, 2026. Those facts are healthcare specialization, talent location, published hourly pricing, the ultrasound-center tasks they say they cover, and HIPAA posture. Ultrasound-center work means appointment scheduling, prior authorization where a payer requires it, insurance and benefit verification, new-patient intake, referral coordination, administrative results routing, and patient portal messages, so we weighted firms that name those tasks. Blank facts read "not publicly listed" instead of a guess, and we flag any company that bundles software or devices, since that's a different purchase.

Best virtual medical assistant companies for ultrasound centers compared

The table ranks all 13 on the same columns, Honest Taskers first because we publish the list. Rates were checked August 12, 2026 and change often, so treat them as a starting point, not a quote.

Limitation: offshore-only staffing from a single country.

What does an ultrasound center virtual medical assistant verify before a scan is booked?

The benefit and the prior authorization, alongside the scheduling itself, and none of it needs anyone in the room. An in-house medical assistant earned about $45,690 a year, roughly $21.97 an hour before benefits, according to the U.S. Bureau of Labor Statistics 2025 wage data for medical assistants, while the offshore-focused firms here run $9 to $15 an hour. A standalone scheduling or answering service only books slots and takes messages, and it doesn't work in your EHR or chase a prior authorization, and an AI phone bot can't verify a benefit or route a finished report. Don't hire a virtual medical assistant company if you only need overnight message-taking, since a dedicated answering service is cheaper for that narrow job. The reason imaging centers delegate this work is administrative load, and the American Medical Association's work on prior authorization documents how much staff time authorizations and payer follow-up pull away from patient-facing work.

Which ultrasound claim gets denied when a virtual medical assistant missed the authorization?

The whole study, which is why a missed authorization sits beside PHI exposure, turnover and patient experience as the four to settle.

PHI in records and results. Ask for the signed BAA and the device and network controls, since an assistant reads orders, benefits, and finished reports all day.
Prior authorization gaps. Ask how the company tracks payer rules and pending authorizations, because a scan performed without a required auth becomes a denied claim.
Turnover and continuity. Ask about retention, since a new assistant every few months resets your scheduling and payer knowledge.
EHR and RIS fit. Ask which candidates have used your systems, such as Epic, athenahealth, eClinicalWorks, or your radiology information system.
Clinical scope. Ask how the company keeps the assistant to administrative work, since reading images and diagnosis stay with your radiologist or sonologist.

How do virtual medical assistant companies price their services?

Virtual medical assistant companies price their services three main ways, by a flat hourly rate, a managed monthly plan, or a custom quote. Hourly staffing on this list runs from CareVMA at $9 and Hello Rache at $9.50, up to Virtual Nurse Rx at roughly $12 to $15 for registered nurses, with managed monthly plans like Wishup's landing near $1,300 to $2,000 for full-time hours (rates checked August 2026). Honest Taskers sits mid-range, beginning around $10 per hour and reaching about $12.65 depending on role, background, schedule, and location. Compared with an in-house medical assistant salary near $45,690 a year plus benefits, a remote assistant is the lower-overhead option, and price tracks talent location, hours of coverage, and the level of managed oversight. For the role's day-to-day scope, see virtual medical assistant duties and responsibilities.

Has the ultrasound center virtual medical assistant company scheduled against benefit checks?

Ask how it sequences the two, then weigh healthcare specialization, HIPAA posture and pricing you can budget against.

Imaging workflow experience. A firm that names scheduling, prior authorization, benefit verification, intake, and results routing, such as MedVA or Honest Taskers, ramps faster than a general agency. See how a virtual assistant handles prior authorization to scope the work.
HIPAA posture in writing. Look for HIPAA training plus a signed Business Associate Agreement when the assistant handles records and results, and ask each company to put its safeguards in writing.
Your EHR and RIS stack. Confirm experience with your practice management system and radiology information system.
Time-zone and hours coverage. Know whether staff work your patients' clock, and whether you need bilingual coverage.
Dated, published pricing. A rate with a date beats a vague promise of savings.

Which ultrasound booking should a virtual medical assistant verify first?

The next unverified one, because a scan performed without authorization is a claim you will not win.

List the tasks to delegate first, such as ultrasound scheduling, prior authorization, benefit verification, and intake.
Shortlist firms whose imaging workflow experience, talent location, and HIPAA posture fit your center.
Interview one or two candidates and confirm EHR and radiology information system experience.
Sign a Business Associate Agreement before anyone touches patient data.
Run a trial, then onboard with clear scheduling rules, payer checklists, and escalation paths.

Methodology and sources

We verified each company at its own website on August 12, 2026, recording healthcare focus, talent location, published pricing, stated ultrasound-center support, and HIPAA posture. Wage context is from the U.S. Bureau of Labor Statistics 2024 Occupational Employment and Wage Statistics, and administrative-load context is from the American Medical Association's published work on prior authorization. Hourly rates are volatile and were captured as dated points, not permanent quotes, so re-check before you buy. Where a company didn't publish a fact, we marked it "not publicly listed"; self-stated claims are labeled company-reported.

If your ultrasound work sits inside a broader imaging operation, compare the wider field first. Our guide to the best virtual staffing companies for imaging centers covers the scheduling, authorization, and benefit-verification support a radiology front office needs, so you can decide which tasks a remote assistant should take on first.

Running exams outside a fixed site? Our list of the best virtual staffing companies for mobile imaging walks through the coordination, intake, and results-routing work that keeps a traveling ultrasound schedule full, which helps you confirm a candidate can manage bookings across locations without a long ramp.
